World Service Office Board of Directors Meeting

November 30,1995
Proposed Minutes

MEETING was called to order at 7:16 PM

SERENITY PRAYER led by Scott

Motion: To approve minutes of November 10 as submitted Seconded, PASS.

OFFICER’S REPORTS

Chairperson: Scott wished everyone present a happy Thanksgiving * He has completed work on the letter to Bill A. (Regarding convention guidelines) * He has yet to talk with Scott Brown re our accounts. * Has contacted Bob C, and will obtain certified by-laws for both corporations (CAWS & CAWSO). • Scott has contacted a Human Resource professional regarding the salary “Bring-up” for our Director of Operations. (Scheduled for Now Business). * Scott suggested that all Directors sitting on Conference committees contact their committee chair and find out who the committee liaison is; ask the chair to; contact their liaison and ensure their presence at the next open board meeting on January 25,1996

Treasurer: Ho report. Scott outlined the duties of Treasurer for Ed G,

Vice Chair: No Report. Jeff apologized for missing the meeting of November 10.

Conference/Convention Liaison: No Report

TRUSTEE REPORTS

WSO. Trustee: No report.

WS Trustee: Roger reported that the Trustees’ conference call has been rescheduled for 12/17/05, • Bob H. will get back to Roger re Trustees’ Post Office Box.

  • Public information: Chuck has spoken with Brom R. from Film Roos, who has agreed to put our storyboards out to bid. The consensus is that no one will be able to beat the bid wo received from Knightline Productions in Texas ($5,000.00 for the entire video-only package, English and Spanish versions! video only). Film Roos will gladly handle recording the voice-overs at no | charge. We can most likely get the same two actors as last year for English! speaking voice-overs. Since no one knows any Spanish-speaking actors \ within the Fellowship, we can probably hire two Spanish-speaking actors at; roughly $100.00 each, since we are not signatory to any unions.

OFFICE REPORT – K.D. Zager

Office Report read and incorporated into these minutes. Notable discussions.

  • KD sends her thanks to both boards for pushing through her title change.
  • We should add the Indiana State property tax information to this report, (filing deadline, money that we owe, etc.) We need resolution to this (To-do List)
  • Problem – Donnelley Fulfillment Center is making a lot of mistakes with our book orders, i.e.: sending wrong editions, etc. KD has called Suzanne Weaver-our Sales Rep, the Manager of the fulfillment department, and the Manager of customer service at Donnelley regarding this problem. Suzanne is looking into it for us; KD will keep us up-to-date.
  • Now Service Resume Forms are finished. All CAWSO Board Directors should fill out a service resume form, (as soon as Sharon signs off on the new ones), and turn them in by tho January 11,1996 meeting in order to file them with the Trustees ASAP.

-Employee compensation

KD Made some calls and has (earned that there is public information available from the Department of Labor and the Employment Development Department regarding salary surveys, etc. They are usually a year behind, so the information has to be updated | keeping cost of living increases in mind, it was then brought up that KD’s job description is rather unique and th^t genera! public information available may not be as accurate we could got from a specific survey. Scott has contacted a Human Resource professional in the San Fernando Valley who will perform a salary survey using the current JoE? description for CAWSO Director of Operations and make a report to us at this board. If j we choose to use her service, she quoted $90.00 per hour, not to exceed $500.00 for the entire survey. It is the consensus of this board that we obtain two more bids from other j like professionals arid make a decision at our next meeting.

NBW BUSINES

-Convention; Rooms & Transportation

Wo need to lock down these details by January. Then John H. in Atlanta can probably 1 handle the room arrangements. Concierge rooms are available for an additional $20.00′ per night. A suite is available for an additional $125.00. KD to contact Bill A. in Atlanta | to see if any deals have been cut with Delta or any other carrier. A review of reimbursed rnent policy ensued: Fifty percent of Room, 25.00 per diem. Last year, we also covered registration–however, under the new guidelines, Registration reimbursement will only be made if a specific request for such is approved by the Board Director and the appropriate Trustee. 

-French Translation – Printing j

Wo have bids in from Montreal, obtained by Lise p. at Res Publics. KD recommends ; Letorneau, as does Lise. The bid was for 3000 units @ $2.80 per book Canadian for a; total of app. $8,200.00 Canadian ($6,750.00 U.S.). I

MOTION: To accept Letorneau’s bid for the printing of 3000 copies of the french Storybook at the specified price if $6,750,00 LIS. dollars. Seconded. TABLED until j meeting of December 14, 1995.

We need to obtain feedback from Lise regarding the pricing of books (To-do List). Also| we need to research how the books will be sold, (To-do List).

-WSC Conference minutes – transcriber bid.

MOTION: To have Pam 2. transcribe the WSC minutes for a fee not to exceed \ $000.00. Seconded. PASSED. 

AS THE 1995 WSC Secretary cannot be found so far, we need to turn to the Conference Committee; Chair for some guidance. We must inform him that we need these minutes, KD to apprise him of all avenues ventured so far in the search for the WSC Secretary,; and ask him when we can expect the minutes (To-do List).

MOTION: To formerly request that the Conference Committee Chair draft a letter to WSO explaining why we have no 1995 Conference minutes. Seconded. PASSED.

It was discussed that, in future conferences, that possibly WSO should get a rough copy of the minutes on disk at the end of each conference session.

– Office equipment

We discussed the purchase of new office equipment, as outlined in the office report. It was the general consensus of this board that everything on the list was reasonable with the exception of the Label Maker.

MOTION: To approve the expenditure of $400.00 for the purchase of office equipment. Seconded. PASSED.

MOTION: For CAWSO to carry laminated meeting formats in its inventory that will be available to the fellowship at a price to be determined later. Seconded. PASSED.

-Photo-ready Literature to Montreal:

Sylvie N. Has requested photo-ready art of all English language literature be provided to them on SyQuest. There was a discussion as to whether or not we have already made a commitment to Montreal to bear the expense of this (app. $16.00).

MOTION: That WSO spend $160.00 in order to provide Canada (Montreal) with a SyQuest copy of all English language literature. Seconded. PASSED with one abstention.

MOTION: To adjourn at 9:00 p.m. Seconded. PASSED.

MEETING ADJOURNED at 9:00 PM with the Lord’s Prayer.
