MOTION Tom P. moved to approve the December 2020 WSOB minutes, Alesia seconded the motion.

Motion passed unanimously.

CAWS CONVENTION REPORT

CAWS 2021 – Austin – Susan L. – Written Report Submitted

Highlights: The Steering Committee met via Zoom on January 9, 2021 to discuss actions to move forward A full Focus Group meeting has not been scheduled as of yet. Memorial Day 2022 is available at the Hyatt. Waiting to see by month end if hybrid our virtual committee may happen. Discussion was made that if it’s virtual, it should be a global convention and not hosted by Austin.

CAWS 2022 – New York – Alan S Present – No Written Report Submitted

Highlights: Two Steering committee meetings were held. The hotel where the event is planned is closed and will be closed until mid-march, possibly later. Due to COVID, the General Manager is the only person in the hotel and the committee is in contact with him. Committee is researching other hotel options. Memorial Day or 4th of July weekend is not

available at the Marriott Marque. Two weekends after 4th of July, Thursday, Friday, Saturday Sunday, Monday – $199 per night at the Marriott Marque.

CAWS 2023 Atlanta – Michael S – No Written Report Submitted

Highlights: The steering committee met on January 6th. Robert attended and explained to everyone their job duties and fundraising. Committee was excited to hear from Robert. Hotel is still good for 2023, everyone should have copies of the contracts. Everything is going well

CAWSO 2024 – Amsterdam – Joost van K – Written report submitted

Highlights: Artwork and theme presentation was made at the meeting. Fundraising Chair and committee wants to take the next steps with getting a local bank account and has reached out to Lolita. Will be meeting with Robert soon.

OFFICE DIRECTOR REPORTS

Director of Operations- Lolita S– Written Report Submitted

Highlight. AT&T to install internet service (increase in speed). Lolita will contact 8X8 to replace telephone service. Inventory over by $341 (correction: actually $431) . HFC II: Quote has been signed and waiting for 2,500 books. Thank you letters will be sent soon. Board held a discussion on thank you letters and privacy statements and laws.

DIRECTOR REPORTS

Chair – Brenda M. – Written Report Submitted

Highlights: Yves has sent an editable version of the French version of AQP. Discussion was had regarding receiving original/editable version of all intellectual properties. Benefits for employee healthcare is complete and one employee has opted in. Others opted out.

Vice Chair- Alesia F – Written Report Submitted

Highlights: 25 Referrals are closed. Several more will be closed soon. Goal is to complete 2019 and 2020 referrals. Conference considering virtual Conference. Alesia has not been added to Archives yet. Discussion had about referrals being assigned and closed.

Treasurer – Michael T. – Written Report Submitted.

Not present, written report submitted.

Director at Large – Pierre K. Written report submitted.

Highlights: Storage of materials (literature, etc.) referral that LCF has assigned to Pierre. LCF wants the office to bring into the manual Publication Guidelines. Brenda mentioned that providing storage space is on the project list.

Director at Large – Ron D. – No Written Report Submitted Highlight: None.

Director at Large – David C. Written Report Submitted

Highlights: David will provide a formal response regarding Freedom Fund Referral. Discussion had regarding NADCP being in the wrong line item in the budget ($5,000). It should be WSPI code and removed from Office line item. Brenda to discuss with Michael. Denmark translation issues. Plans for European PI Summit as shoulder event at 2021 London Area Convention all under review

TRUSTEE REPORT

WSOT Trustee – Kevin M – Written Report Submitted

Highlights – Several options for phones have been researched and 8X8 seems to be the best option. California provides a 50% reduced bill because of our non-profit status. Kevin is looking into shipping items and printing outside the U.S. Discussion was had about Groups.io and other possibilities of storing and sharing documents. This project was handed to Lolita.

WST Trustee – Tom P. – No Written Report Submitted

Highlights: Attorney from Florida is asking us to forward a claim for a dog bite that happened at a CA event in Florida, which we are not responsible for and Tom will inform the attorney that we are not responsible. This was also reported to WSBT Legal. Tom received a proposed amendment to change 2021 Austin Hyatt contract to 2022.

COMMITTEE REPORTS –

Finance – Michael T. & Brenda M

Highlights: The committee reviewed the 2020 budget and distributed it to the WS Trustee for review and approval

Structure & Bylaws – Open

Highlights:

Convention– Ron D. No WRS

Highlight: Meeting is on Sunday.

Conference – Alesia and Linda – No WRS

Highlights: Linda attended the meeting. Reported that Lolita would be on the committee.

Highlights: None, meeting was cancelled.

Literature, Chips & Formats – Pierre K. WRS

Highlights: The committee is active. Committee wants to know if a digital literature distribution process is place. Nothing in place at this point in time.

Hospitals & Institutions – Pierre K. WRS

Highlights: Who is replacing Kevin as their Trustee? May be Yvette

Public Information – WRS

Highlights: The brochure on to the professionals has an error which is being corrected and will be send to the LCF committee. Denmark is waiting for approval of translation of pamphlets into Danish. Need feedback from Kerns. Helplines discussion is finished will touch based with Randy about recommendation from this board. Comments on the branding guidelines

IT – Open

Highlights: No

Archives – Open

GUEST REPORTS: Cathal made comments his interest in service at this level.

ONLINE BUSINESS: No online business.

UNFINISHED BUSINES

Brenda reviewed the WSOB Project Deliverables report and discussed various projects on the report. This included the Privacy Statement, which was referred to WSBT and the office manual. The WSOB Project list will be discussed monthly during WSOB meetings. Discussion was had regarding advertising WSOB positions.

NEW BUSINESS

Bank account signing: Motion made by Alesia F. to add Brenda M. and Tom P. as signers on the bank account. Motion seconded by Lolita. Motion passed.

Motion made by Alesia to remove Kevin and Yvette, and Randy from the bank account. Motion seconded by Lolita. Motion passed.
