Minutes of the Meeting of CA World Service Office Board of Directors

July 12, 2014

I. Opening. Meeting called to order with the “we” version of the Serenity Prayer at 9:20am by Chair, Richard L.

II. Tradition 4 – Read by Kathy Jo R.

III. Concept 4 – Read by Ira L.

A. Discussion by Ira L., Richard L. and Linda F.

IV. Birthdays – None

V. Roll call and Quorum Determined

A. Voting Members Present: Richard L. (Chair), Linda F. (DOO), Susan D. (Vice-Chair), Laurie R. (Treasurer), Ira L. (WST), & Kathy Jo R. (WSOT). A quorum is established.

B. Board Members Absent: DRPD (vacant), Morgan T. (DAL – absent with prior notification) & Frank P. (DAL – absent with prior notification)

VI. Guests Present: Jay H.

VII. Chair Announcement – WSOT slate procedure

VIII. Approval of the minutes of the prior meeting

A. Laurie R. motions to approve the minutes from June 28, 2014. Seconded by Ira L. Motion passes unanimously.

IX. Seventh Tradition

X. Guest Reports:

A. Jay H. participated in inventory at the office for two days. Additionally, he is working with the unity committee to update their bid procedure.

XI. Online Business

A. None

I. Old Business

A. WSOB Director Openings – Phyllis C. has stepped down from the WSOB. Thank you very much to Phyllis C. for her hard work and we wish her luck on her new journey. We have 2 opening and are always accepting applications!

B. Leach vs. CAWSO et.al.

C. Website

1. Linda F. has taken action to create a VPS server. Marius is on vacation but will finish this when he returns. Ira L. received confirmation from the WSO that this additional service was not an addition to Marius’ contract

2. New website is coming along. They are creating each webpage separate and are working diligently on this.

3. Working on creation of a donation button on the website. It is not feasible or financially worth adding to our current site because we would be unable for the button to go through the store. But, we look forward to adding this to the new website.

4. Linda F. and Kathy Jo R. will have a conference call or connect via email regarding authorize.net

D. European Fulfillment Center

1. Russell S. is still aggressively looking for a location

2. We are looking to send a 6-month supply of typical orders from the European Region. Additionally, about 80% of select language of chips (Dutch, Swedish) will be sent.

3. Kathy Jo R. suggests we might look into making some items like book cover or banners in other languages because shipping on palate will be more viable then current shipping method. Richard L. suggests we might want to look into printing things like banners in the areas and languages where they are needed

E. Meditation Book

1. Proof has been received and reviewed by Linda F., Rob W. and Cynthia C. Once the final approval has been given by Rob W. Linda F. will pass this along to RR Donnelley.

2. Two photos are particularly dark Linda F. is working on getting a lighter version of these for the final printing.

1. Be careful of viruses on your computer, it can interfere your ability to look at or access website

1. Susan D. motions to approve referral responses with corrections. Seconded by Linda F. Motion passes unanimously.

II. Office Director Reports

A. DOO Report – Linda F. – Submitted written & verbal report (see committee and ad-hoc reports)

1. Inventory was completed! Thanks to everyone for their hard work.

2. All staff will be participating in training for the new Neopost program

3. The office could really use volunteers, if you know of anyone available please send them over!

4. Linda F. has priced oversized projection screens for conference, because we are still renting these. She will continue to research this and present these numbers to the board at a later time. She will also provide the current rental information for the board’s review.

5. Linda F. motions to approve the Meditation book. Seconded by Kathy Jo R. Motion passes unanimously.

D. Treasurer – Laurie R. – submitted written and verbal report (see committee and ad-hoc reports)

3. Odd Year  $7,497.03 OY Petty Cash $500.00

4. Savings #862 (Prudent Reserve) $50,155.41

5. Savings #372 (Publications Fund) $19,856.04

6. Savings $415.67

7. Laurie R. will contact Earl H. to ensure new onsite check policy is added to the convention website.

8. Laurie R. motions to transfer $100,000 from EY convention to savings, transfer $10,000 from EY convention to the prudent reserve and transfer

the remaining balance from EY convention to operating. Seconded by Susan D. Motion passes unanimously, pending trustee approval.

1. Rise and Shine contact has been signed by WST for the Unity luncheon at the WS conference

2. Linda F. will email past equipment contract information to Ira L. for upcoming
