1) CAWS Convention updates:

–CAWS 2009 (Randy/Richard) –

Richard: Scheduled final meeting, wrap up and secure “Pass it on”…Have not received any final numbers. Will get “Pass it on” to the 2010 committee.

-CAWS 2010 (Kim) –

Kim: Several members of the committee attended the convention in Denver. They sold about

$1800.00 of memorabilia at Denver. Registration forms were distributed. At the Convention they expressed concerns about communications with office, and the DPRD. Trevor and I chatted with members of the committee to work on ways to resolve their concerns. I have been working with Willie to accomplish getting things resolved, and information to the committee. Committee is working on keeping the budget down; they have adjusted it to reflect lower costs, yet leaving the approved budget as is. “Reg-Oline” is up and running. Memorabilia is yet to appear on the “online store”. Fundraising continues. Will attend their next meeting in August.

-CAWS 2011 (Randy/Richard)

Randy: Contract for the AZ Biltmore has been finalized, committee did get the hotel rate down to $125.00 per night (with 10.00 rebate, and free self parking), got all meeting space, large convention center. Very nice property. Did have the convention there in 1990. Steering Committee is meeting today. Events: fundraiser- “We treat” in planning stages. Established a “volunteer committee”…maintaining a list of those that want to help, but necessarily don’t want to be on a specific committee or a committee chair. Budget was set, adjusted the budget to meet the needs of the fellowship. 1600 room nights has been set in the contract.

-CAWS 2012 (Nicholas)

Nicholas: Been to London and Brighton to view hotels. Looking at other hotel options. Sub-committees are coming together. Committee requested Nick’s assistance in viewing the hotels.

Joy: Motion to approve, second by Richard. Discussion: Kim S.: concerns about them going out to the fellowship without further review by WSOB.

Joy: Motion to table until quarterly, second by Willie. Motion passed.

2007.10.14 TEC Status (Kim, Trevor)

Kim: The interview schedule has been set; all interviews will be on Tuesday morning, starting at 9am, wrapping up by Noon. Voting will take place Wednesday night at 630pm. Trevor has sent our email correspondence to the TEC Delegates regarding the start time. We should be hearing from them, confirmation of arrival, etc. One delegate from the PSR is moving, so we will need to contact the TEC Alternate from that Region (Susan B.). Just need to get copies made for the process. – Update at quarterly

2008.08.03 NADCP, June 10-13, 2009 – (Richard) – Marker for next year

Richard S.: First attendance to NADCP, Patty and Susan along with Richard manned booth each day. Hayward, Carl, and Tom also attended. 700 books were given out…No “principle” coins were available as previously discussed; chips of other languages were made available. Secured info from those visiting our booths, WSO will follow-up with those attended…electronically and phone follow-up. Did meet rep from NA. Booth next to CA wanted a copy of our book for “National Archives”, and they wanted to make it available in the “National Archives.

Our booth was also next to Window Company, they wanted to sell our chips out of their catalogue. They manufacture our chips. This option could increase out “profit”. If we go this route, will have to have them sign a vendor’s agreement contract. Next year it is in Boston. MARKER

2008.11.11 AA permission (Trustees, WSOB)

Hayward: WSO sent the letter to Mary at the AA World Service office, receipt was received that they got it; these items have been scanned and posted to the yahoo groups.

Willie: Sent out a report; that the AA office manager has received, and was having this reviewed by AA.

RE: email info that was sent this morning: Willie: with the disclaimer, Patty requested if we could sell the books (HFC2) we have, with the disclaimer, only in the US, not outside…

Joy: Do you feel comfortable selling the book with the disclaimer.

Willie: Yes, from a financial place, but not from a spiritual place. With AA dragging their feet, we can’t move forward. Yes…

Joy: Financially we are in the red…many orders for HFC2, $6000.00 worth of orders on hold.

Joy H.: Motion to sell HFC2 in the US only with the disclaimer…Second by Willie B.

Discussion:

Willie: With the disclaimer, the one that AA has provided to us, I think that we are covering ourselves.

Joy: We are in a financial bind, selling these would help…with the disclaimer in the US only, would allow us to sell the $6000.00 in back orders.

Richard: Speak against the motion, while there is a spiritual aspect, there is an aspect of doing the right thing, we are told by the AA disclaimer must be position in the book where there are change…I do understand the money aspect.

