March 14, 2002

Proposed minutes

PRESENT:

Steve Edwards, Chair

Meeting called to order at 7:40pm.
Elizabeth read the 10th Tradition;
Kevin read the 10th Concept.

Minutes of February 28, 2002

  • Motion (John/Elizabeth) to approve
  • Approved as corrected.

OLD BUSINESS:

H&I Video: Awaiting funding

OFFICER REPORTS:

Chair: Working on NewsGram Guidelines.

Vice Chair: Nearly done with CAWSO policy from 1980’s.  Working on Conference items.  Conference at Sheraton 4Points again in 2003.  A good chance that we will also sign for 2004 and Trustee meetings as a package deal.  Conference 2002 will start 9AM Wednesday instead of 1PM.

Treasurer: February P&L and Balance Sheet drafts presented.  FY2002 running analysis reported.

Secretary: Position vacant.

Director-At-Large: 1Q02 NewsGram articles submitted to WSO Trustee for distribution to WSBT NewsGram committee.  One additional article to be forthcoming from WSBT.

World Service Office Trustee: Written report submitted.  A statement from the WSBT regarding 2 Trustee resignations is presented.  Attached.  In particular, Jahi B has assumed the duties and responsibilities of the Pacific South Regional Trustee, a position that holds an ex officio seat on the WSO Board.

Pacific South Trustee: Position vacant

World Service Trustee: Written report attached.  Discussion of golf contract.

Motion: (Mark/Kevin): Suspend rules in order to make a motion to extend time.  Passes.

Motion: (Mark/Kevin): Motion to extend time to end of business.  Passes.

Office Manager: Written report attached.

Committees

CAWS2004:  Jim H, Host Committee Chair: Completing selection of executive committee.  Recommendations and resumes have been sent to Conference Convention Selection Committee.  Resignation of PSRT is complicating this.  Will notify appointees and other applicants before public announcement.  Attempted to achieve geographic diversity within the region.  Am forwarding recommendations and resumes to Jahi.

  • Question asked regarding suitability of Trustee from outside the Region serving on selection committee, due to their possible unfamiliarity with service activities within Region.  Jim suggests that WSBT consider possibility of one of the Pacific South resident Trustees assuming this duty.

Motion: (Kevin/John): to skip committee reports.  Passes

NEW BUSINESS:

Motion (Mark/Patty): Accept Sheraton 4Points bid for Conference 2003.  Passes unanimously.

Motion (Oliver/mark): CAWS2002: Approve $4000 to Nimrod Productions for entertainment. 

  • Deposit $2000 to be paid on contract signing, balance before performance.
  • This pertains to a band called “Rubberneck”.
  • Passes unanimously

Motion (Oliver/Mark): CAWS2002: Approve $1500 to Randy Fischer for comedy performance.

  • Deposit $500 to be paid on contract signing, balance before performance.
  • Two comedians.
  • Passes unanimously

Motion (Oliver/Mark): CAWS2002: Approve C$530 to Island Glassworks for auction item in glass based on CAWS2002 art theme.

  • Deposit C$265 to be paid on contract signing, balance upon delivery.
  • Estimated US equivalent $350 = C$530.
  • Passes unanimously

Motion (Oliver/Patty): Conference 2001: Approve $360 check request to Kathy Honesty for expenses as Conference co-secretary.

  • Passes unanimously

Motion (Patty/Mark): Approve Trustee-passed expense reimbursement policy (attached), with the following changes.

  • Remove Sat evening banquet from Area convention reimbursable expenses.
  • This is due to IRS rules about per diem.
  • Airfare/mileage is limited to prevailing 14-day advance purchase coach airfare.
  • Remove “and banquet” from point VI of reimbursement information list.  At end of item VI, add sentence “Travel days per diem is 50%.”
  • Motion to limit debate.  Debate limited.
  • Passes with opposition.
    • 5th Concept: Feels that the policy should have been tabled for further review.  What is the rush?
    • 5th Concept: Objects to policy that pays for basic registration.
