CA WORLD SERVICE BOARD OF TRUSTEES SUMMARY MINUTES OF MEETING CONFERENCE CALL MEETING

January 23, 2016

Chair’s opening remarks: (Duane M) Calls may be lengthy. Please be prepared.

CAWS Convention updates

  • CAWS 2016 (Jeannette) Steering committee meets monthly. Convention website is up. Let delegates know. 775 room nights reserved. The hotel is filling up. Committee is working very diligently in getting plans completed. We are on track. The opportunity fund raiser will be pulled April 15th. Next general committee meeting is March 6th in Chicago, Jeannette will attend. Will host the WSO walk-through of hotel in April or May. Have outstanding contracts that still need to be reviewed. Trying to keep enthusiasm. New logo for limited edition fundraising is in committee to go to WSO for approval.
  • CAWS 2017 (Deborah) Had general committee meeting January 10th. Need registration draft. The dates on hotel contract are not correct. Should be starting June 30th not July 1st. Banquet chair is working with hotel. Committee chairs are not showing up to meeting and not reporting. Don’t know what is happening with some committees. Had computer raffle for a fundraiser. Rose from Idaho made a quilt for fundraiser raffle. CDs needed for speakers. Trying to look into some nice special events. Looking for someone to facilitate artwork.

  • CAWS 2018 (Yves) Ira L, the WST, received a new contract from Robert , the convention chair, and the Sheraton Hotel. The TNC received an updated contract. Next item is to build timeline, and complete committee structure by end of April. Ira would like all comments from TNC by tomorrow before contract is signed.
  • CAWS 2019 (Suzanne) There is not any new update since the last Still awaiting service resumes to install the Chair. Will follow up with Sweden to facilitate communication.
  • CAWS 2020 Bids update – Rob says bids are coming from Austin and Denver, and NYC just put together a bid committee, and Phoenix for 2020 or 2021. Jay – Arizona will submit for 2021,

Ira – We’re here and we’re free needs to be renewed for 2016. Working with attorneys on this. Ira received correspondence from attorney to Linda dated 10/7/15 last Saturday on 1/16/16 (3 months later) for CA trademark for EU. $2,355 to renew. Office moving forward for renewal.

Jay reminds us about the spending guidelines over $2,000. Questions the value of maintaining trademarks. Discussion/questions follow. Frank will follow up with office.

MARKER 2009.05.09 Status of WSO – (Frank & Ira) Frank – Got resumes. Office lease will be extended until August. QuickBooks and other items are being prepared by bookkeeper and others. German translation is $3,400 and looking into this. Russia has 7th Tradition donation for us. E-books and specialty chips are selling. New copier in place. Money saved from lease payment is being put into savings. Financials are being prepared and adjustments being made. Things are going well. Questions were asked and answered regarding German translation. Questions were asked and answered regarding office lease. Ira – Thanks to Frank. Concerned about what falls through the cracks. Concerned about the way financial reports are prepared.

MARKER NADCP – (Rob) – Booked hotel for June 1st – June 4th. The regional trustee is planning on attending. Will coordinate with Linda.

MARKER TEC – (Rob, Jeannette-second) – Rob – Needs the regional slates and resumes as soon as ready. Will look into revising TEC questions.

OLD BUSINESS

2011.03.01 European fulfillment facility – (Rob/Frank) – Frank – No new information. Rob – Has reached out to Delegate in UK.

2014.01.01 New www.ca.org site update (Yves/Frank) – Yves – Going live next weekend. Midnight Saturday night. A few things need to be addressed. A few things need to be cleaned up. Will take a couple of hours to switch websites.

-Discuss the Holland translation of the First Step (Suzanne) – Still ongoing. Looking through literature, etc.

-Selling chips and literature at Hazelden and other venue (Frank) – Nothing to report.

-Update of documenting the backup and restoration process in place for WSO IT infrastructure (Yves) – Nothing new to report. Scott and Frank are working on this.

-New Region (Suzanne/Rob) – Rob – Has heard there might be an exploratory committee being formed in UK to discuss breaking away from US. Suzanne – Is aware. Has spoken with members. Still in the beginning stages of discussion.

-Use of CA.org E-mail addresses (Frank/Yves) (Was tabled at 1512 quarterly until next – this – conference call.) Yves – There is no problem setting is up if everyone would like to use it. Discussion regarding pros/cons, privacy, access, server, etc. cet.

-Discussion on using the web site In The Room to hold on-line meetings. (Yves) – Online would like to set up a meeting. IT Committee guidelines do not allow this. IT committee would like WSBT to clarify and make a decision.

ROB – MOTION: To allow the Online Area to link to In The Rooms cite. Deborah – second. Discussion. Rob withdraws motion – Duane calls that out of order. Motion fails.

-Washington issue (Deborah) – This has been resolved. The Area structure will remain the same.

NEW BUSINESS

  • PERMISSION TO USE THE CA 12 STEPS (See correspondence below). MOTION: Ask what the intent of the book is and where do the Steps fit into the book, Yves. Second – Deborah. Discussion – Fails.

MOTION: We do not have authority to give permission to use 12 Steps as borrowed from AA , Ira. Duane – out of order.

MOTION: Table to next quarterly, Jay. Deborah – second. Passes.

  • OVERVIEW OF 12.12.15 WSOB MEETING, MOTIONS, FINANCIALS AND REPORTS (Duane) – Ask the WSB for clarification –

o WSO wages and salaries for 2015, including bookkeeper.

  • Records management process/procedure for electronic and paper.
  • Cash flow analysis where we might be over budget, including areas or items not included in the budget, and projected legal fees for copyright materials.
  • Chart of accounts, general ledger. o Thanks for hard work.

Things that are easily accessible we’d like by the quarterly. And we would like to see a records management policy being worked on and in place by the time the office moves.

  • REVIEW REQUESTS FOR INFORMATION FROM WSOB (Duane)
  • MEETING WITH WSOB (Duane) Frank – Have one-on-one Chair, Treasurer and the DOO. Scott – financials together – Lory. Will have a full B2B meeting.

MOTION: Have a quick conference call to elect DAL before the WSBT quarterly – Yves. Second – Deborah.

  • LCF AND 12X12 (Yves) Yves – LCF asked to have access to our correspondence to/from Fellowship. Yves will follow up while at the Office and retrieve all correspondence which has been made public to the Fellowship and provide to LCF committee.
  • CAWS 2016 WEBSITE (Ira) – The WSO approved the 2016 Convention website, but there is a whole page dedicated to the Swiss Hotel advertisement. Ira is concerned it implies an affiliation. Discussed.

  • SOUTH AFRICA PAY RATE (Suzanne) – Books are much higher in South Africa. They would like books but can’t pay full price or sell for full price.

To Whom It May Concern,

Thank you for all the wonderful work you do and the incredible message and integrity of the undiluted 12-steps in action. I am a writer and have written a book and I would like to include the Cocaine Anonymous 12 steps within the book. Of course, I would give full credit/attribution and would also include whatever disclaimer you require.

I have called and left a message, but have not yet heard back, so am hoping to hear something soon.
