It has been another successful Conference. Thanks to all who have attended and who have given so much to our CA Fellowship during this past week. Thanks too to the delegates, trustees, and other servants who are rotating of their respective positions, we appreciate your service to this Conference and to the fellowship these past years.

Referral # 6407 COMMITTEE INVENTORY
RESPONSE: Referral 6407 was submitted to the IT Committee. The IT Committee referred it to the Conference Committee for response. The Response to this Referral as well as to Referral 6408 is listed below.
Referral # 6408 COMMITTEE INVENTORY
Referral 6408 is respectfully submitted to the Conference Committee. The referral itself is in italics. The remainder is simply supporting information / ideas / suggestions should you find them useful.
This referral is a request that the Conference Committee take a group inventory of itself in the spirit of assessing how well the committee helps the Conference to fulfill its purpose and to identify what action(s) the committee could take to improve the committee’s ability to better help the Conference fulfill its purpose.

Should the Conference Committee opt to take no action on this referral either at the 2010 Conference or as a post-Conference activity throughout the 2010 / 2011 year, please be kind enough to cite the Conference Committee’s reason(s) for not undertaking such action in the Conference Committee’s closing Conference report.
RESPONSE: This Referral is similar to what this Committee received last year and which we responded to. This Committee created a personal inventory form which has been included for each delegate at this year’s WS Conference in their respective registration materials. This is a personal inventory for each delegate, as nothing formal or organized was deemed necessary or appropriate. The Conference Committee will take this request for group inventory under advisement.
Referral # 6432 ON-LINE REGISTRATION
Please make Delegate Registration available on-line as we can register for Convention so should we be able to at Conference.
RESPONSE: No-action taken – due to the small number of registrants and even lower number of on-site registrants, the cost is too great to justify the expense at this juncture.
Referral # 6474 CONFERENCE START TIME
Please start the conference 1 hour early. In all the past years I have attended conference the floor has always had to extend the time on Tuesday night to finish business.
RESPONSE: Thank you for the suggestion. We will take it into consideration once the Agenda and other related Conference planning is in place.

Referral # 6628 HOTEL ROOM INCIDENTAL FEES
Please advise the Areas of the extra monies required to get a room at hotel conference sites when using a debit card. Four Points Sheraton required a 50.00 a day deposit for incidentals. This amounted to 200.00 extra which I was not prepared to pay.
Please get this fee waived for CA members not having a credit card. Or at least inform the Areas of the extra amount required to attend conference and stay at the Conference hotel.
RESPONSE: Future letters to delegates will ensure that all delegates are well informed about the respective hotel policies related to incidental charges which may apply to credit and debit cards.
Referral # 6632 COUNTERS
Have Conference explore the idea of having 2 permanent counters chosen at the beginning of each conference.
If the initial vote appears close to either a 2/3 majority, or a simple majority, whatever may be required, the Chair would immediately call upon the counters to count, thus NOT requiring a 2nd vote.
RESPONSE: No action taken. Sometimes the non-voting members are otherwise involved elsewhere in the Conference and are often not always on the Conference Floor. The Chair and Vice Chair/Parliamentarian often do not know when the vote will be close and when counters are needed. To have permanent counters would require these people to be present at all times on the floor when the Conference is in session, which is a burden for any non-voting attendee.
Referral # 6644 DESIGNATED SEATING

There should be designated seating for Delegates/Alternate Delegates on the Conference floor. Such that all delegates/Alternate Delegates from each Region sit together.
RESPONSE: No action taken, due to the possibility of late registrants or on-site registration which would hamper the creation of regional seating charts. Further, for many years the delegates sit in the same place and are unlikely to accept the suggested change in any event.
Referral # 6646 ORIENTATION
To call it Delegate Orientation not just “New Delegate Orientation.”
RESPONSE: Thanks for the suggestion; we will make this change next year.
Referral # 6658 HOLE PUNCH REPORTS
Ask that ALL Committee reports be hole punched before they are handed out to delegates.
RESPONSE: No action taken, Hole punches are provided in the office for use by delegates or committee chairs. We don’t have the staffing power in Conference Committee to comply. Further, hole punched paper is more expensive than non-hole punched paper making this a cost issue also.
Referral # 6660 CERTIFICATION TRANSFER FORM
On Conference Delegate Certification Transfer Form, if you want it faxed to the office you should include the Fax number on the form.
RESPONSE: We will update the form to include the fax number.
Referral # 6661 Delegate Proxy Form

Eliminate the redundant need to have both a “Delegate Proxy Form” and “Delegate Certification Transfer Form” and create one form to serve both purposes. Also make sure it is printer friendly and when printed it has pleasing looks.
RESPONSE: We will attempt to create such a form if one can be created which is both clear, concise and user friendly. We don’t know yet if this is possible but we will try.

Thanks to the delegates who supported the Conference by purchasing Delegate Notebooks, Delegate T-shirts and Kick-Off Dinner tickets. These measures do serve to help offset the Conference Costs. Your participation is greatly appreciated.
In closing, it has been an honour and privilege to serve this committee as chair and I thank you all for the opportunity to be of service. Please take the time to complete the evaluation form regarding this year’s World Service Conference. We appreciate your honest and detailed comments. We also appreciate the opportunity to serve you all and our entire C.A. Fellowship.

Kevin Murphy: any questions for the Conference Committee:
Bryan Seid: As my understanding that the contract with this hotel is up next year and are we looking at other locations?
Siobhan Amey-Ayer: We have received other bids for upcoming years and will make selection most advantageous to the fellowship.
Mike Higgins: Referral #6432 – regarding online registrants.
Siobhan: There are approximately 130 registrants and the cost is $10 and we do not believe it feasible at this time to incur the cost of online registration.
Glen Tucker: Special Needs referral sent. Could you please add on Delegate registration form a slot for members having special needs? Siobhan: That is in post conference referrals.
Nick Alexander: A few years back that we removed the requirement that the Conference be held within the 50 miles of the WSO.
Siobhan: There is bid information in our guidelines for other areas of the country to bid for the Conference. We have not received any bids from other areas to host the Conference.
Nick Alexander: Referral #6623 – having 2 permanent counters at this level is not feasible but the other portion of the referral – taking an immediate second vote – why can’t we just get a count immediately?
Kevin Murphy: People change their minds and sometimes the perception of the number of votes. It is just not our procedure.

Stu Estebo: Online registration. I had some small problems this year and wasn’t getting information from my people that was not timely. Would you consider adding an additional cost for people who just want to press a button?
Siobhan: I believe that you can already by the WSO using Pay Pal. If you want to register and let the office know that you are paying with your Pay Pal. We would need to coordinate with the Office.
Kevin Murphy: That concludes our questions for the Conference Committee.
