WORLD OFFICE SERVICE BOARD REPORT

INTRODUCTION AND COMMENTS:

Almost impossible to imagine that it has only been a year since we pulled the U-Haul from Long Beach to Arizona. What an exciting year of accomplishments it’s been. As the 1st anniversary of the office relocation took place in July, it truly was a time to celebrate and look back at an amazing year of accomplishments for the WSOB and WSO.

The most critical internal accomplishment was the promotion of Tai B. to the position of Director of Operations. Not only is she the right person for the role, but filling the position has now made it easier for the board to function as intended. Delegated authority and responsibility is becoming more clear as to how the office functions “with” the WSOB – as it was intended. Dawn is also a rock star in her role and Ashley is picking up speed as the newest member of the staff. Having the right people in place working efficiently has reduced our staff from four in California to the right three here in Arizona. That’s what efficiency, planning, support and communication can do! I’m really proud of the staff and please take the time to let them know they’re appreciated anytime you get the chance. They work hard for you/us!

The WSOB was also extremely productive throughout the year. And just about the time that the board seems comfortable, we approach a conference that will say goodbye to three amazing board members rolling off. We will be saying goodbye to Yves W. (WSOB Vice Chair), Joni E. (World Service Trustee) and Robert B. (World Service Office Trustee). Three absolute soldiers for Cocaine Anonymous with all of the experience and guidance that the WSOB and WSO benefited from in our operations and transition to the Arizona location. They will absolutely be missed.

The board’s composition is also likely to continue to change as there are current board members participating in the TEC process to potentially be chosen to be trustees as well. What an exciting time to be on the WSOB. As our positions are always in some sort of rotation or flux, if you’ve ever considered doing your service as a World Service Office Board member, now is an incredible time to join us.

In reviewing the committee’s work over the last year, here are some of the highlights:

  • Final truck arrived to complete transition out of Long Beach in September
  • Interviewed staff and filled all open positions at the office

  • Renewed contract with the bookkeeper
  • Established new employment agreements with Tai and Dawn
  • Soft opening went great then we met the commitment for the Grand Opening of the World Service Office in October
  • Successful Open House later in October gave the fellowship to come and experience the new office and celebrate the transition.
  • The WSO made corrections to the order forms on line to make them more efficient.
  • The WSO attacked the monumental task of making all of the changes to the new 11th tradition and completed the entire transition of all of the literature reflecting that within a year’s time.
  • Negotiated and installed a new printer for the office in November. The printer will assist in the production of our literature and reduce our costs in delivering the message
  • European Fulfillment Center is on line and fulfilling orders for our international fellowship.
  • We moved our banking to Chase and established accounts for future conventions and better financial management.
  • In December, the board welcomed Tai as the new DOO (Director of Operations) and Wesley Blount as the new DAL (Director at Large)
  • With the new efficiencies of the office staff and a lot of hard work, a full inventory of goods took place in January with no shut down of services for the first time in the office’s history.
  • We implemented a new process for accuracy and shipping delivery times. We reduced average ship time to 3.1 days (7 days better than 2024) and accuracy jumped to 98% (9% better than the 89% of 2024)
  • The new CRM has been approved and it will bring our services to another level. We’re moving our store to a Shopify platform, our finances to QuickBooks Online and overall CRM to Hubspot
  • We brought on two new board members as Kim C. and Morten V. both became new DALs (Directors at Large). Kim quickly became the new secretary, succeeding Yves as he was elected to Vice Chair.
  • As our fellowship matures, it is important and exciting to note the new offerings of chips for longer terms of sobriety. Age range increased for key tag based on sale history/request of English 50 to 55, French 35 to 50, Danish 20 to 40, Dutch 25 to 40.
  • As the WSOB and WSO continues to focus our attention to the international aspects of our growing fellowship, we have added the international language stickers, magnets and trademark logos to our offerings.

