MINUTES WSBT Conference Call

AUGUST 5, 2018 9:00 AM PDT

  • Chairs Remarks
  • Thanks everyone for being here on the call. Regarding conference meals. Anyone want to purchase a T-shirt or coin? We’ve been signed up for conference and all the meals and the prices of the meals will be taken out of our per diems. If you want to purchase a t-shirt, please speak up now and Anne and Vanessa will take your order. The following requested items: Wade: XL T-shirt & one coin, Kevin: XXL T-shirt, George: L T-shirt, Kerry: XL T-shirt, Jeannette: L T-shirt.
  • Updates on Montreal: Haven’t completed all payouts from the account yet. (Books are not yet finalized) We ended up with a 64% room block total so the attrition cost was $23,000 not $44,000. It is estimated that we will be somewhere between ‘break even’ and $25,000 dollars profit on the CAWS 2018 Convention in Montreal.
  • Trustee At-Conference Reports – We read these at the podium at the start of conference each year. Anne will forward examples to our 1st year Trustees so they have a reference.

MOTION:

Motion to approve the proposed response to referral WSBT 2017-3(A). Seconded. Discussion

Chair asked if there are any objections to pulling this from our agenda today, and we will discuss it at our next quarterly?

Motion withdrawn. (Will be added to Q3 2018 Agenda.)

4) Proposed response to Referral 2017-5

MOTION:

Motion to accept the proposed response to referral 2017-5.

Seconded. Discussion.

Chair asked if there are any objections to pulling this from our agenda today, as we may need more time, and we will discuss it at our next quarterly? Motion withdrawn. (Will be added to Q3 2018 Agenda.)

5) Proposed response to referral 2017-3(B)

Anne suggested that we continue to work on this response. She would like to help with working on this response.

We have pulled this item from our agenda for today, and we will work on this at our next quarterly.

  • Any questions or other items:
    • Vanessa: Russel (Conference Vice-Chair) has stated that they would like the Trustees to attend the New Delegate Orientation to meet the new Delegates and have each Trustee read one of the twelve Delegate Duties and talk briefly about that item. Anne asked Tom to make a note that the

Orientation is Wednesday at 3PM, so if in TEC, we will need to take a break from it to attend the New Delegate Orientation.

  • Jason: Asked if the report from IT (received late) can be included in our last quarterly minutes? Wade: Two questions: 1) Do we want to include this (received very late) in our Q2 minutes, and set a possible precedent, or wait until our next quarterly? 2) Do you want me to simply convert the first tab of the Excel document into a Word document to include in our minutes. Vanessa: Asked question about does CAWS 2019 have paper flyers or brochures to advertise the convention? Jeannette: I don’t see why we need to wait until the next quarterly if Wade can take the first tab of the report and convert it to Word to include as a CAWS2019 report in our Q2 minutes. Anne: In answer to Wade’s first question, this is a singular case and was likely due to resignation of the ERT and other matters that the report was not received on time, so it would be acceptable to include in our Q2 minutes and we should attempt to do so in the spirit of unity.

MOTION:

Motion to take the first tab (“current report”) of the CAWS 2019 “Master 2019 Timeline” Excel spreadsheet submitted and convert it into a Word document to include in our 2018 2nd Quarterly Minutes as the CAWS2019 Convention Report.

Seconded. Discussion.

Motion Passed Unanimously.

  • Jason: We had a question about the Instagram, and he has put forward a response. Anne: As this was just received and others haven’t had time to review, we will address this either online or at our next quarterly.
  • Jason: Noted that he still doesn’t have access to the ERT email. Anne: Stated that she had spoken to Suzanne, and she (Suzanne-past ERT) had never used that email address. Therefore, Anne will have to talk to Marius to get a new password created, and we will get Jason (Acting ERT) access to that email.
  • Jason asked about another item (anonymity) to put on the agenda for conference, but we lost his audio during this part of the call. Anne: requested he email her with the item, and she will put it on the agenda for our next quarterly.

Wade: Did not hear Jason (Jason’s audio was cutting out), and then I was dropped off the call and had to quickly call back in, so I appreciate that we

will wait to discuss that at our quarterly. Question about next meeting: Are we meeting in the Boardroom at 3PM? Anne responded yes.
