  • We will focus on the upcoming Conference

  • June 18, 2022, minutes were approved.

SEVENTH TRADITION –

Observed in the office, online members are directed towards ca.org, add a note to state that it comes from the WSOB monthly meeting.

CAWS CONVENTION REPORT

CAWS 2022 (Austin). Susan L

Highlights:

  • Convention over… On a spiritual high since the close of this overdue Convention

CAWS 2023 (Atlanta) Michael S. Highlights:

  • We are meeting at the hotel in person on the 23rd and will have Zoom available as well.

  • We do have the totals from the registrations so far and have 21 Registered.
  • I spoke with the Florida Area Chair, and they asked me to come down and give a workshop as well as raise funds. South Carolina is also excited and in conversation with the team. The Regional convention will be held in Florida.

CAWS 2024 (Amsterdam) Joost van K could not attend, but submitted a report

Highlights:

  • Made great progress electing new members in the team 21 of 39 positions filled (54%), focus is on fundraising.
  • First blueprint of program outline shared with the team. Fellowship currently focused on Area Convention
  • 3 most important deliverables we will focus on in the coming period: program, get service positions filled and get logo / artwork to the next level

CAWS 2025 (Arizona) Jay P.

Highlights:

  • They are on a hold to get out of the way of their coming Area convention. They will hold their 1st fundraising on November 19th for C.A. 40th year’s anniversary
  • Considering the current economy situation, regarding the hotel, they will wait before getting into contract discussion (six months) for the whole situation get clearer.

CAWS 2026 (TDB)

Highlights:

  • If we do not receive bid for this convention at this year Conference, it will be to the WSOB to take responsibility for the organization. We could still wait after next year Conference before starting the process. A possible late entry could come, next year.

OFFICE DIRECTOR REPORTS

Director of Operations- Lolita S.

Highlights:

  • Office update:
    • Thank you, letters were sent for all 7th Tradition, check donations for April – June and is now a policy for the future to send an acknowledgement letter timely as it is done for electronic donations.
    • Inventory was completed June 30th. o Shipping Clerk is now full-time
    • Royalty Agreement – Waiting for signatures from CA S. Africa
    • License Agreement – Waiting for signatures from CAUK
  • MOTION: to change the royalty’s agreement on point 4, from ASC will provide 20 copies to the World Service Office at their expense, to 2 copies. Seconded, passed

DIRECTORS REPORTS

Interim Chair – Earl H.

Highlights:

  • June 17th Translations Zoom meeting with Jason, Johan, David, Lolita, Myself. Much discussion on policy. WSOB Sub Committee proposed. Subsequent motion passed by WSOB
  • Monitored WSO Inventory 6-27 to 6-30
  • July 6th Signed Royalty Agreement with South Africa for the reprinting and sale of our C.A. literature Reviewed back orders and reordering inventory.

  • July 11th met with WSOB Treasurer, WST, WSOT to add Jonathan H to our Bank of America accounts.
  • Attended and participated in WSC S&B Zoom 6-19-2& 7-10-22

Interim Vice Chair- John B.
Highlights:

  • We will be working on our WSOB referrals list, to complete our work for the upcoming Conference.

Treasurer – Jonathan H.

Highlights:

  • Been in communication with the Chair, DOO, and WSOT throughout the last month
  • Introduction to the bookkeeper
  • Discussed comments from WSOT with DOO on preliminary financials for June, including reconciliation, inventory, etc.
    • Bookkeeper is attempting to get reconciliation completed for all accounts, including convention and this will be done and available for next board meeting.
  • Meeting scheduled with the bookkeeper and DOO for next week to get acquainted, see the current work in progress, review QB entries, review chart of accounts, revies PL and BS.
  • Met with all signers at Bank of America in San Diego 7/11/22 to get set up as signer on accounts
    • Still waiting for paperwork that was signed to be processed and allow access via phone and in-bank to the accounts.
  • Got online Bank of America access to view all accounts, but when attempted to login again from home request to get authorization code was needed again and until the paperwork is finished being filed or I get another signer on the phone with me I am unable to access the accounts
  • Met with new accountant that will be handling taxes in future
    • He is working to get proof taxes were filed timely to get the non-profit status reinstated
    • We have proof of 2019 filed timely, which is within the last 3 years, so this should be helpful to get reinstatement processed. Will most likely take another few months to get this sorted out. Hope to have completed be end of Q3.

