Minutes of Board Meeting
February 8, 1990

ATTENDEES:

Meeting called to order at 7:15 pm with quiet time and the Serenity Prayer.

Jay read the Fourth Tradition.

Pam read the minutes from January 25, 1990 Board Meeting. Motion to accept minutes as corrected. Seconded and passed.

TREASURY – Bob C.

Balance of Operating Account: $3,078.67

Balance of Trust Account: $1,571.19

Total working funds: $4,649.86

Segregated funds:

1990 Conference prudent reserve: $7,000.00

Dance Around the World: $529.24

WSO prudent reserve: $3.000.00

Total segregated funds: $10,529.24

The spending committee is not in place yet. Bob proposed moving the bank accounts to Security Pacific. The 2 accounts presented were a money market with fluxuating interest rates, unlimited transfers and up to 3 checks a month at no charge for the Trust Account and a checking account for no cost, since CAWSO is a non-profit corporation, for the Operating account. Bob felt that no other bids were necessary since there are no charges, but is willing to look into more, if requested. A motion was made to open the accounts at Security Pacific as mentioned above, move the money over and do all the necessary paper work by the next board meeting. Seconded and passed.

OFFICE MANAGER; S REPORT – Mary C.

An activity report was submitted for January and week two of February to the Board. Taxes are done. The Portland, Maine letter has been handled. The price given on the banners of $23.40 was given based on an initial order of 1,000. Anything less would be $28.40 (approx.) per banner. Helene suggested going back to Triple A for a bid. Bob suggested getting quotes for 50, 100 and 200 banners for an initial order. Bill will look winto getting the “26 Tips” printed. The Conference minutes will be consulted first.

COMMITTEE REPORTS

PUBLIC INFORMATION – Jay W.

Minutes from the February 3, 1990 PI meeting were submitted to the Board, The letter to the editor of the Wall Street Journal is being proposed as a form letter for future use to be included in the PI packet, but Jay felt that it needed to be worked on and it will be presented next month. Bob felt that any letters going out on WSO letterhead need to be approved by the Board first. A motion was made to have Helene write a letter stating that committees cannot use the WSO letterhead unless they get prior approval from the Board. If they want to send out unapproved letters, they may use their own letterhead with a copy of all letters to the office. Seconded and passed. David C. has been calling hotline numbers to determine their accuracy. Ones that are not operable are being brought to the delegate’s attention of that area. David will give the updated list, when complete, to Jay W. Jay will bring bids in on an 800 number. David will mail out copies of the minutes from WSO Board Meetings to Mark A., per his request.

NEWSGRAM – Reggie L.

CONNECTION – Reggie L.

Greg M, has the next issue in hand. Marketing was discussed. Pam suggested that each Board member and attendee of this meeting submit an idea for marketing to Bill 2. Motion to include 10 Connections in each out-going order. Seconded and passed. Bill will be giving reports on these 2 publications from now on.

LONER’S GROUP – Pamela K.

(no report, however, the letter mentioned in the January 25th minutes will be submitted for approval at the next board meeting)

OLD BUSINESS

A. There are 37 Dance Around the World dances registered so far.

B. NHC will contact Helene with a list of interested companies for writing policies.

C. Job descriptions will be discussed at the next Board meeting.

D. Suggestions from the Trustees for the office will be gone over at the next Board meeting.

E. There are still some computer problems with the World Directory and it still isn’t completed. Bill Z. will make himself available for any printing problems with thfc Directory, Newsgram, Connection, or anything else. David and Bill will get together on the World Directory after this meeting.

F. The new office hours have gone into effect and the answering machine message has been changed to reflect them,

G. Reggie will bring in computer and printer bids at the next Board meeting,

H. The V-loks were discussed. A motion was made to have the new V-loks printed up to match the logo on the medallions. Seconded and passed,

I. Helene spoke to Bernie about the trademark. A copy of the Official Gasette will be sent to the office.

J. The PO box has been cancelled.

K. A letter was sent to the local fellowship in Portland, Maine as well as to “Godspeed*’ explaining the office’s structure for selling chips and literature and their check was returned. The backorder was shipped since it was previously paid for.

L. Hazelden hasn’t responded to the letter about their pamphlet yet.

M. Some donations will be coming in earmarked for the PR firm and it may pay for all or part of the expenses. It was noted at this time that the maximum donation acceptable is $2500 per person/per year.

NEW BUSINESS

A) An unapproved piece of literature is floating around the fellowship entitled “Cravings” and it has been reported that it is being sold at meetings. Any further information on this should be given to Reggie.

Helene requested input from the Board on anything that needs to be taken before the Trustees.

A weekend get-away for the Board was discussed again.

Helene requested that the Board consider changing the first Board

meeting in March to the first Thursday. A concensus of the Board reflected approval of the dates for March Board meetings being the 15th and the 22nd.

Meeting adjourned at 9:25 pm with the Lord’s Prayer,
