CA World Service Office Board Meeting

July 8, 1999

Approved minutes

PRESENT:

Scott Stevenson, Chairman
Jeff Schachter, Vice-Chairman

Joe Stephens, Pacific South Trustee
Meredith Amos, World Service Trustee

Visitors: John Searce, Insurance agent

Meeting called to order at 7:40pm.
Steve read the 3rd Tradition;
Mary read the 3rd Concept.

Minutes of June 24, 1999

    • Motion (Joy/Jeff) to approve
    • Approved as corrected.
  • Motion (Jeff/Joy) Suspend rules to consider New Business out of order.  Passed.
    • John Searce – Searce Insurance agency
      • Specializes in non-profits and/or recovery sector.
      • Philadelphia Indemnity is our carrier.
        • General liability
          • $1M occurrence; $2M aggregate.
          • Upgrade to 3/5?
          • Need specific riders for Conference & Convention
          • Excludes Worker’s Comp
          • We use State Fund
          • Sporting event exclusion
          • Need to provide list of Convention events.
          • Some coverage for associated auto use
          • Some liability for referrals.
          • Need coverage for referrals to CA chapters?
          • Directors and Officers
          • Childcare at events: MUST contract with licensed, insured, day-care coverage.  Naming CAWSO, Inc as additional insured, with dead minimum $2m, preferably $5M

          • WS Trustee will Inform Phoenix Committee.
        • Need to insure any website shopping cart beforehand.
    • Property
      • Does not cover loaned property in our custody.
      • Difference between EDP and general property coverage for computer equipment.  EDP coverage requires schedule of equipment & software.
      • Not covered for loss/off-premises (e.g. messenger) theft.
      • Covered for employee & Volunteer theft
      • Office will develop procedure for fixed asset inventory.

Old Business:

Charitable contribution: IRS Pub 1771.  Requires us to provide documentation to donors, with particular language.

MOTION:  (Joy/ Susan):  Letters that office sends to acknowledge contributions will conform to IRS Publication 1771.

Passes unanimously.

OFFICER REPORTS:

Chair: Written report attached.

Plan on 3 meetings in August.

Vice Chair: Attended to various office duties.

Treasurer: Written report attached.

Secretary:

Had conversation with Co-Anon Board member (Jim F), and informed him that CAWSO will not provide registration services for future conventions.

Secretary will work with members of Board who have AOL, to determine enclosure formats that work.  Will also work with others that have problems with enclosures.

Director-At-Large:

Have some submission for next NewsGram, but require more articles before publication.

World Service Trustee: Written report submitted

CAWS99 Chair room reimbursement issue: suggests that CAWSO not bill chair for room, due to CAWS99 Chair’s expectation of reimbursement.

Resolves several loose ends regarding billing issues for CAWS99.

Pacific South Trustee: No report.

World Service Office Trustee:

  • WSBT Chair will not be reimbursed for additional hotel expense at CAWS99.
  • Co-Anon issue will be taken to the Conference.

Motion (Susan/Joy): Suspend to extend time.

Motion (Steve/Joy): Extend for reports and New Business.

Office Manager: Written report attached.

  • Office will reserve rooms for Board at Conference.
  • Office purchased new Hewlett-Packard fax machine.
  • Office purchased new Sony computer monitor to replace failed monitor.

COMMITTEE REPORTS:

Webmaster:

(report by Kevin M, former webmaster)

  • Obtained remaining “Cocaine Anonymous” domain names.
    • Payment request from NSI received. $280 for 2 years total amount.
  • Could not find cease & desist letter.  Steve will draft new letter.
  • CAWS2000 wants to create own web site.  I tried to dissuade.
  • CAWS2000 wants to create E-mail loop.  Webmaster to discuss with Karen of Phoenix 2000 committee.
  • Have investigated shopping cart software & certificate costs.  Ballpark cost: $1000.  Full details next meeting.

CAWS2000:

Office will purchase copy of Quickbooks Pro and ship to Phoenix.

CAWS2001:

Office has opened initial bank accounts at Citibank.  $2500 seed money.

NEW BUSINESS:

None
