ARCHIVE COMMITTEE REPORT
INTRODUCTION AND COMMENTS:
Welcome to Archives World Service, where the past meets the present. Our mission is to preserve, protect, and make accessible the historical records and cultural heritage of our global community. Collecting relevant C.A. documents and items pertinent to the history of Cocaine Anonymous is the ongoing work of the Archive Committee. These tasks are global in scope and require an active and dedicated Archive Committee. The Archive Committee continues to work on open referrals, approaching them with thoughtful consideration and timely execution.
The Archive Committee maintains an open line of communications with Archive Chairs and C.A. archivists from around the world. On the first Saturday of the month, the Archive Committee hosts the virtual meeting, “For The Record,” for the purpose of discussing our archival challenges and accomplishments, AND to provide a forum for show and tell, and questions and answers.
Cameron F. & Jennifer G. went to Phoenix Jan. 28 – Feb. 5, 2026. Cameron and I spent the week in the main CA Repository in Phoenix, AZ. We completed an inventory of all Ray G., Bill Z., and Bob L. documents (some 8000 pages of paper) and organized them by type and category. We also renumbered the catalogue numbers into a 3-digit system which can accommodate the archives growth by 500%. We currently have 208 banker boxes and 41 banner tubes. We also removed all plastic bags containing textiles and rewrapped in buffered acid free tissue paper.
We installed a door sweep to minimize air exchange between the warehouse and the repository room. The room was swept, and all loose dust and debris removed. We dusted and reorganized the display cabinets in the front office. We also installed some DampRid to handle

excess moisture. Lastly, Cameron, Chris W. and I were given a 2-hour tour of the Arizona State Archive and Library to get more information about how professional archivists operate and thereby, becoming more adept to the way in which we serve this fellowship.
Lastly, the Archive Committee created, by request of the fellowship, managed and curated these C.A. repositories: 1) The Documents Library (docs.ca.org), a password protected archive of all Conference, WSOB and WSBT minutes. These are uploaded to our online documents library which is used extensively by the Trustees and Standing Committee Chairs; and 2) The Virtual Museum (museum.ca.org) to promote the value of the Cocaine Anonymous archives and highlight interesting C.A. objects from around the world and their representative C.A. Areas, but also to give C.A. members greater access to their collective history. Recently, this process (July 23rd, 2026) has been severely hampered due to a sudden change in access imposed by the WSOB, without warning or any advanced communication from either the WSBT (via our Lead or secondary trustees), or the WSOB (via our committee’s DAL/WSOB rep.), on the World Archive Committee.

Motion 1: To approve new language regarding duties on pages 3, 6-9, new language regarding activities on page 11, and new language regarding access on page 14 of the Archives guidelines. (Attachment 1)
Motions resulting from new business:
Motion 2: That the Archive Chair, digital archivist, and curators for both the museum and documents library, have restored administrator level access to museum.ca.org and the docs.ca.org websites to update and edit as outlined in CAWS 2025 Conference Approved Archives Guidelines (pp. 7-8) and determined by Concept nine (WSM p. 8) and Concept Ten (WSM p. 8).

REFERRALS STILL IN COMMITTEE:
ARCHIVES 2021-02: Create guidelines/procedures for the consistent maintenance of the C.A. Virtual Museum. In these guidelines/procedures, please include the following points: 1) Procedures for multiple Admins who have full access to the database to assist with ease of WS Archives Committee leadership transfer, knowledge of backup schedules, location of said backup storage, etc. 2) Naming convention procedures. 3) Procedures for how to handle submissions from multiple people of the same item/image. 4) Procedures for how to address the need to update/correct naming and/or tagging errors on images already named/tagged.
This referral is currently in working process with the Archive Committee, with plans to include guidelines/procedures for two repositories: Virtual Museum (museum.ca.org), Documents Library (docs.ca.org). However, in light of the recent setback the Committee has faced with the actions taken by the WSOB, which severely impedes access to the repositories, we no longer have the ability to fulfill this referral.

Your World Archive Committee preserves, protects, and provides access through the Docs.ca.org and museum.ca.org sites to the historical records and legacy of Cocaine Anonymous worldwide. We continue to address open referrals, maintain communication with Archive Chairs and C.A. archivists around the world, and host the monthly virtual meeting, For the Record, the 1st Saturday of the month, where archival accomplishments, challenges, and resources are shared. Our Outreach sub-committee, headed by Ms. Veronica, has done an incredible job reaching out to Area’s with Archival needs, and has spent countless hours helping to educate and providing tools to Area’s.

In an effort to be financially transparent, the committee submitted a detailed breakdown of our budget to the Box.
In February 2026, committee members spent a week at the main C.A. Repository in Phoenix.
During this visit, we inventoried, categorized, and organized approximately 8,000 pages from the personal collections of:
- Ray G.
- Bill Z.
- Bob L.
We also expanded the catalog numbering system to accommodate future growth and inventoried the repository’s 208 banker boxes and 41 banner tubes. Textiles were removed from plastic bags and rewrapped in buffered, acid-free tissue paper. Improvements were also made to the repository’s cleanliness, organization, moisture control, and protection from outside air and debris.
While in Phoenix, we were given a tour of the Arizona State Archives and Library to learn more about professional archival practices and improve how we preserve and curate C.A.’s history.
Additionally, the Archive Committee has collaborated with the World Service Office Board on developing policies for managing and curating the C.A. Museum and Digital Document Library.
We appreciate WSOB’s commitment and expediency in this matter. Due to this collaboration, we will be pulling the second motion from our report.
Through these ongoing efforts, we remain committed to preserving C.A.’s history and making it accessible to the fellowship for generations to come.
