CA World Service Office Board Meeting

June 10, 1999

PRESENT:

Meeting called to order at 7:40pm.
Jeff read the 1st Tradition;
Kevin read the 1st Concept.

Minutes of May 20, 1999

  • Motion (Jeff/Steve) to approve
  • Approved as amended.

OFFICER REPORTS:

Chair:

  • Scott discusses need for more timely distribution of proposed minutes to board between meetings.
  • Had meetings at convention with numerous people including Trustees, convention finance people & Office Manager.
  • Discussion of need for new board member in September.  It is anticipated that the new member will fill the role of Vice Chair.
  • Scott has asked the office to create a continuity notebook for the Conference and each Conference committee, using our archive as a starting point.  This will be extended to other committees, boards and WSO.  These would consist of notebooks with the entire history of the relevant groups.  Such notebooks or files would be kept updated in the future.
  • An additional reminder regarding Robert’s Rules and the need to follow them.

Vice Chair:

  • Attended convention, and had a wonderful time.  However, had real problems with numerous Tradition breaks.
  • Attended PI, Unity & Conference committee meetings.  Reports there is still a wide racial gap within the Fellowship, which needs to be addressed.

Treasurer:

  • Went to convention, worked on Convention finance.  Met with Conference finance, discussed new formats for proposed budgets at Conference.  Held numerous conversations with CAWS99 treasurer and Scott S to help finalize CAWS99 books.  Reviewed preliminary books for CAWS99.  Had E-mail discussions with CAWS2000 regarding finance.  Met with Trustees at Convention and discussed their individual “Trustee’s budgets.”
  • Office financial: information not yet ready.
  • CAWS2000 has repaid the $1000 we loaned then at the 5/20/99 meeting.

Secretary:

  • Attended convention.  Attended Internet committee meeting.
  • Discussed French book pricing issue with Marie-Pascale, regarding Montreal’s problem with 100% Canadian content books being priced in US funds.
  • Received a number of e-mails from board and trustees, which he felt were not appropriate for wide distribution.  Suggest that board create e-mail loop for internal discussion.

Director-At-Large:

  • Newsgram 2nd Quarter delivered in time for Convention.  3rd Quarter issue deadline July 1, publication 8/1, subject “Public Information.”
  • Attended long-term planning session, and LCF committee meeting.

World Service Trustee:

  • Trustees request that WSO copy regional Trustee with contact information when a starter kit is sent.
  • WS Board of Trustees has decided to limit their e-mail to WSBT until a group conscience is reached.
  • WSBT is seriously discussing CAWS99 multimedia presentation.
  • Assisted Milwaukee committee in many areas – feel this has helped bridge the apparent gap between the Office and Host committee.
  • Suggest Board refer to Conference that a Convention assistant treasurer and assistant hotel liaison position be created.

Pacific South Trustee:

  • Spent time at WSO helping the staff in Mary’s absence.

World Service Office Trustee:

  • Not present.  No report.

Office Manager:

  • Written report attached.
  • Attended WS Forum, LTP forum, NewsGram meeting, conference convention meeting.  Also attended a co-anon business meeting.  Spoke with Marie-Pascale.
  • Spoke with Susan S regarding the old “The Connection” publication.
  • Now attending a computer class once a week.
  • Regarding computer shipping from Milwaukee to Office, we need to investigate shipping methods.

COMMITTEE REPORTS:

Webmaster:

  • Presentation of suggested Website Starter Kit feedback form.
  • CAWS2000 information, including registration form as PDF, has been posted to web site.
  • John K is performing well as webmaster.
  • Motion to suspend.  Passed
  • Motion to extend until 10:45.  Passed.

CAWS99:

  • Close Trust Account in Milwaukee by 7/31.  Close local trust account by end of August.
  • Discussed the need to better organize registration procedure.  WSBTh the software used and the training of volunteers could be improved.

CAWS2000:

  • Request by host committee for CAWSO Treasurer to attend Phoenix 99 July 4 convention to meet with host committee.
  • CAWS2000 phone numbers on preliminary registration forms are incorrect.

CAWS2001:

  • Office WILL have banking paperwork in host committee hands by next week.

OLD BUSINESS:

NONE taken from table

NEW BUSINESS:

  • Accounting services for CAWSO now out for bid.  To finance committee.

  • CAWS 99 multimedia presentation regarding Program of CA and its solution to the problem of cocaine addiction:
    • MOTION (Joe/Joy): To authorize Milwaukee’s reproduction of a VHS version of their presentation, for presentation to the conference.  Request that Milwaukee archive the source material.
    • Motion to table.  Fails.
    • Motion to suspend.  Passes
    • Motion to extend until end of new business.
    • Main motion passes with significant opposition.
  • Discussion of “Passing On” CAWS99 financial information to CAWS2000 for their use in planning, as soon as possible.
  • MOTION: (Kevin/Jeff): To make an exception to our current pricing policy for material produced entirely within a foreign country.  Such material to be priced in the relevant foreign currency.
    • Motion to table.  Tabled.
  • Secretary to create an email loop for use by CAWSO Board.
  • MOTION(Kevin/Jeff):  To approve a draft feedback form for temporary use in online starter kit.  Suggestion: Add fax number.  Passed.
  • Motion:  (Steve/Kevin) Authorize travel expenses for CAWSO Treasurer to attend the Arizona Area convention in July, to meet with CAWS2000 host committee.
    • Motion to limit debate.  Passes.
    • Main motion carries.
    • Minority opinion: Meredith fears that we have set a precedent regarding future travel, which she feels would be unwise.

Motion to adjourn (Joy/Steve).  Passes.