Trevor: I speak against the motion, while I hear the agreements about our financial situation, it doesn’t set right making an amends. Doing something like this would appear that we are staying to screw them. Maybe we need to look at other ways to raise fund…it looks like “back door stuff”. Hayward: ETA of HFC2? Will be done with the typesetter soon, proofing will take another month. Willie: Spiritual I am with you all, but from a business place, AA does not have permission to give us permission, it is Public Domain…it’s not back done stuff…we have requested a face to face with them 45 days ago…they have not gotten back to us in a timely manner…AA will not give us permission, because it is not theirs to give due to copy write laws…amends that we are have attempted to make is not coming soon enough…they are not going to give us permission Richard: Public domain topic is one of the reasons why they have come out with editions 3, and 4…to protect their book…I think the public domain is a bad stand to take to “allow” us to move forward with selling the books.

Joy: It is Fair Use Law…that is what this falls under…

Richard: So it is not Fair Use…Big Book version 4 is covered under copy write laws.

Joy: I believe under the Fair Use Law, that “How it Works” is allowed to be used, even though they redid the Copywrite on the 4 edition…they can only cover new stuff, not old stuff.

Richard: You are correct, that is AA’s way of correct the errors of correcting the past lost of losing the copy write.

Trevor: Listening to debate, and yes we have made an attempt to make amends, we made a mistake, we need to honor the original reason why we are making the amends, if we publish it even with the disclaimer, is that really right…I hope we don’t go down this path. Just because it’s gotten tough, we are going to divert from our original motions.

Nick: Very aware of the last paragraph of the letter…”We did this…we did that…how do we make an amends…” we need to make the amends, and then sell the books, not the other way around… Willie: What if we along with disclaimer, we change the part of “How It Works”…restore it with the original wording?

Friendly amendment: Take out the changes to HOW restore it to original text as it is stated in AA book with AA disclaimer.

Motion with friendly amendment: Motion to sell HFC2 in the US only with the disclaimer, and take out the changes to “how It Works” and restore it to the original text as it is stated in the AA book, with AA disclaimer.

Robert: Speaks against the motion

Randy: Speaks against the motion…we need to follow though with our plan…not necessarily against selling the books in the US…just we need to adhere to our plan.

Original motions, March 2009:

Motion 1: WSO is working on…letters are going out regarding the distribution of HFC I and HFC II, and the availability of those publications. There has been positive response from some Areas/Regions regarding the forth coming changes to regarding the motions. – DONE.

Motion 2: Have asked Willie to investigate, there has been no evidence that Richard or Patty have contacted AA regarding this. – DONE

Motion 3: WSO/Patty is working on coordinating meeting.

Update from May 2009:

  1. Motion to cease publications and distribution of any material and or literature containing “How It Works” in any medium. Second, passed.
  2. Motion to have TAL investigation as to whether or not we have permission to re-print with redistribution (all media) of other AA literature/phrases…ie: “The Promises”, and “A Vision for You”. Second, passed.
  3. Motion for WSO to set up meeting, face to face, with AA to address the problem and ways to solve it, make amends, ask forgiveness, and how can we make further restitution. Record of meeting via minutes should be distributed to the WSOB and WSBT. Meeting to include the local Regional Trustee. Second, passed.
  4. Motion that a letter regarding this issue be drafted with members of both Boards involved in the writing of it. Letter should be approved by both Boards before distribution. Second, passed.
  5. Motion to address the issue with the fellowship via letters to the delegates, Newsgram articles, CA website, assemblies, and delegate mailings…after the meeting with AA. Second, passed.

2008.11.12 Accounting internal procedures (Joy, Willie)

Willie has posted some info to the group; decision will be made at the July 23 meeting…motion will be made at the WSOB meeting to approve…waiting to see if they have any suggested changes. WSBT will then approve the changes that Tom or the WSOB has made. – Update at quarterly

2008.11.14 / 2008.11.15 Trustee Event/Trustee to the DRPD (Richard) – DONE

Richard: NO communication, no updates, no changes, briefly mention talked about…should this be pursued.

Hayward: $40,000 is budgeted for this event…

Joy: $60,000 is the income, $40,000 cost.

Willie: At this time this is not an issue…WSO is looking to cut one of our quarterly meetings…??? Is the money there? This has been in the making for two years…

Hayward: How is WSOB going to go to the Finance Committee and request that we drop a quarterly?

Willie: WSOB is looking at possible cuts…

Hayward: Let’s have Richard continue communications with the WSO regarding this.

Randy: Why is this not being pursued, with $20,000 income…??? We, as a group, need to look as to why it is still on the budget.

Richard: Motion to remove this item from the budget, second by Trevor.

