ARCHIVE COMMITTEE REPORT
INTRODUCTION AND COMMENTS:
Welcome to Archives World Service, where the past meets the present. Our mission is to preserve, protect, and make accessible the historical records and cultural heritage of our global community. Collecting relevant C.A. documents and items pertinent to the history of Cocaine Anonymous is the ongoing work of the Archive Committee. These tasks are global in scope and require an active and dedicated Archive Committee. The Archive Committee continues to work on open referrals, approaching them with thoughtful consideration and timely execution.
The Archive Committee maintains an open line of communications with Archive Chairs and C.A. archivists from around the world. On the first Saturday of the month, the Archive Committee hosts the virtual meeting, “For The Record,” for the purpose of discussing our archival challenges and accomplishments, AND to provide a forum for show and tell, and questions and answers.
Lastly, the Archive Committee continues to curate these C.A. repositories:
- The Documents Library (docs.ca.org), a password protected archive of all Conference, WSOB and WSBT minutes. These are uploaded to our online documents library which is used extensively by the Trustees and Standing Committee Chairs
- The Virtual Museum (museum.ca.org) to promote the value of the Cocaine Anonymous archives and highlight interesting C.A. objects from around the world and their representative C.A. Areas, but also to give C.A. members greater access to their collective history.
- The Audio Listening Library which is a password protected repository, containing all World Convention Speakers and Workshop Speakers since 1985 to present day.

REFERRALS STILL IN COMMITTEE:
ARCHIVES 2021-02: Create guidelines/procedures for the consistent maintenance of the C.A. Virtual Museum. In these guidelines/procedures, please include the following points: 1) Procedures for multiple Admins who have full access to the database to assist with ease of WS Archives Committee leadership transfer, knowledge of backup schedules, location of said backup storage, etc. 2) Naming convention procedures. 3) Procedures for how to handle submissions from multiple people of the same item/image. 4) Procedures for how to address the need to update/correct naming and/or tagging errors on images already named/tagged.
This referral is currently in working process with the Archive Committee, with plans to include guidelines/procedures for all three repositories: Virtual Museum (museum.ca.org), Documents Library (docs.ca.org), Audio Library (audio.ca.org).
CLOSED REFERRALS:
Referral 14027766 – 01/28/2024 – On reviewing the Archives guidelines there is some clear guidance relating to creating an audio archive. I wonder if it would be prudent to include a note at in the text (suggestion to follow) to encourage others to refer to the IT guidelines as well. Page 24 Archive Guidelines: We have to keep in mind that these interview questions will be administered with consideration of and adherence to the 12 Traditions of Cocaine Anonymous. The Archive Committee may wish to repurpose the content of interviewees into PSAs, pod casts, H&I videos, or use in a traveling archive, and other venues for carrying the message. Please be sure to obtain a release form from every interviewee prior to recording. Please keep in mind some state laws require this permission before making it for public use.

CLOSING COMMENTS:
It has been a pleasure to serve this committee and to help with the continued preservation of CA’s history.
The Archives committee is looking forward to, and will be involved in, the WSO move of the analog archive repository from the current Long Beach, CA location to the new office in Phoenix AZ. The committee will take a hands -on approach with the packing and palletizing of the archive as well as having a team in AZ to receive and unpack the priceless history of Cocaine Anonymous. At that time, we will also be conducting a duplication project that has been a New Business item for some time but has been delayed due to the move to Phoenix. This project consists of locating duplicates within the analog repository and ensuring that there are enough items for presentations at events. If there are additional items, we will begin the process of repatriating those items back to CA Area’s that have a working Archive committee for their personal displays and uses.

Chris W – read the report and expressed how Archives has been working diligently keeping history alive. We have new individuals coming on board.
Jennifer Go – I hope you are all enjoying the gifts that the archives committee has been able to offer to you. I wold like to explain all that is available to everyone on the archives websites and the different links. Please use these tools for your areas, don’t lose your history.
