CA World Service Office Board Meeting

February 27, 2003

Approved minutes

PRESENT:

Bob Campbell, Chair
Mark Keaser, Vice Chair

Meeting called to order at 7:40pm.
Patty read the 5th Tradition;
John read the 5th Concept.

Minutes of February 13, 2003

  • Motion (Elizabeth/Mark) to approve.
  • Tabled.

Motion: (Patty/John) Motion to suspend rules to consider items of new business out of order relating to CAWS2003.  Passes.

Motion: (John/Mark): Approve $800 for comedian for CAWS2003.  Tabled with recommended changes.

Motion: (John/Mark): Approve $400 plus parking for Laura Mendoza for DJ services at CAWS2003.  Passes. 

Motion: (John/Kevin): Approve $400 plus parking for E. Michael Stajdohar for DJ services at CAWS2003.  Passes.

WST will resolve several minor questions before signing last two contracts

Motion: (John/Patty): Approve expense of $1200 to James Tulk for live entertainment for CAWS2003.  Deposit $200. Passes unanimously.

Motion: (John/Mark): Approve expense of $1500 to “Howard and the White Boys” for live entertainment for CAWS2003.  Deposit $300. Passes unanimously.

Motion: (Patty/Mark): Approve $350 expense Donell for 20 walkie-talkies.  Passes. 

  • This is our usual vendor, and is only 20% of Chicago’s lowest bid.

Motion: (John/Patty):  Approve $1300 to Lucas for sign language interpreters for CAWS2003.  Tabled.

Motion: (John/Mike): Approve expense of $3280, including 9.75%  sales tax, to Blue Plate Events for catering of boat cruise event at CAWS2003. 

  • Motion to table fails.
  • Passes

Motion: (Patty/Mark): Approve expense of $326.43 to Debbie Harris for outreach activities for CAWS2003.  Passes unanimously.

OLD BUSINESS:

  • Tabled minutes 8/25.  No action
  • Pricing of PI & WSO folders.
    • Motion: (Patty/Mark):  Increase “PI folder” price to $3.50.
      • The folder includes all PI materials.
      • Passes unanimously.
  • Conference call costs.  No action.

OFFICER REPORTS:

Chair: Worked with Patty & Trustees regarding H&I video.  Have $10000 in video trust account, signed contract.  Technically requires all monies up front, but will try to hold back $2500 until video received.  Sent check for $5000, as per Trustee approval.  Meeting weekly with Patty, and plan to continue weekly meetings.

Vice Chair: No report.

Secretary: Submitted written resignation letter effective April 1.  Attended UK Convention and was extremely impressed by both the UK Fellwoship and their Area Convention.  The contrast with both from my trip in 1999 is like night and day.  They’re really hopping!!

Treasurer: Absent.  No report.

Director 1 (Mike G): Written report submitted.

Director 2 (Earl H): Absent.  No report.

World Service Office Trustee: Thanks Kevin for service.  Written report submitted.

Office Manager:

Written report attached.  Accounts Receivable matches Accounts Payable, meaning that pending income matches debt – this is a big improvement.

  • Canadian check bank processing fees have become exorbitant, (C$22 + US$50 per check processed).
  • Donor program problem with web link to outside source (Paypal).
  • Donor form corrected.

[John leaves at this point, still have quorum.]

COMMITTEE REPORTS:

  • Conference:  Post-conference referrals have been mailed out.  Summary of motions is being prepared and should be ready in next few days.  Several members of the Fellowship strongly urge speedy resolution of this issue.  Updated WSM has gone to the designated Trustee.  Unity Guidelines & Internet Guidelines are in house.  New LCF pieces are due back from editor and next NewsGram is ready.  Hopefully all this will go out in March mailing.
  • CA of Florida and CA of Arizona sites need to be reviewed.  Florida is new, AZ is a redesign.
  • CAWS2004 theme in some dispute due to committee procedural error.
  • General questions and concerns regarding immigration issues and foreign conventions.

NEW BUSINESS:

  • Motion: (Patty/Mark):  Approval of transfer of $5000 from Video reserve and disbursal to AMR for video production, as previously approved by Trustees.  Passes unanimously.
  • Motion: (Kevin/Mark):  Suspend rules in order to extend time to complete new business.  Passes.
  • Motion: (Mike/Mark): Extend time to complete new business.  Passes.
  • Motion: (Patty/Kevin):  Change plastic chip design to remove words HFC on back and put entire logo on front.
    • Passes.
  • Motion: (Kevin/Patty): To decline checks in non-US funds, until foreign check processing fees become reasonable.
    • Tabled
