COCAINE ANONYMOUS WORLD SERVICE OFFICE Minutes of Board Meeting
September 14, 1989

ATTENDEES:

Meeting called to order at 7:05 pm with the Serenity Prayer.

Tony C. read the Tenth Tradition.

Minutes of the July 13, 1989 Board Meeting were accepted at an
informal board meeting on August 11, 1989.

Pam K. read the minutes from July 27, 1989 Board Meeting. Motion to accept minutes as corrected. Seconded and passed.

Steve P. and Tony C. resigned their positions on the Board. Both are willing to work with their replacements. They were thanked by the Board for their service.

TREASURY – Bob C.

Balance of Trust Account: $30,743.96
Balance of Operating Account: $907.62
Total working funds: $31,651.58

Segregated funds not included in the above mentioned are as follows:

Balance from Dance Around the World: $529.24

A table showing the dollar value of the chips and literature vs. the retail value was submitted to the Board. $5,000 went to Phoenix for the next Convention. Bob is looking into implementing a spending committee and establishing a prudent reserve. A Conference financial report will be submitted at a later date.

OFFICE MANAGER’S REPORT – Mary C.

An activity report for August and the first 2 weeks of September was submitted to the Board. Copies of the letters to and from the IRS were also submitted. Mary wants to chart out the difference between the Conference budgets and actual costs. Craig Ainge, CPA, will charge approximately $500 for year end tax filings. A meeting must be set with him soon since last year’s filings are due in October. Mary suggested putting David on salary and this was discussed but no concensus was reached. Mary will get quotes on a computer table and bring them back to the Board. The possible need for a fax machine in the future was discussed. Ray felt that Mary should forward all the tax information to the attorney back east that is working on the taxes for CAWS. Mary would like a formal vacation request to be used by David (subject to Board approval) to guarantee coverage at the office.

NEWSGRAM – Reggie L.

Nancy occassionally can’t make board meetings and set her apologies. The Newsgram now has 5 writers. The next issue should be out within the next 2 weeks. Helene suggested someone be groomed to be the assistant editor.

CONNECTION – Reggie L.

The Connection should also be out within 2 weeks. San Francisco has said they wont purchase any more due to lack of professionalism and content. Susie has been in contact with them asking for their contributions in editing an edition. Reducing the price of the Connection was also discussed but it was the concensus of the Board to refer this issue to the spending committee. The left-over editions of the last issue were discussed since they will lose their marketability when the new issue comes out. Pam suggested giving them to H and I to distribute.

PUBLIC INFORMATION – Carla I.

Carla wanted to know if there was a log or record of incoming calls about PI. Mary said there is one and calls have been referred to the committee since the Conference. Carla would like a list of local area PI chairs. She also expressed a desire to work more closely with the office and she, or Mark, will try to make it to Board meetings. Carla and Mark both want their phone numbers available to anyone who wants them. WSO PI Committee needs a budget for mailings. The question of what phone number to give to a TV station like CNN or which one to put on a PSA came up and this was discussed at length. Bob will look into it and see how AA handles this. Carla wants to have access to copies of the orders that are being filled for PSA’s out of the office. She also wanted to know if PI letter is going out with the PSA’s. She would like to see some recommendations for PSA’s come from local areas. Helene suggested a follow-up letter to the delegates to compile a list of local PI committee chairs and have them register at the office. Carla or Mark will submit the letter and let the office mail it out. Reggie suggested getting subscriptions to major papers and magazines to keep an eye on what is being said about CA. There is a service that will do this and the PI committee is willing to look in the cost, etc. of this service. Bob would like to hear from the Trustees what, if any, responsibility does the office have in regards to anonymity breaks.

PUBLICATIONS

Quotes for the banners will come from Carla. The 70/30 Plan needs changes, so the office shouldn’t order more from the printer. The 18 month chip color was discussed. Samples of available colors should be in the office tomorrow. Someone took an informal poll at the Conference and the color most wanted was black.

WORLD DIRECTORY

Neil B. is interested in putting it together. Helene is trying to get

Steve M.’s old program for doing the last directory. There needs to be updated directories sent in from the fellowship regulary. Bob said the directory could be used mostly for central offices and hot lines. Pam suggested quarterly supplements instead of reprinting or having an outdated directory. Ray suggested page replacements.

ORANGE COUNTY – Raymond

An updated meeting list and more convention flyers were brought in to the office. Raymond asked if the office could send the flyers out in their mailings. Orange County would like some input on how to get liability insurance to cover special events. A $1500 donation to WSO was approved at their GSO meeting and a check was delivered tonight. Raymond suggested a literature stand similar to AA’s. Helene said this would be investigated and Bob suggested buying them from the same place AA does.

TRUSTEE REPORT – Ray G. and Reggie L.

The Southern California delegates meeting is scheduled for next Saturday at USC. The 1991 WS Convention site has been selected. It will be at the Marriott in Anaheim. The 1990 Convention is coming along veil. Some other things being looked into are 1) re-districting the LA area and 2) hiring a public relations firm. It has been pointed out that the V-lok does not have the Conference approved lettering in the “Hope Faith Courage” wording so new V-loks are needed. The whole logo is not copywrited yet and Ray will call Jack to see if it has been applied for. Ray suggested double-checking the Conference minutes to determine what exactly has been approved.

OLD BUSINESS

A) Bob will compile a spending committee for the office at his discretion and will present some suggested criteria for the committee to be approved by the Board.

B) Helene submitted motions from the Conference to the Board members.

C) 9 and 10 year chips are not moving very fast.

D) Reggie will get the forms to Helene as soon as possible regarding copywriting literature.

E) Helene suggested getting some professional assistance on what to look into for future growth regarding the phone system. Mary said the phones haven’t been too busy. Steve felt that reviewing bids on new systems should be the first order of business for the spending committee.

F) The bills from the Conference need to be gone over and straightened out.

G) Life subscriptions to the Connection are not getting out.

MEW BUSINESS

A) Helene will give a report from the Trustee’s meeting at the next WSO Board Meeting.

B) Ray wants to see Mary’s activity report that she submits to the board to include the new places that starter kits are being sent and to show a break-down of donations by area.

C)Non-profit mailing was discussed. Mary is going to look into it for more information.

D) A starter kit was requested at the Conference and the area said it was not received. Mary said that this has been taken care of.

E) Reggie wants board approval to bring in a person to set-up a mailing list program on the office computer for an approximate cost of $240. A motion was made to have Mark come in for approximately $240 to set up Q & A. Seconded and passed.

Meeting was adjourned at 10:05 pm with the Lord’s Prayer.
