Chris W – We have 79 areas and 43% do not have an archives presence. Investigate and find someone interested in Archives. We need to grow our archives.

Russell S – I don’t like doing this, but we will need to take a quick 10 minute break. Russell S – Resumes session at 2:19pm next up is Structure & Bylaws

Randy G – We misspoke earlier the website and shop there was a glitch. We have found the issue and have a resolution. If you find any issues or difficulties placing an order, come and see Dawn, Tai or Randy.

Russell S – I have been approached regarding disruption with someone playing on their phone and watching videos. If there are any more complaints, I will ask the individual to leave the floor.

    CONFERENCE REPORT
    C.A. WORLD SERVICE CONFERENCE 2025
    ARCHIVE COMMITTEE REPORT

    INTRODUCTION AND COMMENTS:

    Welcome to Archives World Service, where the past meets the present. Our mission is to preserve, protect, and make accessible the historical records and cultural heritage of our global community. Collecting relevant C.A. documents and items pertinent to the history of Cocaine Anonymous is the ongoing work of the Archive Committee. These tasks are global in scope and require an active and dedicated Archive Committee. The Archive Committee continues to work on open referrals, approaching them with thoughtful consideration and timely execution.

    “For the Record,” hosted by Chris W. (Chair) and Jennifer G. (Vice-Chair), the Archive Committee meets monthly with C.A. District Archive Chairs and Archivists from around the world to meet and greet one another on the 1st Saturday of every month at 12:00 noon (EST) for the purpose of discussing our archival challenges and accomplishments, AND to provide a forum for show & tell and have a period for questions and answers.

    The Archive Committee visited the C.A. World Repository in Phoenix, AZ twice during the past year (Sept. 2024 and May 2025), during which Cameron F., Chris W., Jennifer G. and Veronica W., conducted two in-depth inventories of the archive holdings locating duplicate items (items where we had more than 4 duplicates in the collection), aggregating items, i.e. World Convention textiles separated from other C.A. Convention textiles. The Archive Committee was also on hand to assist Phoenix AZ archivist Nikki K. to setup and host the Archive room/display at the 2025 World Convention in Scottsdale, AZ.

    Our Outreach Chair, Veronica W. has been reaching out through her committee to all the C.A. regions and their respective Areas in an effort to recruit, educate and activate archivists from around the world.

    Cameron F. our digital curator, continues to maintain and update our digital repositories, including 1) The Documents Library (https://documents.historyofca.org), a password protected archive of all Conference, WSOB and WSBT minutes. These are uploaded to our online documents library which is used extensively by the Trustees and Standing Committee Chairs; and 2) The Virtual Museum (https://museum.ca.org) to promote the value of the Cocaine Anonymous archives and highlight interesting C.A. objects from around the world and their representative C.A. Areas, but also to give C.A. members greater access to their collective history. 3) The Audio Listening Library (https://audio.ca.org) which is a password protected repository, containing all World Convention Speakers and Workshop Speakers since 1985 to present day. Furthermore, our Assistant Digital Curator, Jennifer G. continues to learn how to maintain and update our digital repositories as per our open referral.
    Lastly, the Archive Committee submits articles quarterly to the Newsgram about all things C.A. History related.

    SUMMARY OF COMMITTEE MOTIONS:

    REFERRALS THAT WERE FORWARDED TO OTHER COMMITTEES:

    ARCHIVES 16018377: Objective: Management and Updates of Cocaine Anonymous Wikipedia Page, The WSBT wants to provide the following notes for the Archives Committees consideration.

    Overview: As part of Cocaine Anonymous ongoing efforts to ensure accurate and a respectful representation of our fellowship, this referral asks the Archive Committee to address the management of our Wikipedia page. As Wikipedia is a widely used public resource, the page’s content should reflect CA’s history, mission, and principles in a manner consistent with our Traditions and archival practices.

    Notes:
    ⁃The Wikipedia page should align with CA’s Traditions, particularly regarding anonymity and non-affiliation with outside organizations.
    ⁃The Archives Committee could oversee the accuracy and relevance of historical data, and appropriately referenced.
    ⁃Include significant milestones and the development of CA globally while avoiding personal testimonials or specific event endorsements.
    ⁃A clear process could be established for reviewing.
    ⁃Propose a timeline for the initial review and submission of updates
    ⁃Develop a schedule for periodic reviews to keep the page accurate and relevant.

    Conclusion: Entrusting the management of CA’s Wikipedia presence to the Archives Committee ensures it remains a reliable and respectful source of information for the public while upholding our Traditions. We recommend moving forward with this proposal under the oversight of WSBT and the Archives Committee

    RESPONSE:

    Referred back to the WSBT with the following reasons:
    To be sure the recommendation of the Archives Committee is within our traditions and concepts we ask that the WSBT approve the materials suggested. It is also the conscience of the Archives Committee that taking action (posting this material) on the Wikipedia site is outside the purview of the Archives Committee and should be executed by the Public Information Committee.
    Management and Updates of Cocaine Anonymous Wikipedia Page, The Archives Committee wants to provide the following notes for the WSBT’s consideration. As part of Cocaine Anonymous ongoing efforts to ensure accurate and a respectful representation of our fellowship, this referral asks the WSBT to consider and approve the conference approved verbiage and a link to the C.A. Museum website which includes a full and accurate history of Cocaine Anonymous. As Wikipedia is a widely used public resource, the page’s content should reflect CA’s history, mission, and principles in a manner consistent with our Traditions and archival practices. The Archives Committee believes that the following content will satisfy the original referral and should then be referred to PI to execute the action as it is outside of Archives purview to do so.

    REFERRALS STILL IN COMMITTEE:

    ARCHIVES 2021-02: Create guidelines/procedures for the consistent maintenance of the C.A. Virtual Museum. In these guidelines/procedures, please include the following points: 1) Procedures for multiple Admins who have full access to the database to assist with ease of WS Archives Committee leadership transfer, knowledge of backup schedules, location of said backup storage, etc. 2) Naming convention procedures. 3) Procedures for how to handle submissions from multiple people of the same item/image. 4) Procedures for how to address the need to update/correct naming and/or tagging errors on images already named/tagged.

    This referral is currently in working process with the Archive Committee, with plans to include guidelines/procedures for all three repositories: Virtual Museum (museum.ca.org), Documents Library (docs.ca.org), Audio Library (audio.ca.org).