Secretary – Yves W.

Highlights:

  • Provided the June 18, 2022, WSOB monthly committee meeting minutes. NewsGram:
  • The Q2202Q3 edition theme is “Thus we grow carrying the message” the deadline for submission is July 10.
  • I received 13 articles: 11 from members, 1 from WSOB and 1 from WSC Archives. I am targeting the draft for July 22nd.

Director of Conv & Conf – Robert B.

Highlights:

  • What is the status of Award Point programs? We will need to set this up in the name of an individual. We Needed This for Austin (Hyatt) and will need for Dallas/Atlanta (Marriott Bonvoy).
  • For CAWS 2022
    • Goal is to have all accounting completed in time to present final totals at 2022 Conference.
    • Need to complete the credit card transaction fees, and what is the status of refunds? Those are all accounted for in the financials, but have the actual refunds been issued?
  • For CAWS 2023
    • Currently at 21 registrations
  • For CAWS 2024
    • Progressing well. Focusing on program development and fundraising.
  • For CAWS 2025
    • Goal to have contract in place by the end of the year

    • I will be attending 2022 AZ Area Convention Aug 19-21. Coordinating with Convention Chair for a Steering Team Meeting that Weekend
  • For CAWS 2026
    • No bids received prior to SR-13 deadline
  • For CAWS 2027
    • Currently aware of 3 areas preparing bids for 2023 Conference
  • For WSC Conference 2022/2023
    • Stevie R. Vaughn Contract approved by WST on 6-14-22, Deposit Paid on 7-11-22
    • We need to investigate getting a storage locker in the conference hotel vicinity
  • MOTION: to approve up to $7,500 in expenditures for equipment based on the attached list (See Attachment 1). This expense will be depreciated over the next 4 years against the Conference P&L (2022, 2023, 2024, 2025). Seconded, passed.

Director at Large – David C.

Highlights:

  • The new WSO Translation Committee, which is formed by David as chair and Lolita, Susan, Yves and Earl will have it’s first meeting in the coming weeks to come up with a plan of actions to be included in or Conference report.

Director at Large – Susan L.

Highlights:

  • WSOB AD HOC Committee to establish formal WSOB processes and procedures (Financial, Operational, Policies, etc.) will have its first meeting this coming week.
  • LCF Committee
    • I will be participating on the Report creation meeting on August 7, a week prior to submission deadline for Conference

Director at Large – Joanne P.

Highlights:

  • CAWS PI Committee highlights
    • For the Professional PSA, the Conference chair brought the fact that this creation didn’t follow the 8 Points approval process.
  • Motion to forward the WSOB review the PI Professional PSA as point 2 for the process: the music is original, so we will need the release by the composer, there are also logo’s that will need to be scrubbed. Seconded, passed.

TRUSTEE REPORTS

WST Trustee – Joni E.

Highlights:

  • LEGAL
    • Currently evaluating trademark registrations for the following emerging areas.
      • Thailand
      • Indonesia
    • We will have to register the trademarks for an additional class for the new C.A. app being developed by the WSCIT committee. Currently we hold the copyright for print media and books only

WSOT TRUSTEE – Laurie R.

    • Motion was made to request from the WSO a printout of the inventory adjustment account in QB and a detailed explanation of the reasons for the large adjustment number.

UNFINISHED BUSINESS/PROJECT UPDATES

  • Creation of DBA for use with Wire transfer Bank Account to eliminate the name Cocaine Anonymous from appearing as payee
    • The only way to remove our name from any bank account transfer, is to change our business name, because for a DBA is putting this new name and extend it with our business name
  • Signing of the Conflict of Interest is needed for all, it is an annual requirement and also for any new board member coming in.
  • We need to be on top of our referrals for the Conference

NEW BUSINESS

  • We need to look at our vacations and sick time policy for our employees: Jonathan, Robert and Laurie will work on a proposal
  • MOTION: to move our next meeting forward to Sunday August 14, from 8am to 11pm PST, seconded, passed
