COCAINE ANONYMOUS WORLD SERVICE OFFICE
Minutes of Board Meeting
March 9, 1989

ATTENDEES:

Meeting was called to order at 7:35 pm with the Serenity Prayer.

Bob C. read the Fourth Tradition.

Pam O. read the minutes from February 23, 1989 Board Meeting. Motion to accept minutes as read. Seconded and passed.

Greg S.

Greg presented a TA Adler – Royal 2025 copier for the office. Some of the benefits of which are 1) delivery and set up in 72 hours 2) 6 month warranty on all parts and labor – no restrictions 3) one to one and a half days to respond on service calls 4) a 30 day warranty on service calls. A service contract was explained as well as leasing options. No decision was made at this time to purchase said copier.

LITERATURE – Carla A.

The board was informed that the pamphlets that were ready to print have not gone to print. The Trustees felt that the graphics on the front of the pamphlets should be redone. Carla will do this and then mail a sample to the Trustees, get their response and then print. Carla will also send the other three pamphlets that are not ready yet to the same printer. They will be markedly different so as not to be confused with the Conference approved pamphlets. Carla and Mary will work with the printer on drawing up order forms. It was decided that Carla would be notified and present anytime a presentation is being made on literature to avoid problems in the future. It was discovered that we will own our own plates and negatives at no extra cost. The prices that we were given on the initial printing of the literature are still good. The presentation on the banners has not been made yet.

TREASURY – Bob C.

All bills are paid. The Trustees decided that funds from the Dance Around the World should be deposited in a separate interest bearing account for “seed money” for future conventions. $2500 will remain in the account after the annual dance for convention purposes only. The balance will go to World Service Office, including interest, after the convention is held. Bob C. will bring signature cards for the new account to the next board meeting. It was determined that a valid request for money to be sent to an area for a convention can only be made by the Trustee on the committee for that particular convention.

(the balance of the Trust Account includes the contributions from the Dance Around the World)

NEWSGRAM – Reggie L.

The Newsgram should be out the first week of April. Margie is cutting back to quarterly publication. It was suggested that there be an issue for the Conference. The Newsgram will state the status of our literature and explain the procedure manual for the office.

THE CONNECTION – Reggie L.

The third issue is ready. 2,000 copies at $446 should be here Saturday.

OFFICE MANAGER – Mary C.

Mary submitted an activity report for March 3rd through March 9th. Procedures for accounts receivable and accounts payable are being worked on. Confirmation and Thank You letters are going to be sent with chips and literature orders as well as area donations. It was suggested that a follow-up letter be sent out to places the office sends starter kits to help form some unity with the new meeting and WSO. This was met with approval. It was also suggested that the office send out a few of each type of the chips and literature with a starter kit to help get the meeting going. This was also met with approval.

OLD BUSINESS:

A) Reggie L. informed the board that the computer was set up and ready to go last week, but it doesn’t format the disket or copy. Zachary has been contacted. Reggie will try to isolate the problem. The printer is ready but it’s downtown.

B) The Trustees would like the office to have an Open House during the Conference. It was suggested that the delegates be shuttled over to the office for it.

C) If the media requires a non-profit number to air a public service announcement it was suggested that the number be given to the media, not the area (if they’re not incorporated). We will ask the area to give us the name of the person to contact.

D) Orders for audio public service announcements have been filled.

E) Bob C. suggested that an explanation of the 70/30 plan be sent to the areas as soon as possible. It was suggested that something be put

together on an interim basis instead of waiting for the literature committee to finish their’s. Helene will contact Carla to see how it looks from their end. This was tabled until the next meeting.

Meeting was adjourned at 10:15 pm with the Lord’s Prayer.