  • There was a very successful World Convention in Scottsdale and the staff were rock stars throughout the event. We hosted the fellowship at the office and had tours for any members that wanted to come see our home.
  • No changes to the staffing and efficiencies are up as everyone is settling into their roles quite well. I made a decision to do the annual employee reviews in August. I believe that in any possible time frame that the WSO Chair might be leaving the position at the conference puts an unfair responsibility on the incoming Chair to perform an annual review without truly engaging with the staff long enough to do so informed. This also allows for any potential increases in payroll to be accounted for in the current budget accurately.
  • Our recent activity surrounding the CRM has focused on the Shopify store. Sample orders have been processed, and it looks very encouraging. We want to take the steps into the world of CRM with patience and a plan.
  • I continue to be actively present at the office. Thought the original twice a week is now just a single Wednesday afternoon, Tai and I are disciplined in tracking the development and solutions to our efforts every week. Jonathan has also been consistent in his participation as we spend the last couple hours every Wednesday going through the financial status, signing checks and working as a team to monitor financial success.
  • The WSBT Chair and I continue to communicate every couple of weeks and keep each other informed as to the activity level of the boards.
  • Communication with the WSOB on the WhatsApp is active and we move a ton of business online to keep things moving in our support of the various conventions, etc.
  • Again, Tai continues to kill the responsibilities and her dedication is contagious. I truly believe that the WSOB and WSO is on a very positive path.

  • Translations of A Quite Peace, Hope, Faith & Courage Vol 2, continue and with hopes of other languages to be approved soon.

  • Sadly, we say goodbye to Joni E., Johan and Yves long standing members of the Translation Committee. They’re hard work and dedication does not go unseen.

NewsGram:

  • Developed in collaboration with a fellow service member to create a QR Code for easy access of the latest NewsGram articles
  • Successfully published four NewsGrams

While reviewing the pamphlets on ca.org, I noticed that the current layout could benefit from a more visually appealing design. I’d like to suggest updating the presentation, like the approach used by CMA (link attached for reference). Specifically, replacing the plain text pages with pamphlet images would create a more engaging and user-friendly experience. With the website being updated I believe this would be an ideal time to look at making this change.

Additionally, I recommend standardizing the pamphlets in black and white. A clean, minimal design not only enhances readability but would also reduce printing costs for Areas — particularly once Print on Demand is implemented.

Under box instructions, it states a change was made to the way information would be disseminated. “The World Service Office will no longer send out quarterly emails to delegates. Instead, all information will be uploaded to Box.” in the world Service Manual under World Service Office it states ” The World Service Office (WSO) is the main contact and distribution point of C.A. Its main purpose is to maintain contact with members, Groups, Districts, and Areas. Contact is sustained through correspondence, newsletters, e-mail, the website www.ca.org, and representatives within our service structure.

I have some questions I would like to have addressed. 1. Who had the authority to make this decision? 2. Why was this decision made? 3.What has to happen to continue to get the quarterly emails?

It was my understanding the Box was a tool used for conference information (which is good for the conference by the way). The emails sent quarterly makes it easier to share the information with our members. We can print important information for announcements/events etc.

Most of the fellowship is not aware of the Box and although as of now, there doesn’t seem to be any restrictions to who can have access to the Box, it is not easy to navigate. We have many members who prefer to keep it simple.

No Action Taken

Thank you for your referral. To better manage the way the vast amount of information required for a Delegate Mailing is efficiently communicated to the Delegates, a better system than email was required. Much in the same way the Delegate Mailing had to progress from an actual mailed document, the sheer size of information being shared was far too large for most member’s email addresses to accept. The decision was made to start using a File Transfer Program (FTP) that would suit our Fellowship’s needs. It was then decided to utilize the BOX, as all delegates are suggested to immediately obtain access to that system per the World Service Manual (WSM), to better communicate all information to the Delegates. This system allows a centralized repository for all information, that’s easily accessible, and already in use by our Membership.

Your referral, along with other feedback, made us aware that the information was still not as fully accessible to the Delegates as the WSO’s responsibility as the hub of communication would require. Since this time, a new system has been established that

we hope will better facilitate knowledge and notification when new Delegate Mailings are available for review in the BOX. This new system includes an email notification from the WSO that the new Delegate Mailing is available, along with a hyperlink embedded into that email that will take readers directly to the information.

It is our sincere hope and desire that this fixes the issue; however, we are always open to feedback and continuous improvement. We urge anyone that may have additional questions, or possibly suggestions, to reach out to the WSO at any time for more information.

LCF-WSOB 2024-05 pre-Conf 2024 15415305 – Individual Submission: Southern Ontario area Add the QR codes for the CA Meeting App to our pamphlets.

Thank you for your referral. To better manage the way the vast amount of information, every conceivable way to carry the message must be considered and evaluated. The C.A. Meeting Finder is a great new tool to do help people find us. The CA Meeting App continues to grow in monthly downloads according to the platform providers. This is very exciting news.

