C.A. WORLD SERVICE CONFERENCE 2022

ARCHIVE COMMITTEE REPORT

INTRODUCTION AND COMMENTS:

The CAWS Archive Committee has been busy. We continue to maintain an up-to-date Back of C.A. digital archive files for ca.org, docs.ca.org, museum.ca.org, as well as born-digital and scanned analog documents i.e. flyers, pamphlets, programs, etc. to redundant media, including a cloud account, thumb-drive, hard drive and to “M-DISC” (for long-term media storage)

We continue to curate the C.A. Documents Library of all WSBT, Conference and WSOB minutes. We have an almost complete ratified history of C.A. via these documents available in a password protected online database (https://documents.historyofca.org) which has been extensively used by the Trustees and various Standing Committee Chairs and their committees for research and past precedents. We are still looking for WSBT and WSOB Minutes missing from:

We also continue to curate the C.A. Virtual Museum https://museum.ca.org where there are currently 1422 C.A. images of objects created by Areas around the world. In addition, there is a chronological history of C.A. highlights from inception to present day.

Lastly, we spent a week reorganizing the CAWS repository in Los Angeles. Lots of new acquisitions and donations. We expanded our collection from 152 to 261 archive banker boxes and banner tubes now inventoried in the CAWS repository.

SUMMARY OF COMMITTEE MOTIONS:

The CAWS Archive Committee has motioned and approved to REVOKE the 2015 Committee Guidelines & Archiving Protocols (Document A) due to the large number of need revisions and changes (more than 90% of the document) and to REVOKE the 2016 Archiving Guidelines for C.A. Areas and Districts (Document B), again for the large number of needed revisions and changes needed (more than 90% of the document). INSTEAD, the CAWS Archive Committee has written a completely new document: “Pass-It-On” Archiving Guidelines and Procedures 2022 (DOCUMENT C) which amends, updates and merges Documents A & B into a single document which can be used by

the fellowship at the World, Area and District Levels of C.A. It is our desire to to see this Document C be approved and ratified this year at the 2022 World Service Conference.

Thus:

MOTION: To amend, update and merge the 2015 Committee Guidelines & Archiving Protocols (Document A) and the 2016 Archiving Guidelines for C.A. Areas and Districts (Document B) INTO a single document: “Pass-It-On” Archiving Guidelines and Procedures 2022.

Referral #9205405: From the WSBT to Archives: Please would you consider the adoption of the ‘Uniform File Naming Convention Guidelines’ that were developed with your assistance through the WSBT Long Term Planning Sub-committee. We hope that this document may form part of your committee guidelines and may also be available for guidance as a world website download.

This referral has been included in the SR-14 New Archive Guidelines motion.

Referral ARCHIVES 2021-02 – Create guidelines/procedures for the consistent maintenance of the C.A. Virtual Museum. In these guidelines/procedures, please include the following points:

  1. Procedures for multiple Admins who have full access to the database to assist with ease of WS Archives Committee leadership transfer, knowledge of backup schedules, location of said backup storage, etc.
  2. Naming convention procedures.
  3. Procedures for how to handle submissions from multiple people of the same item/image.
  4. Procedures for how to address the need to update/correct naming and/or tagging errors on images already named/tagged.

This referral is currently in working process with the Archive Committee.

Referral ARCH 2016-2 – Please create an online archive of World Service Convention shares and workshops accessible through the world website for listening and download.

CLOSING COMMENTS:

The Archive Committee is excited about our Post-Conference Committee projects. We also look forward supporting C.A. Area Archive Chairs and Archivists around the world in their efforts to collect, preserve, catalog and curate C.A.’s history back to the fellowship to facilitate C.A. identity and thus build C.A. unity, on both a local and global front.
