COCAINE ANONYMOUS WORLD SERVICE OFFICE
Minutes of Board Meeting
February 23, 1989

ATTENDEES:

Meeting was called to order at 7:30 pm with the Serenity Prayer.

Darius read the Third Tradition.

Pam 0. read the minutes from February 9, 1989 Board Meeting. Motion to accept minutes as read. Seconded and passed.

OFFICE EMPLOYEE – David C.

All back orders, including metal chips, are caught up. Mary submitted an activity report for the month of February to the Board. New procedures are being utilised. The Chicago area’s back order is 98% filled. Old literature will be ordered in smaller quantity to allow an overlap with the new literature. Inland Empire submitted 3 checks for chips and literature orders that have already been filled. This prompted discussion on the phone order procedure and it’s importance.

A motion was made that in the event that a phone order has been placed on an emergency basis, 2 suggested requirements should be met. 1) A phone vote should be taken by the Board. 2) A check number should be submitted. It was strongly suggested that this does not occur and that repeat offenders will be denied. This will be handled on a case by case basis. Seconded and passed.

Reggie L. suggested that David notify the caller that this is alot of work and explain the above procedure to them to hinder people from taking advantage of this.

David was put on a 30 day probation. Mary submitted this in writing to the Board.

TREASURY – Bob C.

Balance of Operating Account: $2,586.12
Balance of Trust Account: $8,203.66
Dance Around the World Donations: $2,660.28
Total funds in the bank: $13,450.06

All expenses are paid. The $800.00 deposit for service to DWP will be refunded in a year.

It was discussed that a Certificate of Deposit account for 6 months be opened at the bank to hold the Dance Around the World funds.

The suggested procedure for bounced checks will be discussed at the Board of Trustee’s meeting this weekend.

Helene expressed her concern that we keep a prudent reserve in our bank accounts.

OLD BUSINESS:

A) Reggie L. has found an experienced computer person, Mark Hardy, to help the office get the computer programmed and set up. Mark wants $65 to $70 per hour. Reggie suggested several types of software for our needs, that he can get pretty close to cost. Reggie will obtain from Mark Hardy a set-up fee for 3 programs.

A motion was made to propose a budget for the computer as follows:

$600 Software (Word Perfect, Lotus and DOS)
$500 Training (send Mary to 2 classes)
$120 Set-up
$ 80 Menu program

$1300 TOTAL

Seconded and passed.

B) It was decided that in order for there to be area level committee meetings held in the World Service Office, a board member, trustee or an employee must be present for the meeting. This will be explained to the committees interested, and it will be made known to them that it is their responsibility to “recruit” one of the above on a volunteer basis.

C) Steve P. suggested having an open house at the office on a Saturday from 3 to 5 pm with a speaker meeting at 5 pm. The possibility of doing this during the conference was discussed. This issue was tabled and will be discussed later at a non-formal meeting with the board members.

D) A motion was made to suspend the motion made at the last board meeting to ship Second Day Air (Item H page 4), and go instead to regular ground service (UPS) unless special circumstances warrant, which will be determined by the office manager, or unless otherwise stated on the order form and paid for. Seconded and passed.

E) Mary was given the title of Office Manager. She was commended by the Board for a job well done.

NEW BUSINESS:

A) Board meetings will start promptly at 7:00 pm and end at 9:30 pm unless there is urgent business.

B) Future board meetings will be held on March 9, March 23, April 13, April 27, May 11, and May 25.

C) The World Service Office received, in the mail, a Certificate of Registration for our trademark.

LITERATURE – Carla A:

Business Forms Plus was the suggested printer. The following prices are their quotes, good through March 15, 1989:

$1880.55 for 1500 ea. of the starter kits and 5000 ea. of the pamphlets. This price does not include collating or bundling.

$64.00 to bundle the pamphlets into groups of 50.

$151.20 to collate the formats.

Bringing the total cost to $1095.75.

Carla will be viewing a Blue Line sample before the items go to print. She will also find out if we can own our own plates and how much that would cost.

There will be a $24 charge per area for a customized plate and set-up fee to show their address and phone number on their pamphlets. This is a one time fee.

Carla submitted a paper sample for the banners and will make a presentation on this at a later date. She obtained a price quote of $550 for 300 banners, not including art work and set-up. This will be addressed at the next board meeting.

Meeting was adjourned at 10:15 pm with the Lord’s Prayer.