The WSOB supports the idea. We reviewed the feasibility of adding a QR code to our pamphlets. Unfortunately, there are a few technical and logistical hurdles that we cannot overcome at this time. We are currently working on many new technologies including a new website infrastructure, a new electronic marketplace and the deployment of a Customer Relations Management (CRM) system. It is possible that we may be able to include a QR code, but not at this time. We continue to make progress on the new web design and learn more about the capabilities of the new CRM with each passing month. New virtual tools will most assuredly be developed to get the app on more of the mobile devices of the fellowship and future members in the coming year. The WSOB will continue to look for ways to make the meeting finder more accessible to the fellowship and the public in general.

LCF-WSOB 2024-06 pre-Conf 2024 15283977 – Individual Submission: Southern AB area

I would like to see a milestones celebration card (birthday card) available for purchase from the chips in literature order form. Some of us are not so savvy on the computer and birthday cards from stores have gotten really expensive. Something simple, but able to be purchased along with chips, pamphlets, medallions and books. Something with the CA

logo and a space for the number of years a person is celebrating. I have seen them in other 12 step programs. I have attached a rough idea for a card. I am not that good with publisher. I couldn’t get the Cocaine Anonymous inside the chips inner circle on the metal coin on page 2 of my suggestion. I am sure someone with a background in graphics could fix it or whip one up.

WSOB 2025-03 pre-Conf 2025 15804830 – Individual Submission: C.A. Ireland

One of our Area meetings reached out to the WSO to request a starter kit. This was passed back on to our delegates via the trustee, with the assumption that it will not be fulfilled. My referral is to specify on the Starter Kit page(https://ca.org/contact-cawso/request-more-info-starter-kit/) which areas/countries can avail of the starter pack from the WSO.

We appreciate your referral, and we hope this explains the external process between the WSO, Regional Trustees and Requestor.

Starter Kit Request Process Overview. When a starter kit request is received at the office, an email is sent to the requester outlining the process and estimated timeline for approval and delivery. This communication includes the Regional Trustees, the WSOB Chairperson, and the WSO Trustee as CC recipients.

Roles and Responsibilities:

Regional Trustees are responsible for contacting the local area or area delegate to determine if assistance is needed. If no assistance is required, the local area fulfills the request.

If assistance is needed, the WSO will send the starter kit directly.

Starter Kit Contents: Each kit includes: A minimal supply of chips; A copy of the NewsGram; Laminated meeting formats and Pamphlets.

This process has been in place and proven effective since 2021; and is open to all new meetings in all Regions of Cocaine Anonymous. Regional Trustees use this information for reporting and to support communication with the fellowship regarding regional growth. Maintaining clear and timely communication with new members is essential to fostering engagement and support.

WSOB 2025-04 pre-Conf 2025 15807643 – Individual Submission: Ohio area

It has become increasingly hard to obtain the minutes of the WSOB and WSBT. I understand the “delegate mailings” are only going in the box now, but this does not provide a mechanism for the minutes of the two Boards to be available to the fellowship’s membership as they should be. I would like to request that the minutes of the Boards be placed in some place on ca.org.

No Action Taken

The Communication with the Fellowship, including distribution of Delegate Mailings and Minutes of the Two Boards are administered by the WSO and under the purview of the WSOB. The chosen method for that distribution is The Box as all delegates are suggested to immediately obtain access to that system per the World Service Manual (WSM) and they are the conduit to the Fellowship within their respective areas. The WSO has sought better ways to more effectively communicate this information with the Delegates; culminating in a detailed email notification with a direct access link embedded. Board Minutes are already maintained on the Box as well as by the WSC Archives Committee; the WSOB does not believe a third storage location, especially on a Public Domain website, would better serve the interests of the Fellowship.

WSOB 2025-05 pre-Conf 2025 15836249 – Individual Submission: London area

It is nice to see the 2025 WSM on the website however, I believe there are some inserts that were not approved at the 2024 World Service Conference. The organogram for example, this was not approved and a revised version, which I’ve attached, was approved at the end of Conference after being referred back to committee. Please can our WSM be referred back to S&B for reviewing and correcting. Thank you kindly.

WSOB 2025-06 pre-Conf 2025

15889390 – Individual Submission: Central UK Area

I propose the WSOB create a director position for International Operations, that focuses on the requirements and needs of the Fellowship outside of North America. There is a massive growth in the Fellowship in Europe and beyond, but a huge amount of Tradition 7 money is lost in inefficient practices. A Director whose role would be purely focused on improving operations internationally would help generate more funds for the growth of our Fellowship and the downward flow of funds to the WSO.

