CA World Service Office Board Meeting

June 24, 1999

PRESENT:

Scott Stevenson, Chairman

Meeting called to order at 7:30pm.
Mary read the 2nd Tradition;
Meredith read the 2nd Concept.

Minutes of June 10, 1999

  • Motion (Joy/Jeff) to approve
  • Approved as corrected.

OFFICER REPORTS:

Chair: written report submitted.

Vice Chair: Preparing for conference.

Treasurer:

  • Installed Windows-based checkbook solutions — will begin use July 1 (FY start), per discussion with Scott Brown (accountant).
  • Co-Anon submitted request regarding 52 Milwaukee registrations.
  • Expenses slightly ($2000) ahead of income this month (June 99).
  • Discussions with WSC Finance chair, regarding new budget formats 2000-2001.
  • 1999-2000 budgets delivered to WSO Board.
  • Will discuss possible new accounting procedures with CAWS2000 host committee during July visit.

Secretary:

  • Created e-mail loop for board.

  • Will have proposed minutes within 1 week after meeting.

Director-At-Large: Absent

World Service Trustee: Written report submitted

Pacific South Trustee: No report.

World Service Office Trustee: Conference call this Sunday.

Office Manager: Written report submitted.

Kevin will assist with bids of additional translations.

Scott and Kevin will finish computer system specs.

COMMITTEE REPORTS:

Webmaster:

  • Written report submitted by John K.
  • Office now owns cocaineanonymous.com.
    • Need to authorize $70 for CA-IL as reimbursement.
  • Need to obtain 4 more domain names.
  • Domain name problem with cocaineanonymous.org.
    • Written report submitted by Kevin M.
  • New VA/MD/DC web site.

CAWS99:

  • Co-Anon requests convention registration funds.
  • Finishing up CAWS99 accounts.
  • Remaining issue regarding room payment for CAWS99 Chair.
  • Questions regarding requested refunds.

CAWS2000:

  • Joy meeting with committee in Arizona at July 4 convention.

Finance:

  • Contrary to established policy, CAWS99 was sold Storybooks to resell at Convention.  Policy is to consign books.  Will be done in future.

Internet:

  • World Service Manual needs description of Webmaster and method of selection of webmaster staff.  Refer to WSCIC.

OLD BUSINESS:

  • Motion to suspend for time.
    • Motion to extend time in order to finish old and new business.
  • MOTION:  (Joe/Joy) Henceforth, pay for office staff will be based on time served only, with all staff receiving the same percentage increase, as per Concept 11. The office manager’s pay raises will be based on a sliding scale, as outlined in the employee manual, subject to performance.  This motion supercedes all previous and prior WSOB motions pertaining to this issue.
    • Passes with opposition.  Office manager abstains.
  • MOTION:  (Joy/Susan) Office will provide Areas authorized to reprint WS literature with current typesetting files whenever possible.
    • Passes.
  • Motion to revisit French Storybook pricing removed from table, discussed and tabled again.  Will review actual cost of French printing.

NEW BUSINESS:

  • Motion:  (Kevin/Jeff) Obtain remaining “Cocaine Anonymous” domain names.
    • Cost $280 for 4 names for 2 years:
      • cocaineanonymous.net
      • cocaine-anonymous.com
      • cocaine-anonymous.org
      • cocaine-anonymous.net
        • Passes.
  • Discussion of request regarding WSBT Chair’s request for additional day’s hotel reimbursement.  Referred back to Trustees.
  • CAWSC2000@aol.com e-mail address.  Phoenix host committee not to use CAWSC2000@aol.com address.  Should use either caws2000@ca.org or personal AOL account name.  But not to create new “CA” accounts.
  • Area web sites use of CAWS literature.  Discussion tabled.  Will be referred to WSC Internet committee.
  • MOTION:  (Meredith/Kevin) To begin the NSI (Network Solutions, Inc – USA Internet Registrar) suggested process of protecting our rights to the domain cocaineanonymous.org.
    • Passes

  • MOTION:  (Joy/Kevin) to send check to Co-Anon for their 52 registrations.  Two dollars deducted per registration as a processing fee.  Amount: $1196.
  • Passes with opposition.
  • Refund policy: MOTION:  (Joe/Jeff) Refund 2 banquet tickets due to unforeseen circumstance.
  • Passed unanimously.
  • MOTION: (Joe/Joy) All refunds within published policy to be honored.  All requests outside of policy will be considered on a case-by-case basis.
  • Passed with opposition.
  • EXECUTIVE SESSION begins at 1130pm.
  • EXECUTIVE SESSION ends at 1140pm
  • MOTION:  (Susan/Joy) To give the office manager a compensation increase of 3% of base salary, retroactive to her 90 day anniversary date, as per her 90 day review.  Passed unanimously.
  • Motion to adjourn(Jeff/Joy)
