 Chairs Opening Remarks (Gary)

WSBT’s…Good morning, everyone. Thank you for making the time to be here.I’mgrateful for each of you and the experience, perspective, and commitment you bring to this Board. Today marks the beginning of our work together this term, and our shared responsibility to steward this organization with integrity, transparency, and unity of purpose.

Each trustee here has been entrusted with both voice and vote. Let’s use them well seeking what’s best for the whole, not any one part. If we stay mission-focused, data-informed, and people-centered, we’ll build momentum quickly and serve our fellowship well.

Thank you again for the huge honor and responsibility of allowing me to be your chair this year as I’m excited to see what the years’ service will bring.

 Standing Business

1) Project Chart (Gary)–Gary requested that new trustees become leads on Projects. As the Chair he should hand projects to others. (Gary To update project chart)

WSBT 2024-08 Emerging Area Support–Richard E- Lead, Jenn S, Richard B.

International Globalization Representation – Stuart has taken lead.

WSBT 2024-10 LTP High Level Communication –

We do not meet as a board. No longer meet as LTP only report on Project Chart.

Gary explained the difference between LTP and LTP advisory. Gary to review the documents to clarify the purpose of each committee.

Dan S–Lead – Created for researching WSC committee create new Subcommittees for high level external communications.

2025-08 Process for unaffiliated areas to submit TAL Slate–Richard B-Lead, Gary P

2025-08 Regional Questionnaire Revamp–Tina R Lead, Karmen K, Daniel S. Richard B asked about digital form of the questionnaire, I thought we were updating the questions. Tina indicated that is correct, we were making them more specific. member of committee.

2) Correspondence (Tina R) – Sent Correspondence Chart to All Correspondence 2024 Q3-01- Stuart completed response Correspondence #25Q4-01 2025-10-06 -Barry H to respond

Gary reiterated that the WSBT speaks as one. If you have regional questions you may want to bounce them off the board.

3) Referral Tracker (Tina R)–review/update outstanding referrals. Referral 15238035–Gary P and Jenn S

There is a remaining referral Gary stated have it ready by Quarterly

4)   Status of World Service Office, (Jon H)

General overview Meeting weekly with Randy and Tai. Items discussed

  1. Licensing and Royalty Procedures. Create a standard procedure for all areas to consolidate and make a seamless process
  2. Training and required documents for all Board members, Gary asked who has not completed the training? Gary provided clarity of WST and WSOT roles as it relates to communication with WSOB.
  3. Credit Cards arrived. They will be handed out at the Quarterly in Dec. Discussed old CC vs new cards. Discussed completing WSBT Expense report.
  4. Conference Committee Guidelines are due Nov 24, 2025.
  5. Requesting Q3 meeting minutes.
  6. Secretary of State reporting there has been a request by registered agent that the positions listed with SOS be persons who are residents of the US. WSO requesting full list of Trustee assignments.

5) Financial Overview–Suggested reviewing previous reports to get idea what the WSBT would like to report. Financial reports have been posted in Groups.IO 2025. PNL a positive $205,000.00. Everything looks positive.

Gary asked about open positions–two open positions. WSOB Chair responsibilities discussed and people having interest in the positions. Will put out to fellowship via the website.

6) All Rise Conference–Held in Nashville July 2026 Gary and Barry H.

Old Business Items

1)   WSBT Intellectual Property Protocol (Karmen)

In committee with LTP nothing to report.

2)   Importance of our position as a Trustee and attention it requires (Perpetual session) (Gary)

Discussed timeliness in responding when motions are active. This board/committee is always in session.

3)   Allowing the right channel of communication (Gary)

Want to reiterate the importance of staying in our lane. Ask yourself is this my responsibility or someone else.

4) Q4 2025 Questions–Jenn do we have to submit report for this quarterly? Yes, Gary provided process and timeline to upload to Groups.io. Nov 21, 2025, Reports are due

5)   Q1 2026 Meeting location (Richard E., Stuart J.

Three  potential  locations:  Dallas  ERT  Regional–Ireland  (Stuart),  Direct  flights,  cheap  flights. We were in London last year and Mainland Europe would benefit more.

Richard E–Denmark March 25-27, 2026, Wed -Fri

Cost 175/per person, board room and food for three days. Perks Denmark will pick us up from airport (Copenhagen). Will drive us everywhere. Will give us free access to regional convention. Richard B asked what CA Ireland is offering, are they covering registration, board room. More cost efficient is the proposal Richard E submitted. Jon H discussed concerns from WSC and WSO as it relates to cost and  have a discussion regarding long term travel. Creating a rotation schedule  for the next several years to identify where the board would travel. Gary recommends that non-European Trustees do not attend the Regional Assembly. Lots of discussion about costs. Jonathan discussed a motion he will be bring that will require Trustees to report expenses appropriately and if they choose to pay their own expenses those fuds will be recorded as 7th tradition donation. Discussed reallocation of regional trustee budgets to balance Quarterly Meeting budget.

-MOTION: That WSBT hold Q1 meeting at Mainland European Regional Convention in Denmark March 25-27, 2026, second, PASSED with minor opposition.

2) Committee guidelines approval (Tina)

3)    Orientation Docs (Stuart J.)–Will discuss online prior to quarterly

4) WSBT vs regional trustee (What are expectations of the trustees and board business)
