June 10, 2004
Approved minutes

PRESENT:

Bob Campbell, Chair
Earl Henderson, Vice-Chair
Judy Weissman, Secretary
Brian Wolf, Treasurer

John Bodkin, World Service Trustee
Patty Flanagan, Office Manager

Positions Vacant: Director 2 Members absent: None.

Visitors: Jon F., Webservant; Kathy Jo R., CAWS 2004 Program Chair

Meeting called to order at 7:19 p.m. Kathy Jo read the 8th Tradition; John read the 8th Concept.

ViSITOR REPORTS:

Jon F. – Webservant – attended Convention – attended Long Term Planning & Internet Committee meetings. Designed and submitted website for CAWSConvention.org which will be website for CAWS 2005.

OLD BUSINESS:

Motion (Elizabeth) to transfer $500 from the operating account to the prudent reserve failed for lack of second. Will carry over to under old business to next meeting.

OFFICER REPORTS:

Chair: Wants to get assistant treasurer to help with reports. Would not have vote, but could be groomed to take over when treasurer’s commitment is up. Considering idea of having assistant to office director who could step up if office director was unavailable.

Vice Chair: Attended Convention. Attended Conference Committee meeting. Previous Vice-Chair provided documents and info on Conference equipment, etc.

Secretary: Attended Convention, Long Term Planning Committee meeting, LCF Committee meeting and was interviewed by the TEC.

Treasurer: Will have overall summary and budget analysis for next meeting. Attended Convention and Finance Committee meeting. Discussed various ideas for Contribution Program. Will discuss ideas with WSOT regarding development of a minimum to have in prudent reserve and/or possibly having multiple operating prudent reserves, and procedures regarding Trustee approval of transferring monies into these accounts.

Director 1 (Mike G):

  • Attended Convention. Attended H & I Committee meeting and worked in Hospitality Suite.
  • During the Convention, several people asked who the Trustees are. Suggestions: People could be referred to the World Service Forum. Maybe we could list WSBT and WSOB members in the Program and/or introduce them at the opening meeting.

  • Many people commented on how good the Powerpoint presentation on Memphis was, and asked if in Memphis there would be another presentation for CAWS 2006. Perhaps we should do something like it for every Convention.

Director 2: Open.

World Service Office Trustee:

  • See written report. Read letter from WSBT to U. K. Area (see pg. 2, motion 7 of written report) about why CA cannot accept earmarked funds.
  • Attended Finance Committee meeting at Convention. Financial Guidelines were approved and will go out SR14. Also attended Long Term Planning meeting which was excellent.

World Service Trustee: No report.

Office Manager:

  • See written reports: Draft budget for FYE 2006, Draft call for applications for CAWS 2006 Convention. Conference Convention Committee working on application to send out for CAWS 2006. We may need to set aside $3,000 and assist with preconvention fundraising for CAWS 2006 because Committee won’t have time to do everything themselves. Salt Lake, Milwaukee, Cleveland and Houston are confirmed bidders.
  • The WSOB should thank CAWS 2004 Committee for all their work.
  • 6/28-6/30 – Inventory – Office closed for orders.
  • Met with CAWS 2005 Committee at Convention. Office will be assisting by keeping registration info for them.
  • Vacation 1st & last weeks of July. Won’t be at 7/8 WSOB meeting – Leandra will stand in.
  • CAWS 2007 Steering Committee chosen.
    • Motion (Elizabeth/Patty) to table the approval of the minutes of 5/13/04 and 5/20/04 to next meeting passes.

COMMITTEE REPORTS:

Conference Committee – Have negotiated a $5.00 per room addendum to our contract as part of solution to recovering funds from loss of room rebate. Ad hoc committee of Conference Committee is investigating other fundraising ideas.

Literature. Chips and Formats – Committee met at Convention. May not have enough in budget to cover this Sunday’s conference call. As much editing as possible should be done on-line. Book format has been approved by Trustees. Stories are being edited by Committee now.

  • Motion (Elizabeth/Patty) to go into Executive Session passes.

Executive session resulted in removal of Jay S. as Archives Chair.

CAWS 2004 – Chair will write a letter thanking the Committee for their service.

  • Motion (Elizabeth/Earl) to suspend the rules passes.
  • Motion (Elizabeth/Earl) to extend the time to complete new business passes.
  • Motion (Patty/Mike) to pay Jim H. $350.00 for reimbursement for cell phone calls passes. Not a preapproved expense, but is within budget.

CAWS 2005 – We should show PowerPoint presentation at Conference again. Chair wants to enlist people in all the Areas to go to their Area meetings to promote CAWS 2005 Convention. We need to pay deposit to Memphis Cook Convention Center to secure banquet space.

NEW BUSINESS:

  • Motion (Patty/Judy) to accept the CAWS 2005 Website format and content as corrected passes. Additional information will be added to site as it becomes available.
  • Motion (Earl/Brian) to approve $500 expense for banquet space for CAWS 2005 at Cook Convention Center passes.
  • Motion (John/Elizabeth) to approve the contract addendum to add $5.00 to room price for rebate for 2005 and 2006 Conference passes.
  • Motion (Elizabeth/Mike) to table check request for CAWS 2005 for printing of postcards passes. Office will communicate with committee regarding appropriate documentation, samples of postcards for Board to approve, etc.

Minority Opinion – John – Expense should be denied because it was not approved.

  • Motion to adjourn (Judy/Earl) at 10:45 o.m. passes.
