23) 26) Whenever possible, the 3-Bid process should be used except when items or services are exclusive.

24 27) Speaker and Marathon meetings are open to anyone who wishes to hear the message. Registrations are not required to participate in these meetings.

25 28) It is recommended that a registration platform be open by Sunday evening at the prior year’s World Service Convention.

26 29) It is recommended that the Host City provide various registration options to include, but not limited to, a basic registration, a $99 package, and a $199 package. Items to be included in various packages are determined by the Host City.

27 30) Any flyers, newsletters, registration forms or other printed material must include the registered C.A. logo.

28 31) Registration forms will include a check box to state, “Send me information on the Freedom Fund donations program”.

29 32) While under contract with C.A., the recording vendor will catalog, sell and display only C.A. speakers and workshop recordings while on-site at C.A. events while ensuring the C.A, logo is not displayed on any recorded merchandise and packaging.

30 33) Registration forms will include a check box to state, “Special Needs/Assistance required”

31 34) It is suggested that the structure of convention programming be left to the discretion of the Host City.

32 35) Upon completion of a World Service Convention the Host/Area/Region will be eligible to receive a donation from Cocaine Anonymous World Services in the amount of $2,500, once goals have been met. Where a Convention net income is greater than 20% of the World Service Conference approved budget, the donation to the Host City/Area/Region will increase to $3,750.

33 36) Each Chairperson is responsible for filling out the “CAWS Convention Pass It On Fact Sheet” and submitting it with the committee wrap-up report at the postconvention General Convention Committee meeting.

34 37) The WSOB is responsible for completing a Pass It On Fact Sheet to be submitted to the Host Committee prior to the same years World Service Convention.

QUALIFICATIONS: Strong leadership and organizational skills. Able to work with outside contractors in a professional manner. Familiarity with professional entertainment productions systems including but not limited to staging and rigging, audio, lighting, video projection, audio recording equipment, post-production, digital editing and broadcast/streaming.

PRODUCTION & AUDIO TECHNOLOGY CHAIR DUTIES:

 

  1. Works closely with Program Chair and Entertainment Chair in identifying and determining Convention Audio/Visual technology needs, including any plans for streaming and/or recording of speakers and workshops.
  2. Performs site survey of hotel/venue including ballrooms, salons, meeting rooms, and other potential areas requiring Audio/Visual technology equipment to be utilized during the convention.
  3. Works closely with Hotel/Events Venue Liaison to integrate any Decorations needs into staging/rigging. Plans logistics for systems in the function space in alignment with the terms provided in the Hotel/Venue contract.
  4. Provides diagrams for proposed design of each equipped room to the Hotel/Venue Liaison for Steering Committee approval during planning and seeks additional approval from Steering Committee for any changes or revisions to approved designs.
  5. Prepares Request for Proposal (RFP) for all equipment, obtains a minimum of three (3) bids per Vendor Bidding Process and submits returned bids to the Hotel Venue Liaison for Steering Committee review.
  6. Is present during contractor load-in and load-out and oversees final placement and operation of equipment as per Steering Committee approved design.
  7. During the convention keeps copies of all contracts on hand and serves as on-site liaison between contractors and the Convention Committee, speakers, and workshop facilitators.
  8. Obtain 3 bids for any expense which is estimated to exceed $1500 per vendor/subcontractor.
  9. Complete a WSO Check Request Form for all expenditures over $500.

“Cocaine Anonymous experienced a new level of growth and fellowship during the pandemic years. Access to C.A. meetings reached the still-suffering addict as never before. Our fellowship unified online, in cyberspace.

“Though we are different, we are the same,” says our Unity reading. We simply use a virtual way of communicating C.A.’s message of recovery and will continue to do so online.

The need for the World Service Conference to occur virtually was costly and an exercise in meeting probablmost significanteatest challenge in our history. It was an extraordinary feat. It wasn’t perfect, but business was done.

Did this leave the impression that the words “Virtual Presence” alone strike fear and close the minds of every District, Area, Regional, and World Convention Steering Committee? The truth is that our fellowship continues to be available only to those who can attend these events in person, with few exceptions. We’re still partying like it was 1999.

