Minutes of the Meeting of CA World Service Office Board of Directors

January 11, 2014

I. Opening. Meeting called to order with the “we” version of the Serenity Prayer at 9:15 am by Chair, Richard L.

II. Tradition 7 – Read by Phyllis C.

III. Concept 7 – Read by Ira L. What the 7th means explained by Bob C.

IV. Birthdays – None

V. Roll call and Quorum Determined

A. Voting Members Present: Richard L. (Chair), Linda F. (DOO), Phyllis C. (WSOB Temp. Secretary& DAL), Bob C. (DAL), Morgan T. (DAL), Laurie R (Treasurer ), Ira L. (WST) & Kathy Jo R. (WSOT). A quorum is established.

B. Board Members Absent: DRPD (vacant), Susan D. (Vice-Chair – absent with prior notification)

VI. Guests Present: Jay Parker (Southwest Regional Trustee) & Frank P.(Vice-Chair of Archives)

VII. Approval of the minutes of the prior meeting

A. Kathy Jo. Motions to approve the minutes from December, 12, 2013 with the change (Birthday for Bob C for 30 yrs.) added. Seconded by Kathy Jo. Motion passes unanimously.

A. Jay P. – wants to experience what our meetings are about.

B. Frank P. – no report

XI. Online Business:

A. Speaker List Accepted and need a motion to accept online business.

Old Business

A. WSOB Director Openings – Still have opening for Directors, and we need a Secretary.

1. Please invite guests and see if we can get people on WSOB.

B. Laurie new treasure now has access to all accounts.

1. Read only access to Linda (DOO) and Michael (Bookkeeper)

C. Website

1. Linda still working on it, but Richard has been reaching out to an outsource company

2. At this point everything we have asked for following the traditions will be done and they have a good platform.

3. We can also watch what they are doing in the event we need to tweak it.

4. Being turned over to trustees and waiting on approval, looking at a month to get site up and running if there are no changes needed.

5. 2 week turnaround but using a month to be safe.

6. Linda and John are updating and checking old site to make sure all is updated before the new team moves over information.

7. KJ asked for a list of requirements we need to make sure we are getting what we need from web designers.

8. Bob just wants to verify references for the company we are thinking about using.

9. KJ stated we need to go back and check to see if there are any referrals from past conferences that we need to add to the list of requirements needed for new website.

D. C.A. Trademark Challenge – Scotland – (Bob).

1. Regarding our international acct.

2. Ira wants the WSBT to be kept informed of all business regarding Scotland and international business for the WSBT to handle it.. We need to check in with Bernie Gantz for updates.

3. Someone has hired a lawyer in Scotland to see if he can get this moving.

4. Ira suggested we keep trustees involved in this matter because it is a legal issue.

5. Bob is asking to delegate the trustee’s thoughts regarding this issue

E. WSOB policy on mileage reimbursement

1. This agenda item is staying on until a policy is created. Board is looking at Reimbursement within 90 days for mileage is .14 cents.

F. European Fulfillment Center

1. KJ, presented outline for fulfilment center she wants to make sure we have good information to present to them that is user friendly.

2. Kathy Jo R. is continuing to work on the RFP and the project plan. They are developing different scenarios and how this will be cost out to the different fulfillment centers.

G. Meditation Book Status

1. Linda F. Still on hold Linda still working/waiting on artwork for cover.

H. Newcomer Booklet

1. Newcomer Booklet, no update still looking at price quotes

I. Referrals from Conference 2013

1. Put on hold till next meeting on January 23, 2014

Office Director Reports

DOO Report – Linda F. – Submitted written & verbal report (see committee and ad-hoc reports)

1. Ira wants to help Linda move items that are not moving.

1. Banner and rackets needed for European fulfillment center. KJ wants to get price for that.

2. Jay wants to see if he can walk thru the shipping process to see if there is something he can do or help with a new service.

3. Motion passed about having Bose added to CA book.

1. Looking into finding a bank that will deal with our business needs since we are non-profit organization.

2. Laurie is cleaning up Balance Sheets and making them more easy to read

3. Jay suggest can we run reports monthly

4. Bob asks if we go month to month can we still keep track of meeting for current month.

5. Linda make a Motion to transfer $3.801.61 out of publication to reimburse the operating account for funds already spent for printings for HFC11 –Out of Country and HFC11- French.