No Action Taken

Thank you for the referral and the WSOB agrees that the growth of our Fellowship outside of North America has been amazing. The WSOB has implemented new distribution methods for chips through a UK Distribution process. We have also implemented licensing agreements, copyright agreements and royalty agreements to continue to bring our message to the everyone in the most efficient and cost-effective manner possible. The WSOB has also just implemented the baseline program of a new CRM took to aid in the communication with our fellowship in all of the areas of service. Current WSOB members are flexible in their roles and used in many different avenues and projects. Creating a director’s role with such a limited purview would not be consistent with the current board’s structure; however, the WSOB continues to encourage members from all over the world to apply for any open DAL positions when they become available.

WSOB 2025-07 pre-Conf 2025 16084371 – Individual Submission: Manitoba Area

I would love to see a section on the website dedicated to each WSC Committee. The purpose being – each committee could update when their subcommittees meet with their purpose/what they’re working on, zoom links and contact information – members in the fellowship wanting to be of service can do so. Each Committee could have a designated person able to update their own page as to not put work on the Office.

The World Service Conference Committees already can place information on their specific drop-down page on our website. Any information requested is presented to the Director of Operations from the committee’s chair with approval from the lead trustee in the committee. The DOO looks at the functionality of the request and then forwards it to the web servant for implementation.

Peter McG – Being how big the fellowship is now getting, when do you think the world office structure will include international support?

Randy G – We are represented by everyone. The World Service Office Board’s functionality working is within the office and not regional. We have different committees

that are focused on individual issues (chips, literature, etc) and we don’t have members focused on international issues as we feel this is not the function of the office board. The trustees take on the regional and international concerns of the fellowship.

Georgia R – regarding the new website, I noticed there was a link that said alcohol and all mind-altering drugs, will it be changed to cocaine and all mind-altering substances to align with our preamble?

Randy G – In due time, yes it will, we are still in the process of ensuring the content is correct as it is 70% finished, it will be updated accordingly.

Jason L – is it possible to order medallions to be delivered to the UK?

Tai – yes, you can order the medallions, go to the store and input the address, please note that this has to be done through the shop – everything except key tags can be ordered up there.

Jason L – I have noticed that we cannot order medallions this moment. Randy G – We’ll look into it

Nadz L – In regard to the CRM – we are looking at ways at collaborating to make sure we always have the most recent version. How can we engage the Literature, Chips & Formats into this?

Randy G – with our CRM we looked at all avenues this can take on. Over the next years, we will use this to better assist with the fellowship. We want to take this all on one at a time.

Nadz L – Have you been reaching out to international members for quality testing for the website?

Randy G – Sorry but right now it’s going through internal testing, but we’ll look into this regarding reaching out to international members.

Nadz L – This is regarding the internet swag – is it available to everyone and will there be a licensing agreement so that it can come to us?

Tai B. Right now it’s not available for purchase, due to money issues. We are working with 3 budgets right now and we would love to get a referral on it.

Russell S – Regarding the medallions – if any members have any questions, can Dawn be made available?

Randy G – I hope all LTP creates many referrals to the conference.

Denise R. – As an area we feel heard and seen thank you for responding and recognising us.

Candice I – How easy is it for our committees to utilise the website for our members to use?

Tai B – If you look in the BOX there is an answer to that exact question in the form of a referral.

Josh – Can we use the shop for all orders, or can we make purchases other ways?

Randy G – We would like to take the orders through the online store, but members do come into the office to make purchases. A lot of orders get lost when they’re done through the phone so we’re trying to put together a system for these purchases.

Miriam F- what is a CRM?

Jason S – Customer Relationship Management (we have all their data (name, addy, region)).

Judd W. – Regarding the office or shop – are they looking for the interchange fee online? Are they looking to pass that onto the customer?

Randy G – it’s accounted for in the price of the items. We do take into account the other charges.

Steve S – I used to be able to look back at my history of purchases a month ago and now I can’t see any of that. Do you know if we’re going to be able to see this at any point in the new site.

Randy G – We’re probably not going to put in old information onto the new CRM, it will not be accessible on the current platform.

Randy G – When you order a certain number of books, that’s where the cost is coming out, not when you sell it.
