April 23, 1987

Meeting was called to order at 7:34PM with the Serenity Prayer.

Rusty read the long version of Tradition One.

Helene read the Minutes of the Board Meeting of 4/16/87 Motion: Accept minutes as read. Motion seconded and carried.

Meeting Schedule for Board Members and  Committee Members

April 26 ~ Board, Connections Newsletter, Chips and Literature

April 30 – Board, Public Information, Intergroup Communication

May 7th (and future 1st Thursdays) – Directors only (May 7th will include the corporate attorney)

May 14th – (and future 2nd Thursdays) – Board, World Directory, Connection Chips and Literature, Newsletter (for approval)

May 28th – Board, Public Information, Intergroup Communication, Archives (and future 4th Thursdays )

COMMITTEE REPORTS

Connection – Bruce M. The connection will be out 6x yearly. April issue is ready to go to print. Financial report:

Subscriptions; $455.00

Bulk Copies @ .50  570,00

Conventions @ .35  70.00

Total income $1095.00

Printing(2000 issues) 578.49

Net Income 1st Quarter$ 516.51

Linda H. explained that postage and handling for the Connection should be handled separately from the postage for the Corporation business. Bruce felt that he needed a separate record sheet for Connection postage. Linda offered to make up a log sheet for this purpose that will stay at the postage meter to be filled in daily.

Mike L. asked Bruce if he ships the Connection to other persons that those subscribing. Bruce explained that he does do bulk shipping. Smallest amount in bulk shipments is 100 issues. Cost approx. $5-6 per 100.

Ray G. asked If $620 was billed and only $370 received, does the Connection get sent out to those on the mailing list if no payment received. Bruce explained that no issues are sent out unless invoices are paid in full.

Newsletter – Steve P.

The newsletter committee met 2x since the last board meeting. Still unsure of who newsletter goes to. Coco suggested that it goes to each delegate and Central offices. The committee asked for update on all activities within the workings of the office. The title for the Newsletter will be: C.A.W.S. Newsline. Delegates get each set of of minutes after each meeting, however Ray G. will send minutes of the first two meetings with the Trustees Report. The newsletter will also include an event calendar. Coco suggested that the Officers be listed as “Temporary” until conference approval.

Coco-re: Committee Reports.- Committee report are to be presented in writing. Any person not making a report when their report date is due for their committee, be advised that this will be apart of the minutes.

Chips & Literature – Albert T.

Metal chips – still waiting for answer from San Francisco. Must wait to receive molds before progressing towards making these chips available. Ordered 11,750 chips which will not last long. There are already orders to fill this supply. Albert is checking into options ‘for printing of the literature . He also stated that he will have an inventory ready for submission on May 14.

The following are sales figures for Chips and Literature for 1987:

December/January – $4900 Expenses for Chips and Literature
February 2000 Chips and Literature – $4000
March 3300 Postage 600/month
April (up to 23rd) 3200 Net Profit since Dec. $7000
total sales $13,400

Albert was advised that a separate receipt book should be kept for orders for the World Directory.

Our present chip manufacturer has stated that”should he receive phone calls from other suppliers stating that they have been approached by us for a quote for chips, he will no longer make us our chips.” At this time we pay 12b per chip. Albert and Steve P. and Mike L. to check into other manufacturers and report back to the board.

OLD BUSINESS

A) Mike L. – Ups (United Parcel Service)- It would cost $3.25 (weekly service charge One pound minimum on pkgs. – $1.74 for zone 7&8 (New England States) then 32-48q (It now costs us $2.40 per pound.) incriments depending on zone.

Deposit of $3-500. They will bill weekly-accumulate 4 bills and we then issue them a check after the 4th bill. Will reduce deposit after 90 days if not running $3-500 monthly. Coco asked Michael to set up our account with UPS.

Motion; To use UPS for shipping/handling. Motion seconded and carried.

– Albert suggested that we not purchase boxes from UPS as he may be able to get them for us at a much better price thru the company he is employed.

B. Jim will contact Lori W, regarding the situation with Philadelphia using the 1-800 Cocaine number on their directories.

C. World Service Convention – San Francisco was instructed to open an account for the convention only with the Trustee from that area being one of the signatures on this account. (Fenn P.) Coco asked that the minutes of the S.F. Convention meetings be sent to the W.S.O.

D. Motion: World Service Office maintain ownership of the neon sign and loan it out to areas when requested. Motion seconded and carried.

E. Projected Budget – postpone to April 30th meeting.

F. Hold discussion of 23 questions to next meeting

G. All service resume’s should be handed in to Pay. Job descriptions to be handed in by May 14th.

H. Articles of Incorporation – Received from attorney however, they seem to be the Articles filed by L.A. Ray will bring in copy of WSO Articles of Inc. Rusty will bring copy of WSO By-laws and Lind H. will obtain copies of original forms for filing.

I. Patty B. – Office employee introduced. Reggie asked Patty if a journal is kept on a daily basis of goings on in the WSO. Patty stated that this has never been brought to her attention and would appreciate assistance on getting same started. Patty was informed of the log that is going to be kept for postage and Linda will show her how to log same.

J. Coco asked Jim to get the A.A. Public Information Manual from the L.A. Central office of A.A. Jim was given a copy of our “Fact File” for review,

K. Permit for City of Culver City ~ will be obtained by Coco upon receipt of Articles of Incorporation.

A. Office Employee – duties

  4. Keeps track of individual state donations
  5. Answers telephone
  6. Pick up mail from 3 locations and distribute
  7. Starter Kits – send out starter kits and give same information to Jim so that he can send out follow-up letter
  8. Zeroxing – will zerox for persons requesting assistance in the following order of priority:
    1. Trustees
    2. Directors
    3. Committee Heads
    4. Conference Committees
  9. Filing

B) It was brought to the directors attention that Patty’s salary is approximately $8 per hour. Suggest that a full-time employee be considered, 30 hours per week at $6/hour. Sobriety requirement – 1 year.

Proposal: Hold off on discussion of replacing Patty but continue to look for someone. All agreed.

D) Linda will speak with Ken L. regarding Patty’s W-4 and find out if one was ever filled out. She also informed the corporate officers that they could be held responsible for withholding taxes if they were not sent in. We checked and we must submit by April 30th.

E) Maintainence agreement for Computer – $300 – $400 per year. Linda will check into this.

F) Georgia – Newsletter received from Georgia stating that they are sending out starter kits to areas in Canada, Europe, Virginia and preparing their own chips and logo. This was referred to the Trustees to handle in writing.

C) Price Club – Alcohol and Drug Awareness – Mike L. would like to handle getting the speakers for this event. (Public Information) Aslced that literature be donated by World Services. All agreed.

The meeting was adjourned (unanimously voted) at 10:37 PM

Next meeting April 30th @ 7:30PM.
