INTRODUCTION AND OPENING COMMENTS
I would like to thank the World Service Conference Convention Committee for allowing me to serve as your Chair. It has been a humbling and exhilarating experience for me. I cannot say enough about how grateful I am for each one of you, nor thank you enough for all your hard work in making this the best committee at this conference. I especially want to thank everyone for assisting me by answering the numerous questions I found myself faced with. I would also like to thank the Trustees, and various World Service Convention Steering committee members who took time out of their weekends to attend our conference calls during the year. The work we’ve done throughout the year

and in committee breakout sessions will make planning World Service’s biggest fundraiser easier for the next and all future conventions. Referral CONVENTION 2017-6: Convention Committee has submitted a new document “WSCCC Internal Guidelines”. We are working towards consistency in the convention committee and we want to be as transparent as possible regarding our processes.
The reasons we submitted the Operation Guidelines as a SR-14 are:
- WSCCC facilitates the process of selecting the CAWS steering committee. CAWS is the largest fundraiser of the year. Having clear expectations is necessary and affects the fellowship as a whole.
- WSCCC vets the bid for the upcoming conventions. This process needed to have some consistent processes outlined.
With the operational guidelines going to the floor, it means that moving forward the WSCC committee members will not be able to change or edit the processes regarding these two significant tasks without floor approval.

Referral CONVENTION 2017-14 Please consider striking “Obtains 3 bids for audio recording” from the Vice Chair description and add “Obtains 3 bids for audio recording and A/V services” to the Program Chair description. As the CAWS 2017 Vice Chair, while I had time to seek bids for audio recording, the necessary information about our requirements had to be obtained from both the Hotel Liaison and the Program Chair.
After a couple initial attempts on my part to obtain recording bids, we ended up having the Program Chair take the lead on obtaining bids for both A/V services and audio recording, since the two often go hand-in-hand. It is unclear from the existing guidelines who is responsible for coordinating A/V services for the convention as a whole. The A/V negotiation ended up being a complex process involving both the Program Chair and our Trustee (due to his experience in the industry). A/V service is a substantial item affecting several committees so I believe it warrants a separate mention in the Guidelines. Thank you.

It just seems that from year to year very few people participate in the evaluation yet it can have a tremendous impact on what works and what doesn’t work.
Referral CONVENTION 2017-8 The Convention Committee Guidelines- page 32-34. Items listed 1-37. I request that the items be reviewed and integrated into the guidelines where each item best fits. There is important information listed in this section of the guidelines and can be missed because of the list format. The list is not user friendly. Integrating this list may create new sections of the guidelines.
Referral CONVENTION 2017-11 Create a Vetting checklist to help streamline the process Referral CONVENTION 2017-22 The Printing/Design Chairperson description currently says in paragraph 8, “It is recommended that the Convention Statement of Anonymity be printed in the programs of all World Service Conventions.” Are there other required elements that should appear in every CAWS Convention program, such as the Steps or Traditions, etc.? If so, please consider including all suggestions/requirements under both Printing/Design and Program, including the use of any required disclaimers. The language currently listed as #24 under General Guidelines (“It is required to print A.A. disclaimers on any A.A. material adapted for C.A. use”) might easily be overlooked. Thank you.
Referral CONVENTION 2017-23 Please consider adding a paragraph under each job description about the responsibility to complete a pass it on report, rather than relying on paragraph 4 in the General Guidelines (“Each Chairperson is responsible for filling out the “CAWS Convention Pass It On Fact Sheet” and submitting it with the committee wrap- up report at the post-convention General Convention Committee meeting.”). Contract Negotiating Tools to strike “2) Room rate to include approximately $10.00 per night rebate to CAWS.” I suspect most of our members are not aware of this practice and would not be in favor of it if they were. We should not be essentially forcing our members to donate $10 a night. The additional attendees who would be attracted by a $10 lower rate would likely spend or donate at least $40-$50 throughout the event. Even if they didn’t, the increased attendance would contribute to the convention’s success on the ‘enthusiasm and unity’ level. Thank you.

Referral UNITY 2017-1: Please consider housekeeping to clarify the Convention Statement of Anonymity. The paragraph break is now in the middle of what should be one sentence. Below is how it was published in the CAWS 2017 program, although it could probably be cleaned up even further by eliminating some of the redundancy.
Also, could you please clarify the language about recognizing someone? Does it mean that if we see someone we met at the convention after the event, we shouldn’t let on how we know them? Or does it mean that if we recognize someone at the convention we shouldn’t disclose that we also know them in another context, such as a business associate, celebrity, etc.? Thank you.
