September 25, 2020

CHAIR ANNOUNCEMENT(s) – Thank you Linda for her years of service to the WSO. And welcomed Lolita Smith has the new Director of Operations.

APPROVE THE MINUTES OF THE PREVIOUS MEETING(s) – Linda moved to approve August minutes with corrections. Ron D. seconded. Motion passed

CAWS CONVENTION REPORT

CAWS 2021 – Austin – Susan L. –Written report submitted

Highlights: The next General Committee meeting is scheduled for Nov 14, 2020 in person and also zoom participation as well. Selling Covid-19 masks and T-Shirts now, Committee working on virtual participation in 2021 convention. As of last weekend, we have reserved 626 room nights. Two cancelled registrations. Conversation on adding a virtual component to future conventions. Working on developing a focus group to investigate how to have virtual participation

CAWS 2022 – New York – Alan S. – Not Present – No Written report submitted.

CAWS 2023 Atlanta – Michael S – Not present –No written report.

Highlights: General Committee has convention guidelines. The committee is on track with appointments. Just received a resume for a Vice Chair. Trustees George M attended the committee meeting to discuss effort on finding information for the SW Region

CAWS 2024 Amsterdam – Joost –.

Highlights: A committee in place and committee meeting tomorrow. The agenda is the budget and researching venues. The country is experience the next wave Covid-19 is now but it should not impact planning. Would like to combine the Freedom Fund and convention registration. David invited Joost to discuss the convention fund after the meeting.

OFFICE DIRECTOR REPORTS

Director of Operations- Linda – Written report submitted

  • Highlights:
  • David and I have met with Joe B to discuss website changes needed. We continue to work with Cameron to keep the Online Store up to date.
  • We have run into a couple issues in the invoice calculations concerning taxes that we are working with Cameron on.
    • Wrong tax tables
    • Taxing shipping cost
  • I continue to work with Randy and Michael to stay on top of Financial Reporting
  • Brenda and I will be working with ADP to update our Employee Manual to reflect new laws.
  • The Staff and I continue reviewing and updating our Procedure manual and bring it up to date from our current 2017 version.
  • I will write my farewell article for the NewsGram

Motion: Kevin moved to take new business items out of order. Linda seconded.

Jason:

Proposal for Fulfillment Center outside of North America to provide merchandise to countries in Europe. The ISD was tasked with development of a concept/proposal. This was a lengthy presentation with questions and answers on the details of the proposal for printing on demand options and merchandise distribution.

Brenda M moved that the WSOB approved the concept. Pierre second the moved. Discussion for and against the motion. Motion passed

Motion: Kevin moved that the office board create Fulfillment Center ad hoc committee to develop a Request for Proposal (RFP). Pierre seconded. Motion passed

Kevin was assigned to be the lead with support from Pierre, Sarah and Jason.

Unfinished Business:

Sarah /Cathel: Reported an update on options for existing areas on 800 numbers to support regions in European regional to avoid financial hardship with phone bills averaging $3,000 per year.

The 800 number would forward the new newcomer call to their area. This would not include South Africa, Thailand or Hong Kong

Looking in another option which would include the three excluded. More information to come. Q&A about the presentation.

Jason/Joe:

The presentation show the WSOB several different designs of the CA logos to create branding guidelines. This would address several referrals on branding. The detailed lengthy presentation shows a variety of designs, color etc. Lots of discussion who owns this process. Will be placed on unfinished business. No action required the reasoning was accepted by the WSOB.
