February 27, 1997

Proposed Minutes

MEETING was called to order at 7:55 PM

QUORUM was met

Motion: To approve minutes of 2/13/97. Seconded.

CHANGES:

  1. Amend page 5, 2nd motion to read for distribution
  2. Amend page 2, paragraph WS Trustee, strike 5*h sentence from She through catalog , change and to She.

OFFICER’S REPORT

Chairperson: Attended Trustee meeting along with the Vice Chair. He was told about a situation that happened at the office, which he passed on to K.D. He is working on a cost estimate for items included in the delegate mailings, also a way to simplify and allow changes to be made to guidelines that have already been mailed to the delegates. Some kind of routing from the conference to the office concerning changes (setting up a procedure.

Vice Chairperson: Attended to Trustee Meeting along with the Chair.

Treasurer: Ed made his report via telephone from Cleveland. As of 2/26/97 we took in $12,074.28 in Chips & Literature sales, $5,836.49 in Book Sales, $2,017.44 from 7th Tradition contributions, $4,608.63 CATW contribution, $38.42 Travel – Hotel for a total of $24,575.26.

We have a WSO total interest account balance of $79,297.28, which is comprised of $31,155.74 in the Office reserve fund, $18,031.04 in the Storybook reserve fund, $110.50 in the PSA reserve fund, and $30,000.00 from CAWS ‘96.

WSOB Trustee: See written report attached. Discussion was held about the Ad-Hoc committee for the NewsGram, It was recommended by the Trustees that Jeff and Steve be added to the committee.

WS Trustee: Per Randle 2/28/97 is the deadline to except the bid for the ‘98 conference to be held at the Radisson Hotel. Meredith will call the hotel to see if we can extend the signing of the contract,

P.S. Trustee: Discussion regarding the CAWS ‘98 convention and that there is a walk through scheduled for Sunday 3/2/97 at both the Marriot and the Hyatt in Irvine. The motion that was passed by the Board of Directors at the meeting of February 13,1997 to sign the Marriot Hotel contract was overridden by three (3) members of that Board and that should not have happened.

Consensus of board members is that future board actions will be adhered to by each member of the board unless another vote or group conscience is taken to change the origina; action.

Office Report: See attached. The issue of the employee sleeping in K.D.’s office and leaving the office open has been taken care of with the employee and he received a formal written notice,

Unity – No report
CLF – Still haven’t heard back from the Chair about the last order of business. Jeff was asked to check with Heidi about the Being of Service piece.
H&l- No report
Pl – E-Mail loop has been set up as well as chat room, K.D. has the #.

Old Business:

Phone system – still pending.

Voice system – near operational, hopefully by 3/5/97

Banking – Treasurer will report on this at the 2nd meeting in March

Announcements in Web page:

Motion: To allow the NewsGram Ad-Hoc committee to review and decide which announcements will appear in both the NewsGram and Web site. Seconded. FAILED

Motion: Any announcements to appear on the Web site should be put in writing and submitted to the H/SO til guidelines can be established. Seconded.

Motion: To table. PASSED

New Business:

Literature racks – Tabled. At the request of the Trustees, the WSO hold of any decisions until the Trustees can review proposals.

Motion: To reconsider the motion of 2/13/97 to have the CAWS ’97 Marriott Hotel contract signed by 2/17/91. Seconded. PASSED

Motion: To sign the contract for the Marriott Hotel by 2/28/9 7. Seconded.

Motion: To limit debate. Failed

Motion: To extend time period to 10:15 for the purpose of discussion of the motion on the floor. Seconded. PASSED

Restated Motion: To sign the contract for the Marriott Hotel by 2/28/9 7.  Motion PASSED with 2 abstentions.

Motion: To add both Steve and Jeff to the Ad-Hoc NewsGram committee.Seconded. PASSED, 1 abstention.

Meeting adjourned at 10:15
