World Service Office Board of Directors Meeting

February 9,1995

Approved Minutes

MEETING was called to order at 7:30 p.m.

SERENITY PRAYER was lead by Scott Stevenson

TRADITION ELEVEN was read by Lee Arter

CONCEPT ELEVEN was read by Kevin Murphy

ROLL CALL

QUORUM was met. Chairperson noted that it is now necessary to have five Board members present to represent a quorum.

MINUTES were to be reviewed by WSOB members prior to the meeting for changes. Motion: To approve minutes with corrections. Seconded, PASSED,

OFFICER’S REPORTS

Chairperson: Scott reported that he and the Office Manager had updated the Office Assistant positions’ Job Description, and would be submitting it for the WSOB’s approval.

Scott also prepared a financial report/cash analysis for the Board of Trustees. Report was distributed to the WSOB. Scott will update and modify this report for the Delegate mailing and possibly the NewsGram.

Treasurer: Barry reviewed the bi-weekly cash flow statement.

COMMITTEE REPORTS

Conference: K.D. spoke with the WSC Conference Committee Chairperson regarding the location of the 1995 Conference. The Delegates are to be notified in the March mailing of the new hotel, if any. Randall O., WSC Conference Committee Chair, will be contacting Burton Cagen for updated information and get back to the WSO. Lee reported that he believes Burton was interested in the Manhattan Beach Hotel we were in a few years ago.

WSC minutes: Brian asked for any corrections to the 1994 WSC minutes to be noted and given to him.

Kevin noted his friend does transcriptions. So noted we may consider her

next year.

Hospitals & Institutions: Lee reported that the committee was working on the new H&i Committee Guidelines.

WSC Public Information: Kevin M. – no report.

WSQ Public Information: Kevin volunteered to resume his role as WSO Public Information Committee Chairperson. The WSO Board welcomed him back. He expressed concern over the unsightly P.l. letters that had been going out. K.D. and Kevin will work on updating them. Any changes to the text will go through the WSOB.

The World Wide inter net is up and running. Kevin reported that a few of the telephone numbers in the listings were incorrect. K.D. will get current Infoline changes to Craig Harris for updating, and continue to do so as the Infoline pamphlet is updated quarterly.

The Public Information Fact File is being updated. The WSC PI committee has referred to the Trustees for review.

Kevin would like to put the results of last year’s P.l. survey in the NewsGram. Convention Committee: Not present, no report.

Literature. Chips and Format: Not present, no report.

OFFICE REPORT – K.D. McCann
K.D. read her report.

Projects Completed:

Changes requested by the LCF Committee on the “Crack” pamphlet have been made and the new piece will be printed next week.

Literature bids are complete between the two printers (Miller Litho and Eureka Litho). Our current literature printer lowered his price to beat Miller Litho and keep the account. We received a total savings of $975.00 on this run of literature.

Projects Pending and Status:

Received a contract from Lise Payette – tabled to Old Business.

Office Assistant ad ran two weeks. KD has received over 50 applications and resumes, and is reviewing and interviewing.

Typesetting of “Choosing Your Sponsor” – pending Trustee direction.

Spanish printing of “H&l and You” and “Crack” – pending Trustee direction.

French Logo. Artwork is being worked on by typesetter.

Registering our mark in other countries – pending Trustee direction.

Memo to Brian and Bob regarding conversation with Sylvie – KD to do.

Officer’s and Directors policy – information necessary was received by the Trustees and the WSOB. KD will forward information to our insurance broker.

Literature on tape – KD to do.

Office Assistant Job description – complete.

Selling old copier. Tabled to old business.

K.D. brought the issue up of 13 and 14 year medallions – does the WSO want to print at this time?

Motion: To print metal chips through 15 years. SecondedDiscussion, Tabled until a future WSOB meeting.

KD was given Friday March 3,1995 off as a personal day.

OLD BUSINESS

The Office Assistant Job description was reviewed by the WSOB.

Motion: To approve the Office Assistant Job Description as submitted Seconded.

PASSED.

Lise Payette contract was reviewed and discussed.

Motion: To approve contract with RES Publica and Lise Payette. Seconded.

Much discussion. Contract was reviewed by the Board. Points and concerns were raised about some of the wording. Revisions were made and contract will be referred to the CAWS legal committee. Motion was tabled.

Old Copier – tabled.

Hazelden Letter – tabled.

Literature printing

Motion: Approve Eureka Litho to print the next run of English literature. Seconded.

PASSED.

NEW BUSINESS

TRUSTEE REPORT – Brian North

Mark Pratt/Coast to Coast taping specifics. K.D. to make contract into a letter of agreement with Coast to Coast. K.D. and Lee to work on this.

Reserve Account investment. WSOB will refer package to Jim S.

French Logo – K.D. reported that the Logo was currently being worked on by the typesetter for Montreal.

Missing soft cover book order from Montreal. K.D. reported that no books had been ordered from Montreal. Brian will contact Sylvie. Discussion took place on what the WSO could do to confirm orders with Montreal. This situation has arisen before, Tabled/referred to Brian.

French translation project – Brian will act as liaison between WSO, Atlantic North Trustee and Montreal.

World Wide Inter net – K.D. to check with Craig H. to confirm address and see what it would entail to get internet address on current run of literature.

Choosing Your Sponsor – discussion. K.D. reported the pieces is being typeset, per the Trustees. Brian will check on distribution of old version. Lee suggested H&l.

WSC Transcripts – Trustees to do list directs the WSO to charge reasonable shipping and printing costs for 1994 WSC transcripts, when copies are requested.

Trustee to do list directs WSO: Any information, document, etc. that comes into the WSO for distribution needs to have Trustee or Committee Chair’s approval.

The issue of charging for the NewsGram was raised. Tabled for a future WSOB meeting.

Re: (800) number incorrect listing. Brian will follow up.

Minutes of August have not been distributed. K.D. will follow up with Jeanne Anne and distribute.

Questions:

  • Are Alaska and Vancouver listed on (800) answering service?
  • Get copy of 10/27/94 letter from Sylvie to Kevin M.
  • Refer questions of Regional Assemblies to Regional Trustees.
  • Starter Kit procedures are not being followed.
  • Sharon Smith will handle all foreign Starter Kits.
  • Discussion on number of books to print for Montreal.
  • Send A.A. disclaimer to Jim S.
  • Find letter/proposa! when Montreal agreed to print literature and send TA cents as well as printer’s invoices.
  • Starter Kits – who gets them? (When a kit goes to someone that appears not to be a member of C.A.).

Motion to increase available C.A. medallions to 15 years at an approximate cost of $600. Seconded. Discussion. Tabled.

WSO Please To Do List from the 02/03/95 Trustee Meeting:

  1. All literature printing and reporting will have the HOMEPAGE address listed with the other addresses. HTTP ://www.ca.org/ (please check with Craig before finalizing)
  2. Print and ship “Choosing Your Sponsor” new version.
  3. Charge reasonable shipping and printing costs for 1994 WSC transcripts, when copies are requested.
  4. Any— information, document, etc. that comes into the WSO for distribution needs to have Trustee of Committee Chair’s approval.
  5. NewsGram could mention that we have tapes for sale.
  6. Raleigh, NC’s 800 number, it is answered “Cocaine Anonymous”, need to find out who they are, and what they say. Do they suggest CA meetings or treatment. Brian and John have their names with this topic.
  7. Approved August minutes of Trustee meeting have not been received yet.
