CONFERENCE COMMITTEE REPORT

INTRODUCTION AND OPENING COMMENTS:

Welcome to the 2021 World Service Conference!  The Conference Committee welcomes you whether you’re in person or online!! 

We’ve worked hard over the last year, and especially, the last 90 days in preparing for this first time ever hybrid conference.  The Conference Committee meets every fourth Sunday of every month at 9am Central Standard Time, except for the months of July and August, when we meet every two weeks in preparation for conference.  We’ve faced many challenges as a committee navigating our way through these interesting times.  We are humbled and honored to serve and appreciate the patience and support we’ve been given along the way.   Please accept our humble apologies that the SR-14 mailer was sent out a couple of days late due to those challenges which were beyond our control.  We are excited about hosting the first ever hybrid World Service Conference and we ask for your patience and cooperation as do our best to pull this thing off!

SUMMARY OF COMMITTEE BUSINESS:

At this time, we have the following subcommittees working on the following projects:

  • Virtual planning/Accreditation: The committee considered how many days, what functions are critical and must occur, how/when does business get done, what functions aren’t critical but might be beneficial, maximizing the amount of business addressed while minimizing the length of the Conference, etc.  The committee met consistently on Sundays to discuss credentialing processes, planning of incorporating the virtual attendees’ attendance at Conference, drafting and sending several referrals to S&B concerning standing rules, including credentialing and Area Chair duties and responsibilities. 
  • Delegate Mailer: Meets at least twice quarterly to plan and put together the Delegate Mailer to be transmitted to the delegates after trustee approval.
  • Registration: meets weekly to facilitate a smooth registration process working hand in hand with the Programs Liaison for the facilitation of the dinners and other events during conference.  Reformatting of The Box to include adding new members and granting appropriate permissions.  Weekly monitoring of registrants on RegFox platform to ensure registration on-site is as smooth as possible.  Consistent communication with hotel staff concerning room count, meals, BEO’s and other hotel related issues.
  • RFPs: sent out RFPs to various hotels all over the world and via a very detailed and meticulous process, narrowed down the three best options to present to conference for 2024 and 2025. The RFP Vendor bid pack was sent out across December 2020 and January 2021 to:
    • 24 Convention and Visitor’s Bureaus
    • 28 Vendors directly from previous records
    • 30 Vendors directly from new data East Coast vendors
    • This activity generated 28 Vendor proposals which the committee narrowed down to the 3 best options to present to the Conference in the closing report.
  • Referrals/SR14/Committees Liaisons: communicated with chairs of other conference committees providing them important information, templates, and applicable deadlines for materials for mailings and SR14 mailer.  I have continued to monitor and forward incoming referrals to the appropriate Conference Committees. Updated the referral transfer form. I continue to verify the status of ‘live’ referrals from previous WSC’s (going back to 2016).
  • Programs and Orientation: working closely with the conference coordinator and co-coordinator in the planning and preparation of this role. The main areas of organisation are decided in terms of event planning for the conference.

These include the following events:

    • Welcome reception
    • Presentations for the world conventions – ice cream social
    • Unity Speaker
    • Robert’s Rules of Order workshop
    • Delegate Orientation
    • New Delegate Workshop
    • Dinners – Kick Off and Saturday Night
    • Workshop: Attracting New Delegates to World Service
  • Memorabilia: researched and presented memorabilia to be sold at conference; please go buy some today!  We have t-shirts, coins, zip drives and a reversible hoodie.

CONF 2021-01

Taylor F; S&B; pre-conference.  To change language on Area petition form from “Approved” to “recognized”, this will make it congruent with how it is stated on page 25. of the WSM.

CONF 2021-03

Russell S.; C.A. Thailand, preconference; Please consider removal of the point within ‘qualifications’ that states; “Non-voting status at the conference,” Specifically for the positions of; Conference Coordinator, Conference Co-Coordinator, Conference Orientation & Programs Liaison, Conference Committees Liaison & Referrals/SR14 Coordinator.

CONF 2021-04

Gregor B; CA Holland, pre-conference. Please only sent out the referrals that come from the conference committees or the referrals that passed there. That would save a lot of time for us delegates to guess what would be important for our area’s. The information that was sent out before last conference was just to much and a lot of it didn’t even make the conference floor.

CONF 2021-05

WSBT; preconference: Please would the World Service Conference Conference Committee look at revising guidelines to ensure that Conference sessions begin no earlier than 8am and end no later than 10pm.

We have been approached on several occasions by members requesting that action be taken to bring the timings of Conference sessions within reasonable health and safety standards. Members find that they are unable to be of service due to the particularly onerous expectations of duties at Conference. We are advised that members, particularly with those who are obliged to manage health issues, are being excluded from service.

We also question the quality of the decision making process and ability to find a well informed and considered conscience by members after a 14 hour day of service. We do not believe this is something that would be deemed acceptable in a professional work environment.

CONF 2021-06

WSBT; preconference: We request that you add language to the World Service Conference Conference Committee guidelines such that the WSBT review mailings for against Concepts and Standing Rules of Conference in addition to Traditions.

The guidelines currently state that mailings are to be reviewed by the WSBT for violations of CA’s Twelve Traditions, see excerpt from page 4 of your guidelines below. We believe that the WSBT review should not be restricted to the Traditions only.

“The Review subcommittee is tasked with reviewing all materials submitted by members (voting or not) for dissemination to the World Service Conference members via a regular or special mailing. This task is not to interfere with the Trustees reviewing such materials for violations of CA’s Twelve Traditions. This task is not to interfere with The World Service Office checking procedures with regard to updated manuals and guidelines. The Review subcommittee is to look at all materials from members to ensure that the CA Twelve Concepts and Conference Charter are adhered to. In addition, the subcommittee will also look to the Traditions for guidance when reviewing the materials. The subcommittee should look specifically for those materials which violate the 10th Tradition and the General Warranties contained in the Twelfth Concept but they are not to exclude the other Concepts or Traditions from consideration”.

CONF 2020-01

Ginger L.; preconference: Consider designating microphones on the floor:
One microphone for and one against. When each member gets the nod that their name is on the list then they would then line up behind the appropriate microphone. This could potentially cut down on overly discussing motions everyone is already in favor of.

CONF 2020-02

Claudia W. German Area; pre-conference; The “Petition to Become an Area” does not address the question of what the area’s local language is.
“What is/are the primary language/s in your area?” and  “Has the area started translating any C.A. literature?”  may be useful questions to add to the form.

SUMMARY OF SR14 MATERIALS:

Presentation of venues for Conference 2024 and 2025 to be made in the form of a motion in the closing report.  The venues include the DFW Marriott in Dallas, TX, the Hyatt Regency Dulles in Washington D.C., and the St. Loius Renaissance St. Louis, MO.

CONF.S&B.IT 2021-02;

Rick D.; Milwaukee. As your aware during the current pandemic C.A. member have been meeting on line through video conference vehicles like “Zoom” or others. The one thing that I see missing is the 6th Tradition Disclaimer. This could be mentioned by the meeting host or placed and read in the online meeting format. This should and must be done to preserve the integrity of our C.A. Traditions. Please see to it this be done for the good of the C.A. Fellowship ASAP.

RESPONSE: The conference committee believed that S&B was the more appropriate committee to address this concern since it was not conference related.