Randy: Friendly amendment: as financial planners, we make this decision, with input to the

Finance Committee via a referral. (Joy will write) Line item: 400420 World Service Event/projects $60,000 expense, and 906100, $20,000 income – to be removed from the budget REFERRAL to be written – JOY.

2009.04.07 – Interim restructure project (Willie)

Willie: Discussed Interim spending notes received as of this date.

Hayward: Questions about the “Place holder” – hiring OM for future DOO – they are going to try to do this?

Trevor: That the WSO hire the OM, as future DOO…takes the WSBT out of the loop…we need to be involved in the hiring.

Willie: Doesn’t like the wording either, in conversations, they would put forth the best candidate for the position, and that we would vote them in.

Joy: OM verses DOO…what is the difference…why are we going this route.

Willie: Looking at the “assistant” approach.

Joy: Questions: Referring to the WS Manual says that we are to have two directors…we need to fulfill these positions with people that have working knowledge of California laws, can supervisor an office, and has knowledge of the accounting procedure in the office at this time.

Kim: The Conference has approved a two directorship WSO, not one, with a DRPD, and an assistant. We are charged with seeing that this is done…maybe we need to restructure the current office, and let someone go so that we can have the funds to hire the DOO. I agree with Joy.

Willie: Motion to move forward with hiring a DOO, releasing the announcement to the fellowship, second by Joy.

Randy: Do we have money to do this. Against the motion.

Joy: Yes.

Message: The WSO changed the name of our event for the CAWS 2010 from picnic to BBQ. Come to find out some members were offended by this word back in the 1990’s. This clearly an outside issue. What should of and should be said is if you want to use the word BBQ that is fine and if another group wants to use the word picnic that is fine also. Q.

What is the origin on the word picnic?

You may have read the gossip sweeping the Internet on the origin of the word picnic. Some claim that picnic is derived from lynching parties of blacks. This is incorrect.

Instead, the origin on the word picnic is French (piquenique) and was invented long before the atrocities towards blacks took place in America. This French word – piquenique – signifies an outing with food – similar to the word’s meaning in English. At these piqueniques, the attendees

would all bring food to the occasion, similar to what we call potlucks today. The outdoor concept of a picnic did not originate until the 19th century.

So, how did this word originate? We are unsure what the word pique actually means. There are two options: leisurely eating (picking) or a delicacy of food. Nique was selected since it rhymed with Pique.

Historians have found this French word in references outside of the French language as early as 1748 and into English by around 1800.

We have recently set up a new district in a part of the UK . we held out first DSC last week where it was decided we would create our own website for communication between the CA fellowship. Some of the emails that are coming into the site are from members business addresses, is this spiritual and what would you do with this matte? It seems to be conflicting with my understanding of anonymity, the 12 steps, traditions etc.. I have spoke to my sponsor who has made a suggestion on how to approach the individual with love and tolerance.. I was interested in what you would do in this matter.

She has no desire to stop using cocaine and all other mind altering substances, reason being she is does not use drugs. She is suffering from emotional stress and he feels that the meeting would or could help her. Our meeting is an open meeting so does this mean that she is welcome to attend and share about her issues?

To insert a new paragraph on page 13, following point C:

“As to alleviate our affiliation, when referencing the name COCAINE ANONYMOUS,” the block letters “C.A.”, the official COCAINE ANONYMOUS LOGO* (hereinafter “logo”), future variations of the logo, and the motto “WE’RE HERE AND WE’RE FREE”, on publications such as flyers, newsletters, directories, the following disclaimer should be used: “In the spirit of Tradition Six, CA is not allied with any sect, denomination, politics, organization or institution.”


  • Media process of approval for distribution to the fellowship: Refer to S&B; to add language to the Service Manual:

All “media” available to the fellowship should be approved prior to distribution accordingly by local groups, districts, areas. All media distributed to the membership via on the CA website should be reviewed by the WSBT and the WSOB prior to posting.


> Statement in the WS Manual regarding the use of the CA logo on internet:

Refer to S&B; to add additional language to the Service Manual: the use of the CA logo and our protected trademarks on “Facebook”, “My Space”, and other similar sites is not appropriate, or acceptable. The WSBT’s position is that the use of the CA logo and our protected trademarks on “unauthorized” webpages/websites is not within the traditions, and we are concerned as to the interpretation of possible affiliation, endorsement, controversy, and over all anonymity

If a C.A. group wishes to use any of the above C.A. trademarks on the C.A. group’s website, The Service Committee for the Area (or District) must have approved the site, and the Cocaine Anonymous World Service Office (CAWSO) must be contacted by an elected officer of the Area (or District) where the group resides with a statement to this effect.

