February 26, 2009

CONCEPT 1 – Final responsibility and ultimate authority for C.A.World Services should always reside in the collective conscience of our fellowship. Read by Hayward

GROUP INVENTORY–Tradition 3 questions. Let the minutes show….We did it !.

BIRTHDAYS – None

ROLL CALL – John, Taffy, Tom, Willie, Richard, Yvette, Hayward and Teresa present. Guest- Mona  Not present-Teresa

QUORUM DETERMINATION –Quorum present

APPROVE THE MINUTES OF THE PREVIOUS MEETING–motion made to approve minutes of February 12, 2008 by Tom, seconded by Wille. , motion approved unanimously.

GUEST REPORTS – Mona –No report

ON-LINE BUSINESS –Motion was made to approve 2010 Milwaukee World Service Convention registration. Voted and approved online.

DRPD Report-Patty

OLD BUSINESS –

A. Director openings/resumes-Barry has showed an interest in becoming an Director on the board. He has received an application and will be submitting it as well as attending our next board meeting..

B. PO Box-pending. March is the last month for checking on availability of old box

C. Bank consolidation of accounts- The process has now begun with only a few glitches. Signers on the account are still needed to be added. Tom and Willie reported on the ongoing process. Still need to get Earl’s name removed.

D. CA.ORG in Spanish- a work in process. Richard will report back to the PI committee

DRDP Report- Written report was also submitted

1) Motion to approve concept of new soft merchandise. Motion made by Patty, second by Tom. Motion Passed

2) Motion to approve 2009 workshop spending request of $833.94. Motion made by Patty, second by Tom . Motion passed

3) Motion to approve 2010 pre convention fundraising spending request of $823.00 for hoody sweatshirts. Motion made by Patty second by Tom. Motion passed

4) Motion to approved Paul Mears as a licensed Vendor to sell CA recordings with our Logo. Motion made by Patty, second by Tom. Motion tabled to Old Business

5) Motion to approve investigation into printing cost for HFCH without How it works. . Motion made by Patty, second by Willie. Motion passed

6) Motion to pay William Oikle  $1875. for 50% of the badges Motion made by Patty, second by Tom

Motion to suspend rules in order to extend the time for meeting by Hayward, second by Tom – Motion Passed with little opposition

WSOB February 26, 2009

Equipment/Forms/Procedures/Inventory

  • Fed ex account – fraudulent shipments – investigation opened 2-5-09 new statement arrived 2-23-09 with more fraudulent charges- account closed 2-24-09 re-opened with new account number. ALL CHARGES WAIVED.
  • Corporate Credit Card- fraudulent charges- account closed 2-25-09 new card will arrive Friday 2/27 latest Monday 3/2—ALL CHARGES WAIVED.
  • Motion to accept Benjamin Washington- as IT person. Revised contract posted to groups 2/12/09- all requests for changes completed. $225.00 per month – email migration and Quickbooks update as outside projects.

forms

  • 7th tradition donation form being priced. Needs updates. DOO needs Procedure for revisions.
  • New checks and deposit slips on order to arrive @$375.00
  • P.I. survey and two letters have been sent to office for inclusion in March Mailing.

Procedures

  • Accounting updates
    • Trustee procedure in place- working well
    • Staples account over payment in September of and 2 credit memos that were not applied resulted in @ $1220.00. Problem discovered in January-
      • Steps that have taken place to resolve issue.

Inventory

  • DOO and DRPD working on resolving inventory adjustment that was made at December inventory. Resulting in counts being off. Correction made continuing analyses

Open Projects

  • I attended the PS regional assembly-wonderful time
  • Update on P.O. box
    • Barbara is no longer the manager- Hector Calderon is new manager
    • 12/2- called to speak with Hector no answer
    • 12/10 Spoke with Hector- he will call me back with a definitive answer on if they are legally able to contact the current box holders.
    • 2/19- Inventory being labeled with new box number P.O. Box 341460 Los Angeles, CA  90034
    • 2/25 310-476-4057-Conversation- Tried to contact them no answer. Suggested we begin looking online- usps.com look for P.O. Box icons. 949 Barrington.
    • 2/25 pick up at new box 3 inmate letters.
    • 2/25 sent letter to new box holders requesting return

TRUSTEE REPORTS

WSO Trustee – All board members need to have their quarterly reports posted or handed in by February 27th. Please email them directly to Willie. John suggested that they should also be posted

WS Trustee – Attended the Conference committee and said that Kevin M. will approve and have the last conference minutes will be available for the March mailing.

Motion to revise the UK royalty’s agreement to lower them from 8 cents to 6 cents. Motion made by Patty, second by Yvette. Motion passed
