World Service Office Board of Directors Meeting

July 24, 1997

Proposed Minutes

MEETING was called to order at 7:35 PM

SERENITY PRAYER led by Scott

TRADITION TWO was read by Jeff

CONCEPT TWO was read by Meredith

ROLL CALL

QUORUM was met

Motion: To approve minutes of 7/10/97. Seconded. PASSED.

OFFICER’S REPORTS:

Chairperson: Currently: Still working on the Policies & procedures project. Has visited the office to check on daily operations during KD’s absence. Everything is running smoothly.,

Vice Chair: No report

Treasurer: Scott gave an abbreviated report: We have money in the bank and the bills are paid.

Secretary: No report

TRUSTEE REPORTS

WSO Trustee: Conference call this coming weekend. Susan’s E-mail address is odyangel@pacbeil.net.

We are receiving a lot of Email from people who have family members who are addicted to cocaine. Can we refer them to Co-anon? Referred to new business

COMMITTEE REPORTS:

Finance: Office Finance Committee will meet this weekend to draft the 1998 budgets (plural because of the likely change in accounting year). The Committee requests that the Trustees submit their budgets prior to the conference.

Conference:

1997: Meredith spoke with Randall about informing the Conference Vice Chair of the newly vacated Conference Chair position. • The Raddisson Hotel contacted us; we have yet to meet our quota for reservations. Mary will fax a list of conference & area Chairs to Randal! in order to facilitate contacting them and urging them to get their delegates registered. • The Unity lunch will be too costly at the Raddisson. Randall and Meredith are looking into other, more economical options.

1998: We will soon have three proposals to submit to the committee. Some possibilities are The Raddisson, The Furama, & The Burbank Hilton.

Structures & By Laws: No report Hospitals & institutions: No report

Public information: Chuck reported that there is still no PSA translation from Montreal.

Convention:

CAWS 98: Jeff will report to Lenny that we need a response from the CAWS ’98 committee re their allotted page in the upcoming NewsGram. At this point it is still blank. • The Hotel contact (Steve) is no longer with the Marriott. • A new chair will have been appointed by the next meeting.

CAWS 1999: Are we ready to negotiate with the hotel? Meredith has reviewed the initial proposals sent by Quin, CAWS 99 Chair, and has some concerns.

She is playing phone tag with Quin. • We are in receipt of what appears to be a tentative agreement between the CAWS ’99 committee and the Milwaukee Hilton. Meredith to contact Quin and clarify this situation. • Scott has a letter from Quin.(CAWS 99 Chair) requesting WSO research legalities of running the Harley raffle from California.

CAWS 1997: WSO is in receipt of the “pass it On report” from Denver Literature. Chips & Format: Steve just got a Draft of the Traditions pamphlet and is reviewing it for editing purposes.

OLD BUSINESS

-Disclosure of Board Discussions motion: (Susan; Tabled 3/14/97)

Motion: That board discussions and items delegated to board members are not taken outside of the meeting and discussed with third parties except where directed by the board. Seconded. Motion Withdrawn.

A discussion was held regarding the intent of the withdrawn motion (above), it was noted that we would hope this proposed manner of action would go without saying—but, in the past, there have been problems created by Directors speaking or acting out of turn in this situation. It is therefor the consensus of this board that all Directors act within the letter and the spirit of the following method:

If a Director is delegated by this Board to perform a task or address an issue, particularly when that task or issue involves contact with a third party outside of this board, no other director is to take any action or contact any third party regarding the issue until after it has been addressed by the delegated Director.

-Trademark in Canada: Postponed (KD 6/12/97)

-Change in frequency of CAWSO Board meetings Motion Tabled (KD 6/12/97)

NEW BUSINESS

-Referrals to Co-Anon or other:

A discussion was held regarding possible tradition six violations in referring E- mai! request from Friends or family of active addicts to Co-Anon.

Motion: That any requests, in any form, from family or friends of active addicts be responded to with our standard explanation of CA and the information that there are other 12-step programs available to Friends & family of addicts, and provide appropriate referrals. Seconded. PASSED.

-Meeting dates in August.

We will meet three times prior to the conference. Mon 8/4; Thurs. 8/14 & Monday 8/18.

Motion: To adjourn at 9:27 p.m. Seconded. PASSED.

MEETING ADJOURNED at 9:27 PM with the Lord’s Prayer
