COCAINE ANONYMOUS WORLD SERVICE OFFICE
Minutes of Board Meeting

January 10, 1991

ATTENDEES: Pam K., Bill Z., Brian N., Carrie C., Ray G., Bob C., David C., Mitch B.

Meeting called to order at 7:30 p.m. with the Serenity Prayer.

Bob C. read the fifth tradition.

Carrie C. read the minutes from the Board meeting of December 13, 1990. The minutes were accepted with minor corrections.

COMMITTEE REPORTS:

OFFICE REPORT – David C. (see attached)

David C. informed the board that financial information, inventory, and sales tax information had been erased from the 1990 software package. To prevent further mishaps new passwords for the computer have been implemented and the new program is backed-up daily. Bob C. stated that the WSO has hard copies of all check packages for orders and donations so it is possible to recompile information that has been lost. Bill Z. believes he might have a back-up copy of the missing files. Bill Z., Pam K., and Ray G. will contact Bob C. to arrange for the restructuring of the inventory files with hard copies.

Helene H. faxed a copy of the literature contract which had not been signed by Michael Dardis of Major Graphics.

Bob C. has not yet spoken to Wendell * s regarding the quality of metal chips.

Approximately $ 1100.00 in undeposited literature and donation checks dating back to the fall of 1989 was found during a preliminary file cabinet cleaning for 1991. The WSOB was informed. Calls were made to the check writers. Approximately $750 will be recovered. All checks were mailed back to the check writers with notes.

PUBLIC INFORMATION – Carrie C.

The next PI committee meeting will take place at the WSO on January 12, 1991. It will be suggested that the first order of business be opening the backlog of mail that has accumulated since Mark A. and Jay W. resigned. Other suggested agenda items will include election of a secretary and a discussion of who might be qualified to take over as chairperson.

Ray G. informed the board that the services of Susan Roseman have been paid through the first week of February 1991.

NEWSGRAM & CONNECTION – Bill Z.

Pam K. informed Nancy T. at the last board meeting that a letter would be drafted to the conference committee chairpersons requesting committee synopses for the Newsgram. David C. has spoken to the chairpersons and some committee reports are already enroute to Nancy.

Brian N. will call Craig H. for a Connection update.

WORLD SERVICES DIRECTORY – Mitch B.

A second quote for the printing of the directory has been obtained. The third party for the third bid has not responded. Brian N. will obtain the third quote. Ray G. indicated that the company that is printing the 1991 World Service Convention registration forms can do our printing for half the cost of ”Wright-a-Ways” bid. David C. will contact the printing company.

Mitch B. will compose a letter requesting meeting information updates from all areas which will also explain that the delay in printing the directory has been due to lack of funds.

FINANCE REPORT – Ray G.

Bills were paid amounting to $ 10,549.94. All bills are now current except for $ 2,000 owed to Kimberly Ward for the 1990 World Service Conference and trustees” expenses for the November 1990 meeting.

Ray G. stated that a 60 day break from the pub lie relations firm is needed due to our financial situation.

Ray G. met with the accountant who is currently working on the last quarter of 1990.

David C.’ s checks will be written on the payroll account as of this date.

Carrie C. will do CA Book mailings and copies at the WSO to save money.

David C. will obtain the copy machine and postage meter agreements so Bob C. can review them to determine if money is being lost or saved and if we can be released from either agreement.

There is a $ 1350 security deposit for the rental of the WSO. premises. An option to release should be decided upon in May 1991.

Bob C. will speak to Greg Spaulding regarding the service contract on the copier. We are heavily insured on the copier

and $ 9.55 is being paid that might not be necessary.

LONER’S PROGRAM – Pam K.

Jay W. turned in all of the information he had on the Loner’s Program to David C. which was subsequently turned over to Helene H. Helene will be contacted regarding needing pre- approval before mailing letters.

OLD BUSINESS

PRINTER REPAIR/REPLACEMENT BIDS – David C.

Not done. Bill Z. brought in his office dot matrix printer as a back-up.

ACT’S REFUSAL TO SELL CHIPS – Bob C.

After January 1991 groundrules for the sales of chips will be set. The price the WSO pays for chips is not to be discussed with the fellowship.

800 NUMBER – Mitch B.

This issue will be handled at the PI Committee meeting on January 12, 1991.

DEPOSITS – Carrie C.

Carrie C. has and will be making the deposits on a weekly basis unti1 a treasurer is found.

DONATION RECEIPTS – Carrie C.

Carrie C. has created a form letter designed to be both a thank you letter for donations and a receipt. Each letter is addressed on CAWSO letterhead paper to the particular area or individual meeting and dated and mailed the same day monies are deposited.

A log of state donations is being kept and updated on a weekly basis as donations are received. A printout will be distributed with each set of minutes to board members and trustees.

COMMITTEE CHAIR LETTERS – Carrie C.

Carrie C. requested input from the board by the next board meeting so that letters can be sent to all conference committee chairpersons suggesting ways to save money.

MARY C.’S THANK YOU LETTER – Bill Z.

Not finished yet.

SPANISH LITERATURE TRANSLATIONS – Bill Z.

Literature translation will have to wait until the updated pieces are printed.

WORLD SERVICE OFFICE BOARD MANUAL – Brian N.

Anyone who can turn up information is to forward it to Brian N. The actual manual will be updated when an office manager is hired.

REKEYING OF OFFICE – Pam K.

Pam K. will reschedule her appointment to meet with the landlord regarding the rekeying of the office prior to the next board meeting.

Bob C. will contact Mark R. (C.A.L.A’s vice-chairperson) regarding obtaining his locksmith services to rekey the office.

HOLIDAYS WITH PAY – Pam K.

Bill Z. made a motion to approve the following dates suggested by the WSO board as holidays off with pay for the year 1991 (post New Year’s Day) for David C.:

  • Memorial Day – May 5th
  • Independence Day – July 4th
  • Labor Day – September 2nd
  • Thanksgiving Day – November 28th
  • Day after Thanksgiving – November 29
  • Christmas Day – December 25th
  • Floating Holiday

OFFICE MANAGER – Pam K.

Bill Z. will set up interviews for the office manager position and schedule them for January 19, 1991. Bob C., Pam K. and Ray G. will conduct the interviews.

NEW BUSINESS

BOOTLEG ORDERS – Bob C. & Ray G.

Bob C. and Ray G. will look into the issue of suspected bootleg chip orders being requested through the WSO.

ARCHIVES – Carrie C.

Johnny S., Ray G. and Ken C. were contacted by Carrie C. to determine what items are in their possession which might be helpful in structuring an archival system for the office.

The next board meeting was scheduled for January 24, 1991.

Meeting adjourned at 10:10 p.m. with the Serenity Prayer.
