INTRODUCTION AND COMMENTS:
The Convention Committee has worked throughout the year, meeting monthly, along with the chairs of the upcoming C.A. World Conventions. Atlanta did a great job hosting this year’s World Convention. The committee members participated in discussions and worked together towards how we can be of better service for upcoming World Conventions. Since Conference of last year, we have noticed a considerable decrease in attendance at our committee meetings. We would like to invite members to please join our committee.

SUMMARY OF COMMITTEE MOTIONS:
We would like to make a change to the WSCCC guidelines for the section regarding the inclusion of Co-Anon at conventions. We understand that many of our members feel strongly about the importance of including our families and the loved ones of addicts, and we are grateful for the Co-Anon fellowship and their participation at the Cocaine Anonymous Conventions. We also feel that there needs to be a more clearly stated separation in our guidelines, in order for our fellowships to remain co-operative without appearing affiliated. The world convention committee guidelines serve as a roadmap for future convention committees, showing members the instructions on how to do specific tasks and information used by past conventions on suggested actions. The proposed changes to our guidelines would also include the addition of an addendum, keeping those instructions that we are removing available for future reference.
A. MOTION: TO CHANGE THE WSCCC GUIDLEINES, PAGE 36-37 SECTION 21:
21) Co-Anon Registration
- i) Will be handled using one of the following methods:

(1) C.A. will collect the registration fee, provide meeting space, coffee, hospitality room and registration badges.
OR
(2) Co-Anon will handle / collect their own registration fees and provide their own registration badges. ii) Co-Anon must make a selection of which option it desires not later than March 1st of the year prior to the applicable CAWS Convention. i.e. for the CAWS Convention in 2010, Co-Anon would be requested to inform the WSO of its selected option not later than March 1st, 2009.
iii) CAWS registration forms will reflect the Co-Anon option as follows:
iv) If option one is selected, CAWS registration forms will provide a checkbox for Co-Anon members and the following disclaimer: “While being mindful of the impact of our disease on those who care about us and the support we receive from them, we in Cocaine Anonymous are guided by our Sixth Tradition. As such, we must ensure that our desire to cooperate with Co-Anon in thought, action and spirit does not result in affiliation, either outright or implied.”
v) If option two is selected, CAWS registration forms will not include a registration checkbox for Co-Anon members. However, it will include the following Co-Anon information in the registration section as well as the standard Co-Anon disclaimer:

b) The Host Committee invites Co-Anon to provide a liaison to attend all committee meetings.
c) Co-Anon representative(s) should work closely with the Host Convention Committee Hotel/Events Venue Liaison to facilitate meeting space and any other on-site arrangements needed for them to carry out their business during the CAWS Convention.
“The relationship between the fellowships of Cocaine Anonymous and Co-Anon is a special one. As the disease of addiction affects many, our recovery process inherently affects many as well. Yet the Twelve Traditions, the General Service Boards and Service Conferences of both fellowships suggest that remaining “separate” makes each more effective. The policy of “co-operation but not affiliation” is recognized as important in maintaining separate fellowships.
Consistent with that premise, Cocaine Anonymous provides the following position regarding the relationship with Co-Anon:
While being mindful of the impact of our disease on those who care about us and the support we receive from them, we in Cocaine Anonymous are guided by our Sixth Tradition. As such, we must ensure that our desire to cooperate with Co-Anon in thought, action and spirit does not result in affiliation, either outright or implied.”

Including the Co-Anon Fellowship in the World Convention is up to the discretion of the Host City and the Co-Anon Fellowship for that Area. Please see addendum for instructions on procedures.

We would like to make a change to the guidelines regarding Convention Bid submission deadlines. Currently, the Guidelines state that Bids are due 90 days before the start of the Conference. This leaves no time for the WSCCC or the Bid Vetting Committee to overlook the bids before including them in the SR-14.
B. MOTION TO CHANGE WSCCC GUIDELINES PAGE 44 SECTION 7:
7) Completed convention bids must be submitted to the WSO, Chairperson of the WSCCC and the Regional Trustee at least ninety (90) one hundred and fifty 150 days prior to the start of the WSC in order for the bids to be substantiated. Bids should be submitted in the local currency as well as US Dollars when applicable.

Robert B – Thank you for the bid. Hotel submission? 3 that are required, one of them didn’t seem realistic, the numbers didn’t seem right. Was that put in there because it was the only other option or are there any other options?
John G – Best options available to us. They may be more negotiable.
Gary P – I have an issue of the hotel proposed, the banquet room is good for about 400 ppl what happens if more people show up? 3500 square feet for banquet room?
John G – They have assured us that we can fit there. Not correct.
Robert B – Budget? 50k F&B. you estimated 37k. there’s a loss already.
Jim G – We always err on the side of conservatism. We felt comfortable presenting this.

Robert B – Couple of years ago we passed the opportunity to bring a WS Convention to a Convention Centre It is a little different for us. Could you just give us an idea of plan and thoughts if you went that route.
Nathan (bid committee) – Convention centre would have two hotel options. There is a sky bridge to help with logistics of moving in and out of centre each day.
Wade G – Thank you so much great presentation. If Utah was awarded 2026 would that stop, you from having it in 2027.
Simonne M (bid committee) – I asked that question, and the answer is no. John C – There are special events off site what would that be?
Jacy (bid committee) – We looked at what other conventions like Holland were doing having limited numbers on special events like ride the ducks and other activities.
Gary P – I have two items. Thank you. Point of information – In 2022 we had some embellishment. We do really well and that would cover food and beverages.

Robert B – The numbers you have, your estimate is very conservative. Food and beverages requirements are quite high compared to other bids. Do you think they are easily obtained.

Nathan (bid committee) – The meals will be in the convention centre. Just sleeping in the hotels.

Nathan (bid committee) – We have changed our guidelines in our Area to protect the fellowship.
