COCAINE ANONYMOUS WORLD SERVICE OFFICE
Minutes of Board Meeting
January 25, 1990

ATTENDEES:

Meeting called to order at 7:15 pm with quiet time and the Serenity Prayer.

Bunny read the Third Tradition.

Pam read the minutes from the December 28, 1989 Board Meeting. Motion to accept minutes as corrected. Seconded and passed.

Votes were taken on prior motions to approve the following:

  1. Putting an additional $1,000 aside for the Conference and an additional $1,000 in the office’s prudent reserve.
  2. Giving David a 5% increase for cost of living.
  3. Accepting the minutes from the November 30, 1989 Board Meeting.

TREASURY – Bob C.

Balance of Trust Account: $7,834.34 (not including segregated funds)
Balance of Operating Account: $836.40
Total working funds: $8,670.74

Segregated Funds:

1990 Conference prudent reserve $7,000.00

Dance Around the World $529.24

WSO prudent reserve $3,000.00

Total segregated funds: $10,529.24

OFFICE MANAGER’S REPORT – Mary C.

An activity report for January, 1990 was submitted to the Board. Mary brought up the chips and literature order from Portland, Oregon (Maine) which was rather large and it was discovered that the order came from a “serenity shop”. The literature can be sent, but the chips cannot, per the Trustees’ previous decision. Ray suggested returning their check and order form. He will handle this and send a letter with it. Bob suggested making a standard form letter stating our policy on selling chips and literature to outside enterprises for future use. Fabric samples for the banners were shown to the Board. The vinyl banners with all of the hardware would run $23 each and they would come from the same printer that does the literature. A concensus of

the Board was to use vinyl. Ray and Reggie want to see 2 more bids in writing. There have been reports of the Board room not being cleaned up after committee meetings and they have possibly been using the office computer. The Board members, Trustees or office workers that are present for these meetings will make sure that the room is cleaned and the computer is not being used for committee work. Bob brought up the issue of selling chips to groups since it could be a potential financial problem for the areas. This was discussed. Meetings should be encouraged to support their areas and buy from them. David has been give his 5% increase. Rent for the office was increased by approximately $64/month.

OLD BUSINESS

A) No response has been received from Hazelden regarding the letter.

B) Pam submitted the information she received from New York on the Loner’s Group. Pam will write a letter explaining this group and encouraging response (to go out) with orders and to delegates. . The 3 people that have requested contact must be asked if their addresses and names can be published as well as their letters.

C) NHC hasn’t contacted Helene yet.

D) No response has been received on the letter regarding the change of the Conference dates.

E) The job descriptions were not available at this meeting, but will be gone over at the next Board meeting.

F) The Trustees’ suggestions for the office need to be gone over next month.

G) Some response has come in on the letter regarding donations and has met with support, however, many areas are not financially secure.

H) The Newgram should be out soon. Reggie wants updated meeting counts readily available. Mary and Ray will update this information once a month.

I) There are still computer problems in regards to the World Directory and it is being worked on.
J) The rough draft of the Connection was submitted to the Board. It is ready to go, but they still need some editorial support.

K) The spending committee for the office hasn’t been implemented yet and this needs to be done soon.

NEW BUSINESS

A) Office hours were discussed. A motion was made to change the office hours to be 9:00 to 5:30. Mary suggested giving David the option of taking a one hour lunch and working till 6:00. Seconded and passed. The answering machine tape needs to be changed to reflect the new hours.

B) Computer checks are being looked into since the financing software is working so well. There was discussion to bring the bank account to a closer location and get an interest-bearing account. A motion was made to change banks and get an interest-bearing account, and the people doing the banking will get 3 bids from different banks on their interest rates by the next Board meeting. Seconded and passed.

C) Helene announced the placement of the Board members: Bill Z. – Director and Pamela Kelly – Vice Chair. Bunny is here to observe the meeting. She will consider (and be considered) for the secretary position. Bunny was thanked for her help in the office that she has volunteered – especially in David’s absence. Bill Z. will be working on publications as part of his position. Mary gave Bill the temporary order forms and he will submit a camera-ready piece for this by the next Board meeting. Helene will give Bill Suzi’s and Haney’s phone numbers and get his number to them to assist them in getting printing done.

D) There are 32 areas, so far, having a Dance Around the World this year, which is up from 17 last year,

E) Upgrading the office was discussed. Mary will get quotes for literature bins, mail room bins and a small microwave. The painting party and carpet cleaning needs to be done soon. An answering machine was found at Adray’s for $170 and will answer 2 lines. Mary has looked at several places and feels this is the best deal and would like to purchase it. She would also like to purchase floor mats for the chairs to protect the carpet and have another phone for the stock room. This would all come to a total of $600 or less (exclusive of the carpet cleaning and painting). A motion was made to approve a budget of $600 for the above mentioned. Seconded and passed.

F) Reggie is still looking into desk-top publishing, specifically, a printer and he feels that a laser printer is a good idea. He submitted a “spec” sheet on one to the Board. He felt that the 386 micro-computer could handle the Connection and the Newsgram and feels that some pricing should be done. It would pay for itself in 2 to 3 months. It would run approximately $2500 to $3200. Programs that are currently being used in the office can still be used. He will bring in three bids on a computer and a laser printer. A motion was made to have Reggie submit 3 bids on a computer and a printer. Seconded and passed.

G) The Conference minutes still haven’t been consulted regarding the v-loks.

H) Bill will meet with David and go over office procedures and see if there is a way to stream-line some of this.

I) The Trademark office sent a Notice of Publication dated 1-16-90 to
publish our mark for public opposition in the Official Gazette dated January 30, 1990. If there is no opposition within 30 days, a Certificate of Registration will be issued.

J) The listing of the office’s phone number was discussed and it needs to be listed under every possibility with Information.

PUBLIC INFORMATION – Bill Z. in proxy for Mark Anderson

A copy of the letter to the Wall Street Journal responding to the article they published entitled “The Second Wave of Cocaine Addiction” was submitted to the Board. It contained Cocaine Anonymous’ preamble as well as directing any further inquiries to the CAWSO PI committee. A copy of the minutes compiled by Mark A, for the committee’s activity was submitted to the Board as well as an order form for PSAs.

Meeting adjourned at 9:45 pm with the Serenity Prayer.
