Draft Minutes of the Meeting of CA World Service Office Board of Directors

December 17, 2009

Opening –Chair called the meeting to order at 7:10 p.m. with the Serenity Prayer.

Willie-Business out of order motion, second by Richard L., passed. Willie-Motion to deal with business which Richard S. can address since he is involved in an area meeting and may be called out of meeting, second by Richard L., passed.

Out of order business items-

Item 1)-Richard expressed concern about technical capabilities of current IT technician. Suggested DOO, chair and WSOT meet and address concerns in order to support office and DOO.

Item 2)-CAWS 2010 caterer contract-TNC has approved contract.

Item 3)-Office lease,

Item 4)-Mailstreet, Network Solution-discussed conversion timing and concerns.

CONCEPT XII – General Warranties of the Conference: in all its proceedings, the World Service Conference shall observe the spirit of the C.A. Tradition, taking great care that the conference never becomes the seat of perilous wealth or power; that sufficient operating funds, plus an ample reserve, be its prudent financial principle; that none of the Conference members shall ever be placed in a position of unqualified authority over any of the others; that all important decisions be reached by discussion, vote and whenever possible, by substantial unanimity; that no conference action ever be personally punitive or an incitement to public controversy; that though the Conference may act for the service of Cocaine Anonymous, it shall never perform any acts of government; and that, like the Society of Cocaine Anonymous which it serves, the Conference itself will always remain democratic in thought and action. (DOO), Yvette H., (DAL). A quorum is established. Voting Members Absent: Judy L., (Secretary); Teresa Neighbors, (DAL).

Guests Present: none.

Approval of Previous Minutes – motion to approve minutes of December 3, 2009 made by Richard S., second by Barry J., passed.

  1. “How It Works” progress-see Newsgram article –no discussion, item to be removed from future agendas.
  2. WSOB Director openings/resumes –item to be removed from future agendas.
  3. ORG in Spanish / Help Desk…”We Can Recover in Spanish is now available to be processed through WSO translation policy.
  4. Bank Consolidation of Accounts Status
  5. Update on Referrals-will begin addressing at next meeting.

  1. Office lease-moving plan-concern expressed by DOO with respect to printer lease performance, service and production. Discussed potential issues with terminating lease. Discussed moving considerations and time frame.

DOO Report – see written report. Motion made to bring motion from previous meeting off the table second by Richard L. Motion for CAWS–2011 to use sale of coffee as a pre-convention fundraising item, passed. Need”mock -up” including suggested disclaimers and insurance requirements. Withinreasonable time period provide certificate of insurance, Friendly amendment, accepted by maker and second, passed.

Motion to pay a total of $400 to employees as a bonus, made by Yvette L., second by Barry. Friendly amendment-to approve holiday bonus in the amount of $250 to be distributed at the discretion of DOO. Motion passed

CAWS 2010 – Milwaukee – Motion made to approve internet suite auction made by Yvette, second by Willie, passed.

Chair has offered to raffle his room and pay for his room.

Request by CAWS 2010 committee-“Here is what we propose, WSO gives CAWS 2010 our fundraising monies back minus any past request that were paid out and WSO allows CAWS 2010 the freedom run the convention as we see fit. We would request pre-convention registration funds from the WSO as needed. WSO would have constant oversight of our P/L statement and check book. Our WI members of the Steering Com have over 80

years of sobriety, 2 past delegates, 3 of our current Steering Com members held simalar positions in 1999,a CPA, a business owner with 10 employees, an IT dept manager with employes under his watch. And all 5 members of the Steering Comm have held numerous WI area service positions through 2 decades. Were qaulified to do this and well orginized. We are all friends and care about this fellowship. Our Trustee will be your liaison, she has told us she plans on be at all of our monthly meetings starting in January. CAWS 2010 has shown financial prudence in fundraising, spending and our self imposed budget cuts. We are ready for this responsibility” Suggested that DOO respond that WSOB feels strongly that guidelines continue to be followed. CAWS 2011 – Arizona – see motion in DOO report.

CAWS 2012 – UK – no report.

CAWS 2013 – no report.

New Business –

Item 1)-HFC II international sales-office is reviewing methods to fill orders.

January 14, 2010 next meeting.

WORLD SERVICE OFFICE TRUSTEE REPORT

DECEMBER 17, 2009

Thanks you all for the opportunity to serve this fellowship and this board, it is always a pleasure dealing with the many new challenges we face with you all and hope on my part that I can continue to be of assistance. My role is one of custodial oversight, communication, and guidance, and this year I will be fulfilling those responsibilities in hopes that I can assist in the education of this service structure.

Items of Business

  • Since we have heard from AA, it is now time to start looking at the option that will get our international fellowship HFC II in a timely manner.
  • Relocation of the office and the plan to execute this is very important. The WSBT is awaiting the proposed lease agreement and the proposed planning as to any cost associated with the move.
  • We now have a full complement of board members, with the ratification Teresa N, thanks and welcome back, your service experience is greatly needed and appreciated.
  • Director Outreach will remain a focus point, especially, how to incorporate our international community’s into this service structure in order to eliminate some of the challenges we face with the cost of shipping, communication, expectations and information

Items of concern

  • IT issues continuing to disrupt the office’s ability to run smoothly and efficiently.
  • Mail Street/Network Solution and the conversion, when will it happen? What will the impact be on the office, the fellowship?
  • The flow of communication with committees, areas and districts and CAWSO, I just want to say this has been very challenging over the past few months and it is good for us to know the structure and where the communication should go, so we can interrupt any miscommunication or efforts to pass on communication ineffectively.