However, we believe there is a solution because the program teaches that we can get out of a problem and find a way to solve it. Although these suggestions may not work in all cases, at least a beginning can be made.

  1. Charge a virtual registration fee to defray the costs of access to speaker meetings and workshops.
  2. Arrange for a space off-site to link the proceedings and again charge a virtual registration fee.
  3. Arrange for replays to accommodate our fellows in different time zones.

  1. Conduct online fundraising events and virtual auctions for this purpose.
  2. Arrange for Regional hubs for access (this occurred during the hybrid WSC)
  3. Ask C.A. Regions to contribute. All regions have members who cannot access C.A. conventions other than online!
  4. Add Virtual Fundraising and Virtual Program Chairs to Convention Committees to investigate possibilities.

Will this require effort, collaboration, and a new level of planning? Yes. Is it worth it for the hand of C.A. to be there where it’s needed? YES!

We, the Online Service Area (OSA), estimate that there are probably around 500 online meetings plus the number of hybrid meetings in the world right now. It is on behalf of thousands of C.A. members that cannot visit conventions in person that this referral is made.

Our membership is now 2-fold. This is the new normal. We urge the WSC Convention Committee to begin to meet this challenge with Hope, Faith & Courage.

It seems the cost of this years convention hotel and registration has increase considerably. The basic last year was $65 and this year it is $125. This along with the cost of the hotel may make it exclusive for members who can afford the expense. If a member wants to participate in any of the activities, this too will increase the expense. Travel on a holiday weekend is also very expensive.

I know the committees work very hard to make these events exciting and inclusive and there are local events that a member could attend. I am just wondering if this is what our future world will look like. $$$$$

Response:

After reviewing this referral there was no action asked for. However there is an important point made here and conventions are becoming more expensive. So although we did not take any formal action we have made note of the rising costs and will be discussing this with areas bidding for upcoming conventions making sure that they are being conscious of the cost to members wanting to attend.

PRESENTATIONS OF CURRENT ACTIVITIES OR TASKS (no motions)

A couple of years back we received a referral which is listed in this report under referrals still in committee. This referral was in regard to our world’s constant technological growth and how that affects our conventions. The person sending the referral asked that we create guidelines around virtual conventions. our thought was that all though that is a great idea and something that we see a need for we didn’t really have much of a knowledge base around virtual conventions. Since we have received this referral our last two conventions have had some sort of virtual or online aspect to them. We have been pulling data from those committees and would love any more input or information from the fellowship as we begin to create these guidelines in the coming year! Please feel free to reach out to any of us or join us for our monthly meetings if you have anything you think would be helpful.

We received one convention bid this year from the SOCA area. The bid package has been submitted in sr14

CLOSING COMMENTS:

Since I’ve sat on this committee this is the highest volume of motions that we have had to bring before the conference and we are very excited to share with all of you what we have been

We’re going to start with updates from the previous convention and go into the future conventions.

Clinton R – this is our group from Arizona! We didn’t have a convention since 2011, raised $570k profit $257k, the highlight was 1500 H&I registrations. The sobriety countdown was exciting! Thank you for trusting us with that convention.

Andrew C – Next up Seattle – 2027

Nick W – CAWS 2027 Vice Chair. Sheraton Grand Hotel in downtown Seattle. The committee is actively working on making this an unforgettable convention.

9)10) Ensure there are no tradition violations in the CAWS Convention – materials to be used during Workshops must be submitted in advance for review and approval by the Regional Trustee.

10)11) Obtain 3 bids for any expense which is estimated to exceed $500 per vendor/subcontractor.

11)12) Complete a WSO Check Request Form for all expenditures over $100.

12)13) Submit all Check Requests and bids to the Chair of the Steering Committee which oversees their committee.

Parthiban T – Felonies – we’re going to put this information up about information regarding this, we’ll put it up and are asking you to look for this information sooner rather than later and not a month before the convention (if this body votes for it).

Kim C – 3 ways to get into Canada with a record – 1. temporary resident permit (with a record less than 5 years). 2. criminal rehabilitation – do the paperwork ($239 Canadian $). 3. Go to the boarder – 10 years or more in the past, a recovery convention is a good reason, present it to the guard – this is a gamble though as you might be turned away. This one may be more costly.

Parthiban T – You can come to Canada!
