ARCHIVE COMMITTEE REPORT
INTRODUCTION AND COMMENTS:
Collecting relevant C.A. documents and items pertinent to the history of Cocaine Anonymous is the ongoing work of the Archive Committee. These tasks are global in scope and require an active and dedicated Archive Committee. The Archive Committee continues to work on open referrals, approaching them with thoughtful consideration and timely execution.
The Archive Committee spent two (2) weeks (March 15 – 28, 2023) at the World Service office to complete an inventory and database of 257 boxes and banner tubes of CA documents, textiles, ceramics, small and large objects, banners, posters, flyers, convention programs and assorted event ephemera.
The Archive Committee maintains an open line of communications with Archive Chairs and C.A. archivists from around the world. On the first Saturday of the month, the Archive Committee hosts the virtual meeting, “For The Record,” for the purpose of discussing our archival challenges and accomplishments, AND to provide a forum for show and tell, and questions and answers.
Over the past year the Archive Committee has closed out two referrals. ARCH 2017-1: At the 2023 CAWS Convention in Atlanta, Georgia, the Archive Committee created four (4) desktop Flip Books complete with 80 copies of early CA fliers, ephemera, and posters. These flip books are to be compiled every year by World Archive Committee and presented as a gift to the C.A. Area for hosting the World Convention. Also included is a digital slide show of the History of Cocaine Anonymous with a special segment on the History of C.A. in the host Area. ARCH 2016-2: The World Archive Committee has completed and launched a password protected online audio library/repository of all keynote and workshop speakers from the C.A. World Conventions spanning 1985 to 2023.
Lastly, the Archive Committee continues to curate two other C.A. repositories: 1) The Documents Library (docs.ca.org), a password protected archive of all Conference, WSOB and WSBT minutes. These are uploaded to our online documents library which is used extensively by the Trustees and Standing Committee Chairs; and 2) The Virtual Museum (museum.ca.org) to promote the value of the Cocaine Anonymous archives and highlight interesting C.A. objects from around the world and their representative C.A. Areas, but also to give C.A. members greater access to their collective history.

Referral #13197941: Summary of Referral: Individual Submission. Pre-Conference
Each World Convention would create a print (hardcopy) of a Convention program of speakers, workshops and events. This could be sold for a few dollars as a memorabilia item or Convention souvenir. This would also be a significant item for the World Archive too as a document of the World Convention and all that happened to make it successful. Referred to the Convention Committee.
REFERRALS STILL IN COMMITTEE:
ARCHIVES 2021-02: Committee Submission (WSC Archive Committee)
Create guidelines/procedures for the consistent maintenance of the C.A. Virtual Museum. In these guidelines/procedures, please include the following points: 1) Procedures for multiple Admins who have full access to the database to assist with ease of WS Archives Committee leadership transfer, knowledge of backup schedules, location of said backup storage, etc. 2) Naming convention procedures. 3) Procedures for how to handle submissions from multiple people of the same item/image. 4) Procedures for how to address the need to update/correct naming and/or tagging errors on images already named/tagged.
This referral is currently in working process with the Archive Committee, with plans to include guidelines/procedures for all three repositories: Virtual Museum (museum.ca.org), Documents Library (docs.ca.org), Audio Library (audio.ca.org).

ARCHIVES 2017-1 Individual Submission (In-Conference):
That the Archive Committee create a catalog of items available to travel to Regional and World Conventions, along with an order form. This would require the creation of a Duplicate Archive, with items numbered literally, perhaps with a bar code, for easy tracking and identification. I believe that these items could be viewed and ordered in an online catalog format which would automatically create a printable manifest for ease of to and from fulfillment. If you wanted to get really automated, there might be a way to calculate shipping and handling! Only the best possible examples of original items should appear in the Master Archive.

It’s been a privilege to serve these past several years as the Archive Committee Chair—both on and off the Conference floor. The incoming Archive Committee has been selected as per our Tradition Nine and Concept Nine and has served on the Committee for some time making them an adept team and I am confident they will continue the good works we have put into motion.