If a C.A. group chooses to be a “stand alone”, meaning not attached to the Area (or District) where the group resides then the Cocaine Anonymous World Service Office (CAWSO) must be contacted by an elected officer of the group with a statement to this effect.

In either of the cases above the request is forward to the CAWSO Web servant, Regional Trustee, Area/District Service Committee and World Service Conference Information Technology (IT) Committee to verify that the site is in compliance with the Information Technology (IT) Committee Workbook and Guidelines, these guidelines are available for review on the service section of www.ca.org.


>Amend the fiscal year budget, to include TAL, WST, and WSOT budgets:

Refer to Finance Committee:

To add to the 2009-2010 annual budget line items for TAL1 & TAL2. TAL 1 should have a budget of $500.00 and TAL 2 should be zero.


  • H&I verbiage regarding picnic: Referral to H&I

To remove/replace the word “picnic” from page 29 of the H&I guidelines in line with previous decisions made by CAWS.


2009.05.09 Financial status CAWS Inc. (Joy)

Joy: Need financials for May finals, and drafts of June.

Willie: They are not done, year end reports are done. Will forward as soon as he has them.

Joy: Wondering why the office is so slow getting statements to us.

Trevor: Motion that the WSBT form a subcommittee to draft a list of requirements to be delivered from the WSO to the WSBT that must be delivered on time, additionally this should state the consequences if the list is not done. Second by Joy.

Kim: Speaks against the motion; we already have plenty of work to do. And we have some of this already in print. Let’s affirm that the employees and volunteers at the WSO follow the requests of the WSBT. Need the Chair of the WSOB active in the supervision of the office.

Randy: Speak against the motion, I feel that this the responsibility of the Treasurer…he needs to follow through with the needs of the WSBT.

Willie: All communications go to the Treasurer, and are copied to the DRPD, something is missing in the completion of the items that we need. Speaks against the motion.

2009.07.05 WSBT Finance Sub-Committee, WSC Finance Committee (Willie) – DONE Willie: Joy and Willie have discussed this, Kim and Lawrence also “chimmed” in on this… Sometimes it appears that there is communication that has been transmitted regarding finances from someone else other than Willie to the WSO. Revisions from Tom and Patty seem to have been influenced by someone. At the August quarterly, would like to be lead on these committees.

Joy: Would like to see a group conscience regarding the best person to serve on these committees.

Hayward: Concerned about situations between Joy and Willie.

Willie: Concerned about information going to the office from the WSBT before it should.

Kim: I would like to see the best qualified people serve on the committees that they can be most useful to the fellowship. Lets be mindful of this conversation today when choosing what committees we will serve to next year.

Lawrence: Agrees with what Kim said.

Joy: There has been no conversations regarding WSBT business with the WSO, and or Patty.

Trevor and Richard: Questioned there communication with Willie regarding office business, and wanted to affirm that it was all ok…Willie: yes all is good.

Joy: Reporting from Barbara…Nick speak more clearly, Robert and Lawrence speak up!!! Some questions came up regarding the March Quarterly…will address them with Kim. Missing part of the March Quarterly…first four tapes just had a high pitch sound on them…Hayward will check on his downloaded ones.

  • Speakers selected through conference approved guidelines
  • Speakers are requested to complete a sign-off (referral to conference 2009) sign-off filed with taping contractor and world services – past speakers will not have sign offs
  • Recorded through contracted recording company
    • Contract to provide for specific acknowledgement of CAWSO, Inc… ownership
  • Master copies delivered to WSO – all speakers put on speaker order form and website
  • Choice:
    • use of contractor as drop ship vendor or we burn CD’s at office
    • WSO burns CD’s
  • Speaker labels must have: label including disclaimer as follows: This recorded audio speaker is only sharing his or her own personal experiences and opinions – they are not representing C. A. as a whole.”
  • We do not have any workshops on our order forms.

2009.07.09 DRPD announcement (Willie) – DONE Willie: Should we post this announcement as well Richard: We all stated “yes” back in May.

Willie: Will have a general announcement for both, will send out to board for approval.

2009.07.10 Regarding: Use of Palm Springs for quarterly meeting – additional cost to WS approximately $300.00. – DONE

Much discussion…decided to stick to original plan…dinner at 5pm, and quarterly at 7p…all at the lovely Four Points Sheraton and the Palm Grill.
